The best meeting room booking systems show which rooms are free, let people book from Outlook, Google Calendar or an app, and release rooms when nobody turns up. Some are simple room schedulers with tablet displays, while others are full workplace platforms that cover desks, visitors and space analytics. Eleven options follow in no particular order.
Hybrid working has made meeting rooms oddly scarce. On busy days every room's booked, yet half of them sit empty because the meeting moved online or the organiser forgot to cancel. On quiet days nobody's sure which rooms are even available.
The eleven booking systems below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. And if your meetings themselves are the real problem, my guide to meetings that stretch on forever might help more than any software.

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free allowance or an open source version. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to start for free, so check the vendor's page before you sign up.

Why hybrid work changes how you allocate rooms
GOV.UK says employees can make a request for flexible working from their first day in a job. In practice, that means hybrid patterns are here to stay, and the number of people in the office changes from one day to the next.
Fixed room allocations don't cope well with that. A booking system shows real demand, frees up rooms that aren't used and gives facilities teams the data to decide whether they need more small rooms or fewer large ones.
Room scheduling versus full workplace platforms
A room scheduler does one job: it shows which rooms are free and lets people book them, often with a tablet by the door. It's quick to set up and easy to explain.
A workplace platform adds desk booking, visitor management, floor maps and analytics. It suits organisations rethinking their whole office rather than fixing room clashes.
Questions to ask before you choose a booking system
- Does it work with Outlook, Google Calendar or both?
- Can rooms be released automatically when nobody checks in?
- Do we need displays outside each room?
- Will we also want desk booking later?
- What reports show how rooms are used?
- How easy is it for visitors and new staff?
Signs your office needs a room booking system
- Rooms are booked but empty. Release no-shows automatically.
- Meetings clash at the door. Show live availability.
- Nobody knows which rooms exist. Add a floor map.
- You're planning a new office. Measure real room use first.

My plain advice on choosing a meeting room booking system
Pick the system that works inside the calendar your team already uses every day. If people have to open a separate app to book a room, many won't, and you'll be back to clashes within a month.
Turn on automatic release for rooms nobody checks into, then look at the usage reports after a few weeks. They'll tell you more about your office than any survey. If you're planning a move as well, my tips on keeping downtime low during an office move are worth a read.
Frequently asked questions
What is a meeting room booking system?
It's software that shows which meeting rooms are free and lets people book them from a calendar, app or display outside the room.
Can I book meeting rooms in Outlook?
Yes. Several systems work inside Outlook or Microsoft 365, and others connect to Google Calendar.
What is automatic room release?
If nobody checks in to a booked room within a set time, the system releases it so someone else can use it.
Do I need tablets outside each room?
Not always, but displays make it easy to see and book rooms on the spot.
Can one system handle desks as well as rooms?
Many workplace platforms handle meeting rooms, desks and visitors together.
Is there a free meeting room booking system?
Some vendors offer free trials. The free plan column above shows what each vendor's site says.
