Circleback Alternatives (2026): 7 AI Meeting Notetakers

The best Circleback alternatives are free personal notetakers for individuals, search-led assistants for finding anything said across months of calls, and sales-leaning platforms that push notes into a CRM with coaching. Every one of them records and summarises, so choose on what happens to your notes after the meeting ends.

Your current notetaker does more than notes: transcripts in a long list of languages, custom insights, automatic updates to your CRM and issue tracker, and a company knowledge base. If you only ever read the summary, you may be carrying features you never touch. If you lean on the automations, you'll want an alternative that keeps them.

I've listed seven notetakers below in no particular order, alphabetically. Everything here comes from each vendor's own website, and any claim is the vendor's.

Where should your notes end up?

This is the question that sorts the list. Every notetaker records, transcribes and summarises. The real difference is what happens next.

  • Notes and action items just for you: a free personal notetaker is plenty.
  • Searching everything said across months of calls: pick a search-led assistant with AI chat across meetings.
  • Deal notes pushed to the CRM with coaching for reps: look at a sales-leaning platform.
  • Follow-ups sent and tasks created automatically: check for workflow automation, not just summaries.

The bot question

Most notetakers join your call as an extra attendee, and some clients and prospects don't love seeing a bot in the room. A few tools on this list say they can record with no bot, or make the bot optional, and one says it works with no install for its free meetings. If your calls are with clients, test how each tool shows up on their screen before you roll it out across the team.

Consent matters as well. Tell people at the start that you're recording and follow the rules where you and they are based. Whatever the tool does, telling people is still your job.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

What to check on a free plan

  • Caps. Some free plans limit transcription hours or the number of meetings each month.
  • Who it's for. Several free plans are for individuals only, with team features held back.
  • Integrations. CRM sync is often a team feature, so check it's included before you rely on it.
  • History. Ask how long recordings and transcripts are kept on the free plan.

Free plans change often, so check the current limits on each vendor's site before you move your whole calendar over. If you still prefer typing notes yourself, my free meeting notes template is a simple place to start, and my guide to Zoom cloud recording covers saving calls without a notetaker at all.

Rollout mistakes that annoy colleagues

  • Switching it on for everyone overnight. Start with one team, gather feedback for a couple of weeks, then widen it.
  • Auto-sharing every summary. Not every call should land in a shared channel. Check the default sharing settings before the first meeting.
  • Recording internal one-to-ones by default. Some conversations are better left unrecorded, and people talk more openly when they know that.
  • Forgetting old recordings. Agree how long transcripts are kept and who can search them, especially if calls cover clients or staff matters.

A notetaker earns its place when people stop writing their own notes and trust the summary. That only happens when colleagues feel in control of what's recorded and where it goes, so spend ten minutes on settings before you spend ten weeks on habits.

My advice for switching meeting notetakers

Decide where your notes need to land first: just you, a searchable archive, or your CRM. That cuts seven options to two or three straight away. Then run your next five calls through your top two side by side and keep the one whose summaries you'd forward without editing.

Frequently asked questions

Do AI notetakers need to join the call as a bot?

Not always. Some record without joining as an attendee, and a few make the bot optional, so check this if your calls are with clients.

Should I tell people I'm recording a meeting?

Yes. Tell attendees at the start and follow the consent rules where you and they are based. Whatever the tool does, it's still your responsibility.

Can an AI notetaker update my CRM?

Many can. Sales-leaning platforms and several general notetakers list CRM updates or integrations, though it's often a team feature rather than a free one.

Do these notetakers work with in-person meetings?

Some do through mobile apps. Check each tool if you record face-to-face conversations, because support varies.

Can I move my old transcripts to a new notetaker?

Usually only as exported files. Most tools let you download transcripts or summaries, but few import another tool's history, so export what you need before you cancel.

How accurate are AI meeting transcripts?

Good in clear audio, weaker with crosstalk, accents and jargon. Vendors quote their own accuracy claims, so test with your own calls.
