Breathe HR Alternatives (2026): 9 HR Systems for UK Teams

The best Breathe HR alternative depends on the shape of your team. A first-HR-hire tool suits a handful of staff, UK platforms suit growing teams, modern HR systems suit multi-country hiring, and bigger organisations need a fuller suite. Whichever you trial, test it with part-time and irregular-hours staff, not only a nine-to-five employee.

If you run a small UK business on Breathe, you'll know what it's good at: cloud HR built for growing UK firms, with the HR side of the business in one system. People usually start looking elsewhere when the team changes shape. Five staff becomes forty. A second country appears. Or the owner who set it up hands HR to someone who wants something different.

This list is HR only: leave, records, onboarding and performance. It isn't a payroll comparison, so check payroll separately with whoever runs it for you. The nine systems are in no particular order, grouped by the kind of team they serve best.

Match the system to your team's shape

Your first HR hire. CharlieHR is built for small teams with no HR person, and HRLocker keeps records, leave and time tracking together in one straightforward system.

A growing UK team. BrightHR, People HR and BambooHR suit companies past the first few hires. The first adds health and safety tools, the second leans on its open API for connecting other systems, and the third is a US-built suite covering hire to retire.

Multi-country or fast-scaling. Humaans is a modern HR system built for global teams, with onboarding automation and people data that works across countries.

A bigger UK organisation, or a suite you already use. Cezanne HR is pitched at larger UK and international organisations. Zoho People and Sage HR come from big software families, which helps if you already run their other products.

The holiday test most trials skip

UK employers often trial HR software by setting up one full-time employee on fixed hours, booking a week off, watching the balance drop and calling it done. That's the easiest case any system will ever handle, and it doesn't tell you much.

GOV.UK says almost all workers are entitled to 5.6 weeks of statutory holiday a year, including agency workers and people on irregular hours or part-year contracts. Part-time workers on regular hours get 5.6 weeks too, which works out at fewer than 28 days. Those are exactly the cases where leave balances can't be taken on trust.

So during each trial, set up one part-time person and one irregular-hours person. Check the leave balance the system shows them against the GOV.UK holiday entitlement calculator. If the numbers don't match, find out why before you sign anything. Holiday rules have exceptions and requirements vary by contract, so treat GOV.UK as your reference and take advice on unusual cases.

My advice for UK employers leaving Breathe

Count your staff, then count the countries they work in. Those two numbers will shape your shortlist more than any feature list. A small team in one country should start with the first-hire tools. A team that's growing fast or hiring abroad should look at the modern global option and the mid-market platforms.

Keep it to two trials, and run both with your awkward cases rather than your easy ones. For neighbouring options, my list of Personio alternatives covers more HR platforms for growing teams, and if recruitment is the bigger headache, my guide to Workable alternatives looks at hiring tools.

Moving your people records across

  • Export employee records, leave history and documents well before your Breathe renewal date.
  • Check how each new system imports carried-over leave and part-year starters.
  • Recreate absence types, approval chains and bank holiday calendars first.
  • Tell staff when the old system closes and where they'll book leave from now on.
  • Keep a read-only copy of old records in line with your own retention policy.

Moving HR data is mostly about trust. If staff see the wrong holiday balance on day one, they'll stop believing the system, so check the numbers before anyone logs in.

Frequently asked questions

What should I look for in a Breathe HR alternative?

Look at how it handles leave for part-time and irregular-hours staff, employee records, onboarding and performance reviews, then check how easily you can import your existing data.

Does HR software work out holiday entitlement correctly?

Most systems calculate leave, but set-ups differ. Test part-time and irregular-hours staff in your trial and compare their balances with the GOV.UK holiday entitlement calculator.

Is HR software the same as payroll software?

No. HR software manages people records, leave, onboarding and performance. Payroll's a separate job with its own rules, so it's worth checking separately.

Can a business with five staff use HR software?

Yes. Several systems are built for small teams with no HR person. The main gains are leave tracking, staff records in one place and fewer spreadsheets.

How long does it take to switch HR systems?

It depends on how many staff, documents and leave records you hold. Plan a test import, check balances for a few people, then switch at a natural break such as the start of your holiday year.
