Copilot vs Gemini: Which AI Assistant Fits Your Business?

Microsoft Copilot works inside Word, Excel, PowerPoint, Outlook and Teams; Google Gemini works inside Gmail, Docs, Sheets, Slides and Meet. For most businesses the right choice is the one built into the office apps your team already uses. Gemini offers Canvas and Deep Research to signed-in users, while Copilot's Researcher agent needs Microsoft 365 Premium, Pro or a business add-on.

For most businesses, the Copilot vs Gemini question isn't really about which AI is cleverer. It's about which office you already live in. Microsoft Copilot is built into Word, Excel, Outlook and Teams. Gemini is built into Gmail, Docs, Sheets and Meet. The assistant that sits inside the tools your team opens every morning will usually win.

That said, the two have different strengths, and both have changed a lot recently. This comparison uses only Microsoft's and Google's own pages, so you get the current picture rather than an out-of-date one.

What is the difference between Copilot and Gemini?

  • Microsoft Copilot is Microsoft's AI assistant. There's a consumer Copilot app and Microsoft 365 Copilot for work, which Microsoft is merging into one updated Copilot app you can sign into with a personal, work or school account. The accounts stay separate.
  • Gemini is Google's AI assistant. There's the Gemini app on the web and phone, and Gemini in Google Workspace, which works inside Gmail, Docs, Sheets, Slides, Meet and Vids.

What has changed in Microsoft Copilot?

Microsoft has retired several features in the consumer Copilot app: Podcasts, Deep Research and Group chat. For in-depth research, Microsoft 365 Premium users now use Researcher, Microsoft's agent for multi-step research that produces a source-cited report. Old Deep Research reports are kept.

Copilot Tasks for personal accounts are moving to Copilot Cowork, in preview, which can create Office and PDF files, draft email and manage your calendar, with you approving sensitive actions.

Free users can still chat, create images and upload files in Copilot, within capacity limits. people on Microsoft 365 plans get higher limits.

What has changed in Gemini?

Google is replacing Gems with skills: reusable shortcuts such as the ready-made /prep-for-meetings and /match-my-writing-style. Existing Gems migrate automatically, with end dates set first for personal accounts and later for Workspace and education accounts. You can also import skill.md files from other platforms.

Google has renamed its source-based research tool, NotebookLM, to Gemini Notebook, and Gemini Canvas can now turn a Deep Research report into a web page, infographic, quiz or Audio Overview.

Copilot vs Gemini for writing and documents

Inside Microsoft 365, Copilot drafts in Word, builds decks from prompts in PowerPoint and summarises your inbox in Outlook. Copilot Pages gives you an editable canvas next to the chat that you can share; for personal accounts it needs a Microsoft 365 Personal, Family, Premium or Pro subscription.

Gemini drafts in Docs, adds slides, and its Canvas creates documents, slide decks and simple apps you can export to Docs or Slides. Canvas is available to all Gemini users, and Google AI Pro and Ultra subscribers get a context window of one million tokens.

Copilot vs Gemini for spreadsheets and data

Microsoft says Copilot in Excel gives data insights, and the Analyst agent sits alongside Researcher at work. Google says Gemini builds spreadsheets in Sheets. If your finance and reporting live in Excel, Copilot is the natural fit; if they live in Sheets, Gemini is.

Copilot vs Gemini for research

Gemini's Deep Research browses up to hundreds of websites and, if you choose, your Gmail, Drive and Chat, then writes a multi-page report, usually in about five to ten minutes. Microsoft's Researcher produces a source-cited report too, but in Microsoft's world it's part of Microsoft 365 Premium and Pro or the business add-on rather than the free consumer app.

Copilot vs Gemini for email and meetings

Email and meetings are where most owners feel the time savings first. Microsoft says Copilot summarises your inbox in Outlook and works inside Teams. Google says Gemini summarises Gmail threads and takes notes in Meet. Both are strongest when your mail and meetings already run on their platform, which is another reason the office suite you use matters more than the model.

For talking things through, Gemini Live is voice chat built into the main Gemini chat, so you can switch between talking and typing in one thread. Google notes it can't use Gems or Notebooks. Copilot's voice conversations pair with Copilot Vision, which can look at your screen or camera; for personal accounts, Vision needs a Microsoft 365 Personal, Family or Premium subscription.

How do they handle your work data?

At work, Microsoft's Copilot Chat (Basic) is included with eligible Microsoft 365 licences and uses web data; your organisation's files have to be uploaded or open. Microsoft 365 Copilot (Premium) uses web data plus your work data through Microsoft Graph automatically.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Google says Workspace customer data isn't used to train Gemini models or to target ads. Whichever you choose, check the admin settings before you roll it out to a team.

Which should a small business choose?

  • You run on Microsoft 365: start with Copilot. It's already in the apps your team uses.
  • You run on Google Workspace: start with Gemini, for the same reason.
  • You want research reports on a free plan: Gemini's Deep Research is available to signed-in adults with daily limits.
  • You want help on screen while you work: Copilot Vision can look at your screen or camera during a voice chat, though it doesn't click or type for you.
  • You use both: pick one as your team default and write down which jobs go where.

Copy this prompt

I run a [type of business] with [number] staff on [Microsoft 365 or Google Workspace].
List the five weekly jobs where the built-in AI assistant would save the most time,
and write a one-line instruction my team could use for each.

Copy and paste this prompt

Compare how I'd do this job in Copilot and in Gemini: [describe the job].
For each, list the app I'd open, the steps, and what I'd need to check before sending.
Don't guess at features; tell me if you're unsure.

If you're curious how Microsoft's assistant decides which websites to cite, my study of Microsoft Copilot citations looks at exactly that.

Tools that work with Copilot and Gemini

Copilot works with Word, Excel, PowerPoint, Outlook, Teams and OneDrive. Gemini works with Gmail, Google Docs, Sheets, Slides, Meet, Drive and Vids. Around both, Zoom, Slack and Notion are common in small teams, and a password manager keeps credentials out of every AI chat.

Choosing a tool is the easy part; getting a team to use it well is harder. If you're weighing up in-house AI training against hiring a consultant, that guide will help, or see how I work with business owners.
