Capsule CRM Alternatives (2026): 10 Tools Compared

A good Capsule CRM alternative keeps contacts, deals and tasks tidy without a steep learning curve, connects to your email and calendar, and grows with your team. Check pipeline views, automation, reporting, email integration and contact limits. This page lists ten options in no particular order, then covers choosing and moving to a new CRM.

Capsule describes itself on its own site as a CRM made simple, covering contact management, a sales pipeline, projects, tasks and calendar, automations, reports and marketing tools such as social campaigns. It's a favoured choice for small businesses who want something approachable, which is why its alternatives need to be just as easy to live with.

Below are ten Capsule CRM alternatives in no particular order, sorted alphabetically. Each description comes from the tool's own website, re-checked today. If you're new to running a pipeline, my piece on the importance of a sales pipeline explains why it matters.

Capsule CRM alternatives at a glance

In the free plan column, Yes means the tool's own site describes a free plan you can keep. Trial only means a free trial with no ongoing free tier. No means the site states neither. Free plans usually limit users and contacts.

What to look for in a Capsule CRM alternative

  • Pipeline views that match how you sell.
  • Email and calendar sync so conversations attach to contacts.
  • Tasks and reminders that keep follow-ups moving.
  • Reports you'll read, not just admire.
  • Integrations with your accounting and email tools.
  • Limits on contacts and users as you grow.

The email rule for CRM contacts

Here's the rule many small businesses miss once contacts sit in a CRM. The ICO's guide to PECR says you mustn't send marketing emails or texts to individuals without specific consent, apart from a limited soft opt-in for your own previous customers. You can email companies, but sole traders and some partnerships are treated as individuals. Record where each contact came from and what they agreed to. This isn't legal advice, so check what applies to your business.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Moving from Capsule to a new CRM

  1. Export contacts, organisations, deals and notes.
  2. Clean duplicates before importing anything.
  3. Recreate pipeline stages to match how you sell today.
  4. Import a small batch first and check every field.
  5. Reconnect email and calendar, then train the team.

Questions to ask on a CRM trial

  • How long does it take to log a call or email?
  • Can I see everything about a contact on one screen?
  • How does it handle duplicate contacts?
  • What's on the phone app?
  • How do I export my data if I leave?

Which Capsule CRM alternative suits which team

  • Phone-heavy sales teams want built-in calling.
  • Owners often want action-focused simplicity.
  • Growing start-ups may want flexible, modern CRMs.
  • Service businesses may want projects alongside deals.

Why smaller CRMs can serve small businesses well

Smaller CRM makers often know their users by name and build features small businesses ask for. They also tend to keep things simpler. Check how often they ship updates, read their help centre and confirm data export before you commit.

Getting the team to keep the CRM up to date

Most CRMs fail quietly because people stop logging things. Make it easy: connect email so conversations log automatically, keep required fields to a minimum and review the pipeline together once a week. When people see the CRM helping them, they keep it current.

For a refresher on why it's worth the effort, my piece on how any business can benefit from a CRM covers the everyday wins.

My plain advice on replacing Capsule CRM

Import fifty real contacts into two CRMs and run your week from each. The one where follow-ups feel effortless is the one you'll keep using, and a CRM you use beats a cleverer one you avoid.

Frequently asked questions

What does Capsule do?

Its own site describes a simple CRM with contacts, a sales pipeline, projects, tasks, automations, reports and marketing tools.

Do CRMs offer free plans?

Several do, usually with limits on users and contacts. Others offer free trials.

Can I email my CRM contacts?

Check the rules. The ICO says marketing emails to individuals need consent or the soft opt-in. This isn't legal advice.

How long does it take to switch CRM?

For a small business, a week or two is realistic if you clean data first and move in stages.

Do I need built-in calling?

Only if your team spends lots of time on the phone. Otherwise email and tasks matter more.

Will my notes and history come across?

Usually, if you export and map them carefully. Test with a small batch first.

Which CRM is easiest to learn?

Simple, action-focused CRMs tend to be quickest to learn. Try two and see which your team prefers.

Should I pick a CRM my accountant or team already knows?

It helps if the tool connects to what they use, but the CRM's main job is your sales follow-up. Choose for that first, then check the integrations you'll need.
