ChatGPT for Academic Researchers is OpenAI's complimentary 12-month ChatGPT workspace for eligible faculty and postdoctoral researchers, but its help page says new applications are currently closed. As of Nov 2026, new signups only join an informational waitlist, and OpenAI says it can't give a timeline.
That waitlist point is worth reading twice. OpenAI says joining it doesn't mean you've submitted an application for review. Still, if you're eligible, there's groundwork you can do now so you're ready if it reopens, and there are rules in the programme that would trip you up later.
Who qualifies for the researcher workspace
| Requirement | Detail |
|---|---|
| Role | Research faculty member or postdoctoral researcher at an eligible academic institution |
| Location | Eligible institutions in supported countries; not all institutions are eligible |
| Paper | A paper on arXiv, bioRxiv or ChemRxiv, posted within the last three years, listing you as an author |
| Field | Biological Sciences, Chemistry and Materials, Computer Science, Earth and Planetary Sciences, Engineering, Mathematics or Physics |
| Purpose | You plan to use ChatGPT for academic research |
| Verification | The owner and every collaborator must pass SheerID checks |
The paper requirement is the one people don't guess. Holding a faculty post isn't enough: you need a recent paper on one of those three servers, in one of those fields, with your name on it. And OpenAI says meeting all the criteria doesn't guarantee approval.
What a researcher workspace includes
- Up to five complimentary seats for 12 months: one workspace owner and up to four verified collaborators.
- Every collaborator must be at the same institution and pass SheerID verification before joining.
- Supported ChatGPT models and tools with the same usage rate limits as ChatGPT Pro. Those limits aren't unlimited, and model availability and limits can change over time.
- Business data protections and workspace controls.
- The option for the owner to buy additional credits for supported metered features once the included allowance is used, though credits don't make usage unlimited.
For a sense of what Pro-level limits look like, here's how the ChatGPT Pro tiers compare. The researcher workspace is a separate workspace for your team; it doesn't upgrade or replace your personal ChatGPT workspace. A verified email can belong to only one researcher workspace at a time, and if you're removed from one, you can then join another eligible workspace.
The email-match rule that breaks verification
This is the setup step most likely to go wrong. The email you verify with SheerID must be your institution's email, and it must match the email on the ChatGPT account you're using. If they don't match, verification fails. OpenAI's setup steps for approved participants run like this:
- Sign in or create a ChatGPT account using the email address you use at your institution.
- Verify your affiliation through SheerID, which may ask for work or university documents if it can't verify you automatically.
- Make sure you aren't using a VPN.
- Complete checkout with a valid credit card. It's required for verification only, and nothing is charged for the complimentary period.
- Create the workspace and invite up to four collaborators from the same institution, each of whom completes SheerID verification before joining.
If the ChatGPT account you use every day sits on a personal address, that's the trap. The match is between your institution email and the account email, so a personal account won't pass.
After the 12 months are up
You won't be charged for the 12-month offer, and the workspace won't renew automatically. OpenAI says it will share any continuation options before the offer ends. If you don't pick one, the workspace is deactivated after any applicable grace period. So mark the end date in your team calendar early, and agree who exports what before then.
What isn't included
- No SSO, SCIM, domain claiming, automatic workspace discovery or self-join.
- No OpenAI API credits. The offer covers ChatGPT access only.
- No collaborators from other institutions, and no joining more than one researcher workspace at once.
- No unlimited usage, even if the owner buys extra credits.
If your institution already runs ChatGPT Edu or Enterprise and your application was approved, OpenAI says your account is handled through an institution-managed process instead. If your university has ChatGPT Edu, ask your IT team what it covers while you wait.
Data and model training
The workspace uses business-level data protections, and content from it isn't used to train OpenAI's models by default. Workspace admins manage the workspace's data, including viewing, exporting, auditing, retaining and deleting it. Your personal ChatGPT workspace stays separate, managed by you and governed by OpenAI's Terms of Use and Privacy Policy. For a research team handling unpublished results, that separation is the main reason to want a workspace rather than everyone using their own accounts.
While you wait for applications to reopen
Being on a waitlist doesn't stop you doing useful research work with ChatGPT today. Get your paperwork in order, then learn the tools:
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
- Check that your newest paper is on arXiv, bioRxiv or ChemRxiv, posted within the last three years and in an eligible field.
- Set up or confirm a ChatGPT account on your institution email, so the email match won't fail later.
- Talk to collaborators at your own institution now, since colleagues elsewhere can't join your workspace.
- Practise with ChatGPT deep research or prompts for a literature review on your current plan.
What I'd do as a researcher
I'd join the waitlist, get my institution email and paper ready, and line up collaborators from the same institution. I'd skip paying for Pro just to get ahead of this, because the programme costs nothing if you're approved and OpenAI can't say when applications will reopen. Vendor programmes change often, so check OpenAI's own help page for the latest.
If your research or insights team wants to use AI with clear rules for sources and data, that's the kind of AI training I run. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.

Frequently asked questions
Is ChatGPT for Academic Researchers open for applications?
No. As of Nov 2026, OpenAI's help page says new applications are currently closed, and new signups join an informational waitlist rather than an application review.
Is ChatGPT for Academic Researchers free?
Yes, for approved workspaces. They get up to five complimentary seats for 12 months. A card is needed at checkout for verification only, and nothing is charged.
Why did my SheerID verification fail?
OpenAI's page says verification fails if the email you verify with SheerID isn't your institution email or doesn't match the email on that ChatGPT account. It also says not to use a VPN.
Does the researcher workspace include API credits?
No. The offer covers ChatGPT access only and doesn't include OpenAI API credits, SSO or SCIM.
