Notion AI Meeting Notes transcribes your meeting and writes a summary with key points and action items, and as of Nov 2026 it needs Notion's Business or Enterprise plan, or an eligible mobile subscription where Notion AI is included. You start it by typing /meet on any page in the desktop app and pressing Start transcribing.
The setup takes a minute. The thing that decides whether you get a useful transcript is where you record, because desktop, browser and phone each hear something different.
Who can use it
As of Nov 2026, Notion's help page lists these requirements:
- Business or Enterprise plan, or an eligible mobile subscription where Notion AI is included.
- Desktop app version 4.7.0 or higher.
- macOS 13 or later on a Mac, or the latest version of Windows.
- Screen recording and system audio permissions, so Notion can hear other participants when you wear headphones.
If you're on Free or Plus, Notion's AI FAQ says you get a limited number of complimentary AI responses to try its AI features. Meeting Notes itself is a Business and Enterprise feature, and the FAQ still calls it a beta. Notion's help pages don't give prices, so check Notion's own plans page.
Start a recording
- Open the desktop app and type /meet on any page. For notes as their own page, use the Meeting notes tab in the sidebar or the compose button.
- Before the call, add your agenda or context under Notes. The summary takes those notes into account.
- Get consent from everyone in the meeting (more on that below).
- Select Start transcribing. Doing so confirms everyone has consented to the meeting being recorded and transcribed.
- Select Stop when you're done, or let Notion stop on its own when it detects you've left the call. The summary starts generating automatically.
Two small rules. You need at least one minute of recorded audio for a summary, which Notion's FAQ puts at 300 transcribed characters. And there's a daily usage limit of 10 hours per user. If you forgot to record, you can upload an existing file instead: open the settings icon on the Meeting Notes block and choose Upload audio. Supported formats are AAC, M4A, MP3 and WAV.
The desktop app will also prompt you to start notes when you join a video call, and you can start from the Upcoming events tile on Home.
What Notion can hear
This is the part that catches people out, so here's the split straight from Notion's guide:
| Where you record | What Notion hears | Best for |
|---|---|---|
| Desktop app | System audio and your mic, so every side of the conversation | Video calls |
| Browser | Your microphone only, no system audio | In-person conversations |
| Mobile app | Only what the phone's microphone picks up | In-person meetings, or call audio playing out loud from another device |
The trap is the phone. If you join a video call on your phone and listen through headphones or earbuds, Notion won't hear or transcribe the other participants. In a browser, call audio from Google Meet, Zoom or Teams won't be captured if you wear headphones either. For virtual calls, use the desktop app.
Consent before you start
Pressing Start transcribing is you confirming that everyone agreed, so ask first. Notion gives you three ways:
- Text: open the slider icon at the top of the block, hover over Consent, edit the message and paste it into the call's chat.
- Voice: click the speaker icon at the bottom of the block before you start, and Notion plays a consent message to everyone.
- Say it out loud: a simple question works.
Here's the detail most people miss. The voice message plays through your computer speakers, not your conferencing mic. Unmute your speakers and take your headphones off, or the room won't hear it. In Google Meet, the Notion Meetings Add-on posts and pins a message in the chat and shows a recording indicator, so late joiners see it too.
Workspace owners can make a consent message play automatically for everyone, and Enterprise organisation owners can require it across every workspace. Recording laws differ from place to place, and Notion's own page says its guidance isn't legal advice. It recommends following the strictest rules and getting consent from every participant, and stopping to ask again when someone joins late. Check the rules where you and your guests are.
Make the summary fit the meeting
Instructions are set to Auto by default. Go to Instructions at the bottom of the block to pick a built-in type such as a sales call, standup or team meeting, or click Add custom instructions and edit the template page that opens. Custom instructions are private unless you share them. Changes only apply to new recordings, so click Retry summary to redo an existing one. To make a format your default, hover over it and choose Set as default.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Summaries carry citations. Hover over one to see the transcript snippet behind it, or click it to jump to that line. Speaker labels work best in virtual one-to-one meetings on desktop, and as of Nov 2026 they're English only.
Skills and follow-ups
On web and desktop, not mobile, Notion suggests skills on the note itself. During a meeting you'll see Catch me up, Suggest questions and Recap decisions. Afterwards you'll see Make summary more detailed, Create follow-up tasks and Complete action items for me. You can add your own, such as a follow-up email, and each list holds up to 12 skills.
Where the notes go and who sees them
New notes are saved to your default meetings database, and if you don't have one, Notion creates a private My meetings database. Every note has its own sharing settings, but notes in a shared database may inherit that database's access. Auto-share with internal calendar event participants is a personal setting that gives them view and edit access.
When it goes wrong
- No /meet in your slash menu: a workspace owner needs to turn on AI Meeting Notes in Settings, then Meeting notes.
- Notion keeps asking for screen and audio access: revoke it in your device settings, quit Notion, restart, then grant it again.
- Won't launch: check macOS 13 or later, update the app, and reload.
- Made-up words in the transcript: usually too little speech or poor audio. Record somewhere quiet with a good mic, and use desktop for calls.
My verdict
I'd use the desktop app for every video call, add the agenda first, and play the consent message through unmuted speakers. I'd skip the phone for video calls on headphones, because Notion won't hear anyone else. If you're still choosing a tool, my comparison of AI note takers and Notion AI alternatives will help, and my guide to Notion Agents covers what else Notion's AI can do.
If your team loses decisions after meetings, that's the kind of AI enablement I help with. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.
