The best free document management software helps you store, organise and find files and paperwork without a big software bill. Some are free cloud storage plans, others are open source document systems with tags, search and workflows that you host yourself. Ten options follow in no particular order.
Most small businesses manage documents by accident: a folder here, an email attachment there, a box of receipts in the cupboard. It works until someone needs a contract in a hurry.
The ten options below are listed alphabetically and in no particular order, and every description comes from the tool's own website, read this week. If your files mostly live in Microsoft Teams, my guide on sharing a file in Teams may help alongside them.
Free document management tools compared
In the free plan column, Yes means the tool's own site names a free plan, a free version, a free account, a free allowance or open source software. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to start for free.

How long do you need to keep business records?
Longer than most people think. GOV.UK says limited companies must keep records for 6 years from the end of the last company financial year they relate to, or longer in some cases, such as when a transaction covers more than one accounting period.
That's a good reason to organise documents by year from the start. When it's time to delete old records, you'll know exactly which folder can go, and when someone asks for an old invoice, you'll find it in seconds.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
File storage or a document system?
Cloud storage keeps files safe and easy to share, and it's enough for many small teams. A document management system adds tags, version history, approval workflows and search inside scanned documents.
If you mostly need shared folders, start with storage. If you handle lots of contracts, invoices or scanned paperwork, a dedicated system will save hours of hunting.
Setting up a simple document system
Agree a folder structure before you move anything: by year, then by type, such as clients, suppliers and finance. Name files the same way every time, with the date first, so they sort themselves.
Then move one category at a time, starting with the documents you look for most. My piece on using cloud storage for productive work has more tips for keeping it tidy.
Decide who's allowed to delete files, too. Most document disasters aren't hackers, they're someone tidying up a shared folder on a Friday afternoon, so limit deletion rights and switch on version history wherever you can.
Questions to ask before you choose a document tool
- Is it cloud storage or a full document system?
- How much storage does the free option include?
- Can it search inside scanned documents?
- Does it keep version history?
- Can I control who sees which folders?
- Can I host it myself if my files are sensitive?
Signs your documents need a system
- Files live in email attachments. Store them in one place.
- Nobody knows the latest version. Turn on version history.
- Receipts sit in a box. Scan and tag them.
- Old records never get deleted. Organise by year.

My plain advice on choosing free document management software
Choose the simplest tool that lets you find any document in under a minute. That's the real test, and a tidy folder structure gets you most of the way there whichever tool you use.
If you hold sensitive client files, think hard about where they're stored and who can see them. Open source tools you host yourself give you the most control, but someone has to look after them.
