The best eQMS software runs your quality processes electronically: document control, training records, CAPA, deviations, audits and supplier quality, with the audit trails regulators expect. Medical device, pharma and regulated manufacturers each need slightly different things, so the right system depends on your sector and size. Eleven options follow in no particular order.
Paper and shared drives can run a quality system, and plenty of small companies start that way. It works right up until the auditor asks for the training record behind a signed procedure and someone spends a day finding it.
An electronic quality management system turns that day into minutes. The eleven tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. My piece on making pharmaceutical manufacturing safer covers the shop-floor side.
eQMS software side by side
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free account or an open source edition. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

The FDA rule for device makers has changed
The FDA says its Quality Management System Regulation (QMSR) became effective on February 2, 2026. It amends the device current good manufacturing practice requirements of 21 CFR Part 820 and incorporates by reference ISO 13485:2016, the international standard for medical device quality management systems.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
So medical device makers selling in the US now work to an ISO 13485-based rule. If that's you, ask every eQMS vendor how its records, workflows and templates map to the standard, not just to the old Part 820 wording.
Validation is part of the purchase
In regulated industries the software itself has to be shown to work as intended. Some vendors include validation packs and support, while others leave more of that work to you.
Ask exactly what's included, how upgrades are handled and who signs off each release. A quick start can turn into months of validation effort if this is left vague.
If your quality work is in food production, this guide to food safety tools compares tools with ready-made checks.
Questions to put to every vendor
- Which regulations and standards is it built around?
- What validation support is included?
- How are electronic signatures and audit trails handled?
- Can it manage training records linked to procedures?
- How do CAPA and deviations connect?
- How long does a typical rollout take?
Quality systems rely on controlled documents, and this guide to policy management software covers tools that keep one current version of every policy.
Signs your quality system needs software
- Audit prep takes weeks. Centralise records.
- Procedures exist in several versions. Control documents.
- CAPAs stall without owners. Add workflows.
- Training records live in spreadsheets. Link them to procedures.
Do you make quality management or compliance tools? Tool makers can ask to be considered for a featured place on this list.
My plain advice on eQMS software
Pick an eQMS built for your sector, because a medical device company and a food manufacturer face different auditors. Then move document control and training first, since those are what auditors ask for most.
Bring your quality team into the trial, not just IT. They're the ones who'll live in the system every day, and if they don't trust it, they'll keep a shadow spreadsheet. For wider ideas on modernising production, my piece on tools reshaping manufacturing efficiency helps.
Frequently asked questions
What is eQMS software?
An electronic quality management system manages quality processes such as document control, training, CAPA, audits and deviations in software rather than on paper.
What is the FDA QMSR?
It's the FDA's Quality Management System Regulation, effective February 2, 2026, which amends 21 CFR Part 820 and incorporates ISO 13485:2016 by reference.
Is an eQMS the same as a QMS?
A QMS is the quality system itself. An eQMS is software that runs that system electronically.
Do eQMS tools need validation?
In regulated industries, usually yes. Ask each vendor what validation support is included.
Which industries use eQMS software?
Medical devices, pharma, biotech and other regulated manufacturers use them most, along with any company working to ISO quality standards.
Can an eQMS handle training records?
Yes. Most link training to controlled documents so you can show who was trained on each procedure.
