Event Registration Software (2026): 10 Tools Compared

Event registration software lets people sign up for your event online, collects their details and sends confirmations. Some tools add ticketing, badges and check-in, some suit training courses, and some are simple form builders. Choose by event size, whether you take payments and what else you need. Ten options follow, in no particular order.

Registration is the first thing attendees see of your event, and it shapes everything after it. A clumsy sign-up form loses people. A good one collects what you need, confirms the booking and feeds your check-in, badges and follow-up.

The ten tools below cover enterprise event platforms, all-in-one suites for smaller conferences, a training management system, a WordPress plugin and a simple form builder. They're listed alphabetically and in no particular order, and every description comes from each provider's own website, read this week. If you're planning a series of community events, my community event programming template helps you map the season first.

Event registration software at a glance

I checked the free plan column on each tool's own website or App Store listing, as of Oct 2026. Yes means the page says the tool, a plan or a version of the tool is free. Trial only means a time-limited trial. Not stated means the page I read named neither, even where there's a button inviting you to start, so check before you sign up.

Which registration tool fits your event

  • A big conference with hotels: a platform with room blocks, such as Cvent or Accelevents.
  • Training courses that repeat: a training system such as Arlo.
  • Events on your own WordPress site: Event Espresso.
  • A simple sign-up form: Jotform.
  • Public events people browse for: Eventbrite.
  • Academic conferences with abstracts: EventsAir.

The ICO, the UK's data protection regulator, says in its guide to electronic mail marketing that you must not send marketing emails or texts to individuals without specific consent. There's only a limited exception for your own previous customers, often called the soft opt-in.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Here's what that means for registration: someone signing up for your event hasn't automatically agreed to your newsletter. Add a separate, unticked box for marketing consent, keep the event emails themselves to the event, and record who ticked it and when.

What to collect on an event registration form

  1. Only the details you need: name, email and anything required for entry.
  2. Ticket type or session choices, if your event has them.
  3. Accessibility and dietary needs, so you can plan ahead.
  4. A separate, unticked box for marketing emails.
  5. A clear confirmation message and email with the date, place and what to bring.

Free tools or a full event platform

For a single small event, a form builder or a free-to-start platform is often enough. You collect sign-ups, send a confirmation and you're done.

Once you're running bigger or repeat events, the extras start to matter: payments, waiting lists, badges, check-in, room blocks and reports. That's when an all-in-one platform saves more time than it takes to learn.

Signs you've outgrown your registration tool

  • You're copying data between spreadsheets. Look for integrations.
  • Check-in queues are long. You need on-site check-in tools.
  • Sessions overbook. You need capacity limits per session.
  • You can't see who attended. You need attendance reports.

Do you make event registration software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on event registration software

Map your attendee's journey from the first email to the badge at the door, then pick the simplest tool that covers every step. Don't buy an enterprise platform for a workshop, and don't run a two-day conference on a basic form.

If some of your events are online, my guide to choosing webinar software covers the virtual side.

Frequently asked questions

What is event registration software?

It's software that lets people sign up for an event online, collects their details, takes payment if needed and sends confirmations.

Is there free event registration software?

Yes. Some tools are free to start or offer a free core version, and simple form builders can handle small events.

Can I add a newsletter sign-up to my registration form?

Yes, but in the UK the ICO says you need specific consent for marketing emails, so use a separate, unticked box.

What's the difference between registration and ticketing software?

Registration focuses on collecting attendee details and sign-ups. Ticketing focuses on selling tickets. Many tools now do both.

Do I need registration software for a free event?

It still helps. You'll know numbers, collect contact details for updates and can manage check-in on the day.

Can registration software print badges?

Some platforms include badge printing and check-in, which saves time at larger events.
