The best receipt scanner app is the one that connects to your accounts. Hubdoc suits Xero users, QuickBooks receipt capture suits QuickBooks users, Dext suits businesses with an accountant, and Expensify and Zoho Expense suit teams that claim expenses.
Every business owner has the receipt drawer. Faded till slips, crumpled taxi receipts and a hotel bill from a trip you've half forgotten. At year end it all lands on your desk or your accountant's, and some of it can't be read any more. A receipt scanner app turns each one into a clean digital record the moment you get it, and the best ones pull out the date, amount and supplier for you.
What a good receipt scanner app does
- Reads the receipt for you. Text recognition pulls out the supplier, date, total and tax so you don't type it.
- Sorts it. It suggests a category, such as travel or software, and learns your habits.
- Catches email receipts. Many give you an email address to forward online receipts to.
- Sends it to your accounts. It links with tools such as Xero, QuickBooks or FreeAgent so expenses appear in your books.
- Keeps the image. The original photo stays attached as your record.

Which type suits you?
Sole traders and freelancers
If you have a handful of receipts a week, the receipt capture built into your accounting software is often enough. QuickBooks has it, and Xero users can use Hubdoc. Fewer apps means fewer logins and less to go wrong.
Small teams
Once other people spend money for the business, you need approvals and expense reports. Expensify and Zoho Expense are built for that. Staff snap their receipts, you approve them, and repayments follow.
Businesses with an accountant
Ask your accountant first. Many UK accountants already use Dext and can link your account to theirs, which saves everyone time at year end.
Tips for scans that stay readable
- Lay the receipt flat on a dark surface so the edges stand out.
- Photograph it in good light, without your shadow across the print.
- Capture the whole receipt, including the supplier name, date, total and tax line.
- Scan thermal till receipts quickly, because the print fades within months.
- For long receipts, use the app's multi-page or long-capture option rather than cutting the paper.
Check the extracted details before you save. Text recognition is good, but it still misreads faded totals and foreign currencies. A five-second glance now saves a long hunt later.
Do you still need the paper copy?
Usually not. HMRC and the IRS both accept digital copies of receipts as long as they're complete, readable and kept for the required time. In the UK, sole traders generally keep records for at least five years after the 31 January Self Assessment deadline for that tax year, and limited companies usually keep them for six years. In the US, the IRS generally asks for three years, with longer periods in some cases. Check the rules that apply to you, and keep scans backed up somewhere other than your phone.
Beyond receipts: other records worth capturing
- Mileage. If you use your own car for work, a log of business journeys supports your mileage claims. Several receipt apps include a mileage tracker.
- Invoices from suppliers. Forward PDF invoices to the same inbox so everything sits in one place.
- Card statements. A statement on its own isn't usually enough to prove what you bought, but it helps you spot missing receipts.
- Home office costs. If you claim for working from home, keep bills and a note of how you worked out the business share.
Keeping your financial records secure
Receipts show where you've been, what you bought and sometimes your card details, so treat the app like your bank. Use a strong, unique password and switch on two-factor login. Check who in your team has access, and remove people when they leave. Before you sign up, look at where the provider stores data and whether you can export everything if you switch. A tool that locks your records in is a problem at year end and a bigger one if the company closes.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Getting the habit to stick
- Snap every receipt before you leave the shop, cafe or taxi.
- Forward online receipts the moment they arrive, using the app's email address.
- Add a note for anything unclear, such as who you met for a business lunch.
- Spend ten minutes each Friday checking categories.
- Reconcile with your bank feed every month, so nothing goes missing.
Know what counts as an expense
A scanner app records receipts, but it doesn't decide whether something is a business expense. My guide to whether you can claim AI tools as a business expense is a good example of the thinking. If you're unsure what paperwork you need, read whether it's an invoice or a receipt. For bigger teams, my roundup of the best expense management software goes further.
