Best ERP Software for Small Business: 10 Systems

The best ERP software for small business connects your accounting, stock, orders and operations in one system, so you stop copying data between spreadsheets and apps. Some are full cloud suites, some are inventory-led and some are open source. Ten options follow in no particular order.

Most small businesses don't set out to buy ERP. They get there when the spreadsheets break, stock numbers don't match and month-end takes a week. That's the moment a connected system starts earning its place in time saved.

The ten systems below are listed alphabetically and in no particular order, from open source options to long-established suites. Each description comes from the vendor's own site, read this week. If you're not ready for ERP yet, start with the best bookkeeping software for small business and grow from there.

The VAT rule your ERP has to handle in the UK

Here's a check UK businesses can't skip. GOV.UK says VAT-registered businesses need to sign up to Making Tax Digital and use compatible software to keep their VAT records and file their VAT returns.

If you're VAT-registered in the UK, check the ERP you choose can file VAT returns under Making Tax Digital, either itself or through the accounting software it connects to. Ask the vendor to show you, not just tell you.

Signs you've outgrown spreadsheets

  • Stock levels in your spreadsheet never match what's on the shelf.
  • Orders get typed into two or three systems by hand.
  • Month-end reports take days to put together.
  • Only one person knows how the business really runs.

If two or more of those sound familiar, it's time to look at ERP. The goal isn't more software, it's one version of the truth that everyone can trust.

How to run an ERP selection without losing months

  1. Write down the five processes that hurt most today.
  2. Shortlist three systems that fit your size and industry.
  3. Ask each vendor to demo those five processes with your data.
  4. Talk to a customer of a similar size before you sign.
  5. Plan data migration and training before go-live, not after.
  6. Start with core finance and stock, then add modules later.

Inventory-led or finance-led?

Some systems start from stock and orders, then connect to your accounting. Others start from finance and add operations around it. Product businesses with lots of stock movements usually do better with an inventory-led system, while service businesses often prefer a finance-led suite.

Data migration, the step people underestimate

Moving customer records, product lists and opening balances into a new system takes longer than anyone expects. Clean your data before you move it, decide what history you really need and run the old and new systems side by side for at least one month-end.

Training your team

The best ERP is useless if your team works around it. Give everyone role-based training, appoint one internal champion and keep a short list of how-tos for the tasks people do every day. You'll get far more from the system if everyone trusts it.

My plain advice on ERP for a small business

Buy for the business you'll be in two or three years, not the one you'll be in ten. Small businesses often pick a system built for much bigger companies and end up using a fraction of it while living with all the complexity.

Get your processes clear before you choose. ERP makes a good process faster and a messy one messier. If your team can't explain how an order moves from sale to delivery, fix that on paper first, then pick the software that matches it. Frequently asked questions

What is the best ERP software for small business?

It depends on your industry and how you sell. Product businesses usually need strong inventory, while service businesses care more about projects and finance.

Is there free ERP software for small business?

Yes. Open source and free-start options appear on this list. Check the table for each system.

Do UK businesses need ERP that supports Making Tax Digital?

GOV.UK says VAT-registered businesses must use compatible software to keep VAT records and file VAT returns, so your ERP or the accounting tool it connects to needs to handle that.

How long does ERP take to set up?

Small businesses can often go live on core modules in weeks, but full rollouts take longer, especially when moving a lot of data.

What's the difference between ERP and accounting software?

Accounting software handles your books. ERP connects the books to stock, orders, purchasing and operations.

Can I start small with ERP?

Yes. Many systems let you start with one or two modules, such as finance and inventory, and add more as you grow.
