Lead retrieval apps let exhibitors capture and qualify leads at trade shows and conferences by scanning badges or business cards, adding notes and syncing contacts to a CRM. There are two kinds: capture apps you bring to any show, and lead retrieval built into an organiser's event platform, which only works at events running that platform. Ten options follow in no particular order.
Every exhibitor knows the feeling of coming home from a show with a pile of cards, a phone full of badge photos and no idea which ones were worth a call. Lead retrieval apps are meant to stop that, but the first question is whether you can use your own app or must use the one the organiser picked.
The ten options below are listed alphabetically and in no particular order, and every description comes from each vendor's own website, read as of Oct 2026.

Bring your own app or use the organiser's?
Here's what I found reading the vendor pages. On the exhibitor side, Popl is a platform for event lead capture that lets you capture leads, scan badges, enrich data and sync it to your CRM, Covve is a business card scanner and lead capture app, Blinq starts from digital business cards, and Captello calls itself the lead capture system of record. iCapture's page is now titled Intelligent Trade Show Lead Capture Software, under the Cvent name.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
On the organiser side, the app comes with the event. Bizzabo describes contactless lead retrieval through its Klik SmartBadges, Eventdex offers an app for attendees and exhibitors on iPhone and Android, and Stova and Fielddrive centre on check-in, badge printing and onsite delivery, with lead retrieval for exhibitors as part of it. If the badge only scans in the organiser's app, that's the one you'll use, so ask before you book the booth.
What a lead retrieval app should capture
- The contact. Name, company, role and email from a badge scan, a business card or a QR code.
- The conversation. Quick notes or a voice memo on what you talked about, so follow-up doesn't read like a template.
- A rating. Hot, warm or cold, or a few qualifying questions, so sales knows who to ring first.
- The sync. A clean push into your CRM, ideally the same day, with the event name attached for reporting.
Six questions to ask before your next trade show
- Does the organiser require its own lead retrieval app, or will badges scan in any app?
- Does it read the show's badge format, business cards and QR codes?
- Does it work offline in a hall with poor signal?
- Can you add qualifying questions and notes in a few seconds?
- Which CRM does it sync to, and does it tag each lead with the event?
- How many staff on your stand can use it at once?

My plain advice on lead retrieval apps
Ask the organiser first. If the show runs an event platform whose badges only scan in its own app, use that one, and plan how you'll get the leads out into your CRM afterwards. If you exhibit at lots of different shows, a capture app you bring with you keeps every lead in one place and one format. Either way, agree on a two-second rating and a one-line note with your stand team before the doors open, because that's what makes the follow-up work.

Frequently asked questions
What is a lead retrieval app?
It's an app exhibitors use at trade shows and conferences to scan badges or business cards, add notes and ratings, and send the leads to a CRM.
Must I use the organiser's lead retrieval app?
Sometimes. Some events only let badges scan in the organiser's own app, so ask before the show. Other events let you bring any app that reads the badge.
Can lead retrieval apps scan business cards?
Many can. Several on this list scan paper cards, QR codes and digital profiles as well as event badges.
Do lead retrieval apps work offline?
Some do and sync later. At least one on this list says it works offline, which matters in a busy hall with poor signal.
How do I qualify leads at a trade show?
Agree on a quick rating and two or three qualifying questions with your team before the show, and add a one-line note after every conversation.
Which CRMs do lead retrieval apps connect to?
Most connect to the big CRMs. Check each vendor's integrations page for yours, and ask whether each lead is tagged with the event name.
