Piano teacher software is what a private teacher or small music school uses to run the studio: scheduling lessons, managing students and families, sending invoices and teaching online. It comes as studio tools built for music teachers, general lesson and tutoring software, and plain booking tools you adapt. Ten options follow in no particular order.
Most piano teachers start with a paper diary and a spreadsheet, and it works until the studio passes a dozen students and the rescheduling texts take over the weekend.
The ten tools below are for teachers, not students: the apps that teach children to play are a different list. They're listed alphabetically and in no particular order, and every description comes from each company's own website, as of Nov 2026.

Teachworks
Best for: Music schools and tutoring businesses that want recurring lessons, instructors, room bookings and recitals managed, with automated recurring billing.
Built for music teachers, built for lessons, or built for bookings
The vendor pages split three ways. Duet's title is Studio Management Tools for Music Teachers, Jackrabbit Music is Music School Management and Scheduling Software, and My Music Staff says it's designed for music studios of all sizes, from private in-home lessons to travelling teachers.
Opus1 sits in the same camp but leans towards schools, with the line Everything You Need to Run Your School in One Place. Teachworks comes from tutoring, Simplify and Automate Your Tutoring Business, with a music school option that manages recurring lessons, rooms and recitals.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Then come general tools. Acuity Scheduling lists ceramics, dance and music lessons among the businesses it serves, while Setmore and Square Appointments are general schedulers that say little about lessons, so you'd set them up yourself. Lessonspace is The Platform for Virtual Classrooms and Online Tutoring, and Soundslice offers to Create living sheet music, which helps with the teaching rather than the admin.
That's the split. Studio tools are shaped around students, families and recurring lessons out of the box, while a general scheduler needs more setting up but may already be in your toolkit.
Jobs a piano studio app should take off your hands
- Recurring lessons. Weekly slots that repeat without re-entering them, and an easy way to move just one.
- Makeup lessons and cancellations. A clear policy the software can apply, so you aren't negotiating by text.
- Family accounts. One parent paying for two or three children, with one login and one invoice.
- Invoices and payments. Automatic invoices and online payments, so you stop chasing at the door.
- Reminders. Email or text reminders before each lesson cut down on no-shows.
- Lesson notes and practice. Somewhere to record what was covered and what to practise before the next lesson.
- Online lessons. A video link or virtual classroom for students who can't make it in person.
How to move a piano studio onto software
- List every student, parent contact and regular lesson slot in one spreadsheet first.
- Write down your cancellation and makeup policy so you can set it up in the tool.
- Shortlist two tools of the right kind and try each with your own calendar.
- Import students and set up recurring lessons before term starts, not halfway through.
- Tell families how booking, reminders and payments will work, in one short message.
- Run both systems side by side for the first few weeks, then retire the spreadsheet.

My plain advice on choosing piano teacher software
Match the tool to the size of your studio. A solo teacher with a handful of students can do well with a general booking tool on a free plan, as long as reminders and payments work. Once you've got families with several children, recurring weekly slots and makeup lessons to track, a studio tool built for music teachers saves hours. If you run a school with several teachers and rooms, look at school management software. And if you teach online, add a virtual classroom rather than relying on a plain video call.

Frequently asked questions
What is piano teacher software?
It's software that helps a piano teacher run the studio side of the job: scheduling lessons, keeping student and family records, sending invoices and reminders, and collecting payments.
Is there free software for piano teachers?
Some general scheduling tools have a free plan, and some studio tools offer a free trial. Check each vendor's own page for what's included.
What's the difference between piano teacher software and a piano learning app?
Teacher software runs the business: bookings, families and payments. Learning apps teach the student to play. Many teachers use both.
Can I use a general booking app for piano lessons?
Yes. A general scheduler can work for a small studio, though you'll have to set up recurring lessons, families and makeup rules yourself.
Do piano teacher apps handle makeup lessons?
It depends on the tool. Test a cancellation and a makeup booking during your trial, using your own policy, before you move students over.
Can I teach piano lessons online with these tools?
Some include video links or a virtual classroom. Others are scheduling only, so you'd pair them with a video or classroom tool.
