An estimate template gives you a ready-made layout for a written estimate: your details, the customer's, a description of the work, a cost breakdown and the terms. Some come as free downloads in Word, Excel, Google Docs or PDF, and others sit inside invoicing apps that turn an approved estimate into an invoice. Ten sources follow in no particular order.
A clear written estimate wins more jobs than a number scribbled on the back of a card. Customers compare it with other quotes, show it to their partner and come back to it when the bill arrives.
The ten sources below cover one-off downloads and full apps. They're listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you're a tradesperson, my guide to how plumbers and electricians use AI to quote faster shows how to speed up the whole process.
Estimate template sources compared
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site says the tool, or a plan or version of it, is free or open source. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

An estimate isn't a fixed price in UK law
Section 51 of the Consumer Rights Act 2015 says that where a contract for a service doesn't fix a price, it's treated as including a term that the consumer must pay a reasonable price for the service, and no more. What counts as reasonable is a question of fact.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
That's why the wording on your estimate matters. A customer who gets a bill far above the estimate can argue that only a reasonable price is due. Say clearly whether the document is an estimate or a fixed quote, list what's included and excluded, and write down that you'll ask before doing extra work. If the job changes, send a revised estimate before you carry on.
Download a template or use an app?
A downloaded template in Word, Excel or Google Docs is quick and familiar. It works well if you send a handful of estimates a month.
An invoicing app saves your customers and line items, sends the estimate by email and turns it into an invoice when the customer says yes.
Field service software adds scheduling and job tracking on top, which suits trades with several staff and vans.
Six things every estimate should include
- Your business name, contact details and the date
- The customer's name and the job address
- A clear description of the work and materials
- A cost breakdown with any tax shown separately
- How long the estimate is valid for
- Whether it's an estimate or a fixed quote, and what happens if the job changes
Signs your estimates are losing jobs
- Customers ask what's included. Itemise the work.
- Estimates go out days later. Send them the same day.
- Final bills cause arguments. Agree changes in writing.
- Every estimate looks different. Use one template.

My plain advice on estimates that win the job
Send the estimate the same day you see the job. Speed is one of the strongest signals of how you'll handle the work, and customers often choose the first clear, professional estimate rather than waiting for the lowest one to arrive. Save your common line items once so the next estimate takes minutes.
When the customer says yes, my guide on how to invoice a client the right way covers the next step.
Frequently asked questions
What is an estimate template?
It's a ready-made layout for a written estimate, with space for your details, the customer's, the work, the cost breakdown and the terms.
Are estimate templates free?
Many are free to download in Word, Excel, Google Docs or PDF, and several invoicing apps have a free version. Check the free plan column above.
What's the difference between an estimate and a quote?
An estimate is a best guess that can change, while a quote is usually a fixed price for the work described.
Can I charge more than my estimate in the UK?
The Consumer Rights Act 2015 says where no price is fixed, the customer pays a reasonable price, so explain and agree changes first.
How long should an estimate be valid?
State a validity period on the estimate, often a month, so material prices and availability don't move too far before the customer decides.
Can an estimate turn into an invoice?
Yes. Many invoicing apps convert an approved estimate into an invoice without retyping it.
