Nurse scheduling software builds and shares shift rotas for nursing teams, tracks who's available and helps fill gaps without endless phone calls. Some are full healthcare workforce systems, some connect you with outside nurses for open shifts, and one is an app nurses use for their own calendars. Ten options follow in no particular order.
A nursing rota has more rules than almost any other schedule. Skill mix, night shifts, rest between shifts, holidays, training and last-minute sickness all land on one spreadsheet, usually the night before.
Scheduling software takes the arithmetic off the manager. The ten tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you're choosing for a wider team as well, my guide on choosing an online scheduling tool for your team covers the basics.
Nurse scheduling tools side by side
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site says the tool, or a plan or version of it, is free or open source. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

The night work rule a nurse rota can quietly break
GOV.UK says staff who regularly work at least 3 hours during the night period are night workers. The night period is usually 11pm to 6am. Night workers must not work more than an average of 8 hours in a 24-hour period, and the average is usually worked out over 17 weeks.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Long night shifts are normal in nursing, so this is where rotas go wrong. Each shift can look fine on its own while the average across the reference period creeps over the limit. Good scheduling software tracks the running average for each person, so you see the problem weeks before it lands, not after.
Workforce system, staffing platform or nurse app?
A workforce system builds the rota, tracks hours and often links to payroll and HR. It's the core tool for a ward, a practice or a group of care homes.
A staffing platform helps when your own team can't cover every shift. You post the gap and qualified professionals pick it up.
A nurse app is for the person working the shifts. It keeps their own calendar, swaps and colleagues in one place, whatever system the employer uses.
Seven questions to ask before you switch rota software
- Can it flag night work averages and rest breaks for each nurse?
- Does it handle skill mix, not just head count?
- Can nurses swap shifts in the app with approval?
- Does it connect to your payroll and HR systems?
- Can you post open shifts to your own bank staff first?
- Does it record training and competency dates?
- Will it work on the phones your nurses already carry?
Signs your nurse rota needs software
- The rota lives in a spreadsheet. Move it online.
- Gaps get filled by phone at night. Post open shifts.
- Nobody tracks night averages. Let the system do it.
- Swaps happen in group chats. Bring them into the app.

My plain advice on nurse scheduling software
Before any demo, write down the three rota rules that cause you the most trouble, such as night averages, weekend fairness or skill mix on every shift. Ask each vendor to show you those three working, live, with your own sample rota. A tool that can't show you that in a demo won't fix it on the ward.

Frequently asked questions
What is nurse scheduling software?
It's software that builds and shares nursing rotas, tracks availability and hours, and helps fill open shifts, often with links to payroll and HR.
Is there free nurse scheduling software?
None of the ten tools above named a free plan on the pages I read. Ask each vendor what a trial or demo includes for a team your size before you commit.
What are the night work limits in the UK?
GOV.UK says night workers must not work more than an average of 8 hours in a 24-hour period, usually averaged over 17 weeks.
Can nurses swap shifts in scheduling apps?
Many tools let staff request swaps in the app, with a manager approving them. Check how approval works before you roll it out.
Do nurses use their own scheduling apps?
Yes. Some apps are built for nurses to manage their own shift calendars and colleagues, separate from the employer's system.
What's a float pool?
It's a group of staff who move between units to cover gaps. Some scheduling tools route float pool staff to wherever demand is highest.
