Absence Management Software (2026): 10 Tools Compared

Absence management software records sickness, holidays and other leave in one place, so managers can see who's off and spot patterns early. Compare each one on sickness records, holiday balances and manager approvals. The deciding factor is whether you need full HR software or just a clear leave planner. Ten options follow in no particular order.

Absence is one of those problems nobody sees until it piles up. A missed return-to-work chat, a holiday clash in the busiest week or a sick note that never got filed all start as small admin gaps, and they're far easier to fix with a system than with a shared spreadsheet.

The ten tools below cover simple holiday planners, full small business HR systems and specialist US leave software. They're listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you want the wider HR picture first, my guide to HR software for small businesses compares the all-in-one systems.

Absence management tools compared

I checked the free plan column on each vendor's own website, as of Oct 2026. Yes means the page I read names a free plan, version or account. Trial only means a time-limited trial. Not stated means the page I read named neither, even where there's a button to try it, so check with the vendor before you sign up.

The fit note rule that counts weekends

GOV.UK says employees must give their employer a fit note if they've been ill for more than 7 days in a row and have taken sick leave, and that this includes non-working days such as weekends and bank holidays.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

That catches out plenty of absence systems. If your software only counts working days, someone off sick from a Wednesday to the following Wednesday may look like five days of absence when they've passed the point where a fit note is due. Check that the tool counts calendar days for sickness, and set a reminder to ask for the note so it doesn't turn into an awkward conversation weeks later. My guide to UK HR support services covers who to call when a case gets complicated.

Leave planner or full absence management?

A leave planner handles holidays well. Staff request time off, managers approve it, and everyone can see a calendar of who's away. For a small team that mostly needs to avoid clashes, that's often enough.

Full absence management adds sickness records, return-to-work notes, trigger points for repeated short absences and reports for HR. It suits teams where sickness patterns matter, such as shift work, care and retail.

Specialist leave software goes further again, handling legal leave entitlements and workplace accommodations case by case. That's mostly a US need, where employers manage complex leave of absence rules.

Six things to check before you choose

  1. Does it count calendar days for sickness, not only working days?
  2. Can staff book leave from their phones?
  3. Will it handle part-time and irregular hours fairly?
  4. Can you add your own absence types, such as jury service or compassionate leave?
  5. Does it export cleanly to your payroll?
  6. Can managers see patterns without exporting a spreadsheet?

Signs your absence tracking is slipping

  • Holiday clashes keep happening. Nobody can see the calendar.
  • Sick days go unrecorded. Managers forget to log them.
  • Return-to-work chats get skipped. There's no prompt.
  • Payroll asks for leave totals. You rebuild them by hand.

Do you offer absence or leave management software? Providers can ask to be considered for a featured place on this list.

My plain advice on managing absence

Pick the tool your managers will open, not the one with the longest feature list. Absence software only works when every manager records every absence on the day it happens, and that habit dies quickly if the system is slow or confusing. Run a two-week trial with your busiest team before you roll it out, and ask them what got in the way.

Frequently asked questions

What is absence management software?

It's software that records employee sickness, holidays and other leave, shows who's off and helps managers spot absence patterns.

When does an employee need a fit note?

GOV.UK says when they've been ill for more than 7 days in a row, counting weekends and bank holidays.

Is a leave planner the same as absence management?

Not quite. A leave planner handles holiday requests. Absence management also records sickness and return-to-work steps.

Can small businesses use absence software?

Yes. Several tools are built for small teams and focus on holidays and sickness rather than a full HR suite.

Can staff request leave from their phones?

Most absence tools have mobile apps or work in a phone browser, and some take requests inside chat apps.

Does absence software connect to payroll?

Many tools export leave data for payroll. Check the export format before you buy so it matches your payroll system.
