Free CRM for Real Estate: 10 Options for Agents

A free CRM for real estate helps you keep track of buyers, sellers and past clients without a monthly subscription. Some options are general CRMs with free plans that work well for agents, and others are real estate CRMs with free trials. Ten options follow in no particular order.

Most agents don't lose deals to other agents. They lose them by forgetting to follow up. A CRM fixes that by reminding you who to call, what you last talked about and when a past client might be ready to move again.

The ten tools below are listed alphabetically and in no particular order, from general CRMs with free plans to real estate specialists. Each description comes from the tool's own site, read this week. For ideas on staying in touch with clients after the sale, see my guide to AI for retention in real estate.

Free real estate CRM options at a glance

In the free plan column, Yes means the tool's own site describes free use or a free plan, Trial only means a time-limited trial and No means neither is stated on the pages we read.

The Do Not Call rule for cold calling

Here's the rule US agents need to build into any calling routine. The FTC says telemarketers and sellers who are required to use the National Do Not Call Registry must update their call lists with the registry at least every 31 days.

If you cold call homeowners in the US, choose a CRM that lets you mark and suppress numbers on the registry so nobody on your team rings them by mistake. Ask a compliance expert how the rules apply to your calls, as there are exceptions.

General CRM or real estate CRM?

General CRMs with free plans are flexible and widely used, and you can set them up with stages like new lead, viewing booked, offer made and closed. Real estate CRMs come ready-made for agents, with listing details, transaction stages and email campaigns built for property, but they usually start with a trial rather than a free plan.

If you're a new agent with a small database, a general free CRM is a great start. If you're managing a busy pipeline or a team, a real estate CRM may save setup time.

Setting up your CRM in a weekend

  1. Import contacts from your phone, email and any spreadsheets.
  2. Tag each contact as buyer, seller, past client or referral source.
  3. Set up pipeline stages that match how your deals move.
  4. Create follow-up tasks for every active lead.
  5. Add reminders for key dates such as purchase anniversaries.
  6. Block a time each week to work through your follow-ups.

Fields worth adding for property

  • Buying or selling. And their timeline.
  • Area and size preferences. Used only to match the right listings.
  • Property type. House, flat, land or commercial.
  • Key dates. Purchase date, lease end or move date.

Using your CRM to win listings

Sellers often choose the agent who stayed in touch. Use your CRM to send past clients and local contacts a simple market update every few months, and note anyone who mentions moving. When they're ready, you'll be the first person they think of.

Keeping client data safe

Client details are sensitive, so use strong passwords and two-step sign-in, limit who can export contacts and remove access when someone leaves your team. It's basic security, but it protects your clients and your reputation.

My plain advice on a free CRM for real estate

The CRM only works if you use it every day. Start simple: add every new contact, log every conversation and follow the reminders. A basic free CRM used consistently will win you more business than an advanced one you open once a week.

Your past clients are your biggest asset. Keep in touch with them on anniversaries and market updates, and they'll send you referrals for years. If you're still deciding how much CRM you need, my guide to the simplest CRM to start with helps.

Frequently asked questions

Is there a free CRM for real estate agents?

Yes. Several CRMs on this list describe free plans, and real estate CRMs often offer free trials. Check the table.

What should a real estate CRM track?

Contacts, leads, conversations, property preferences, deal stages and key dates such as purchase anniversaries.

Do I need to check the Do Not Call Registry?

The FTC says telemarketers and sellers required to use the registry must update their call lists at least every 31 days. Ask a compliance expert how it applies to you.

Can a general CRM work for real estate?

Yes. You can set up stages and fields for property deals, though a real estate CRM may save time.

How do I import my contacts?

Most CRMs import from spreadsheets, phone contacts and email, so tidy the file first and map the fields carefully.

What's the most important CRM habit?

Following up consistently. Set reminders and work through them every week.
