The best Notion AI alternatives bring AI help to your notes, docs and tasks, either inside a workspace you already use or in a new app built around AI. Some live in office suites, some in project tools and some in personal note apps. Ten options follow in no particular order.
AI has moved into almost every workspace app. Docs suggest drafts, notes summarise themselves and task tools write updates for you. That's handy, but it also means choosing where your AI lives, because the best results come from the tool that can see the right information.
The ten tools below are listed alphabetically and in no particular order. Every description comes from the tool's own website, read this week. If you're building your own system, my second brain capture prompt pack shows how the pieces fit.

In the free plan column, Yes means the tool's own site names a free plan or free tier, Trial only means a time-limited trial and No means neither is stated on the pages read. Several of these tools offer trials or limited free use rather than a named free plan.

Ten Notion AI alternatives to consider
ClickUp Brain
Best for: Teams that run projects and docs in one work platform and want AI that can see tasks, docs and chat together.
Coda
Best for: Builders who make docs that behave like small apps, with tables and buttons, and want AI working inside them. Coda is now branded Superhuman Docs.
Craft
Best for: Individuals and small teams who care about beautiful docs and notes on Apple devices, with AI help built into writing.
Gemini for Google Workspace
Best for: Teams that already write in Docs and Gmail and want AI drafting and summaries inside the apps they use every day.
Mem
Best for: Busy professionals who capture lots of notes and want AI to surface the right one later without building folders.
Microsoft Copilot
Best for: Organisations on Microsoft 365 that want AI drafting and summaries across Word, Outlook and Teams with admin controls.
Reflect
Best for: Writers and researchers who want daily notes and linked pages stored as plain Markdown files in a folder they control.
Saner.AI
Best for: People with ADHD or scattered notes who want an assistant that turns quick captures into tasks and reminders.
Tana
Best for: People who live in meetings and want notes, decisions and promised follow-ups captured automatically into a structured workspace.
Taskade
Best for: Small teams who want to build simple AI agents and workflows alongside their task lists without any coding.
Workspace AI sees what you can see
Here's the point to understand before switching on any workspace AI. Microsoft's documentation on Microsoft Learn says its Copilot only surfaces organisational data to which individual users have at least view permissions, so the permission models in services such as SharePoint decide what it can show.
Any workspace AI is only as private as your sharing settings, so tidy up who can see what before you switch one on. Old folders shared with everyone, guest access that was never removed and public links are the usual culprits.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Office suite AI, project AI or note app AI?
Office suite AI lives inside the documents, email and meetings you already use, which makes it convenient for teams on one platform. Project tool AI can see tasks, docs and conversations together, so it's good at status updates and summaries. Note app AI focuses on capturing ideas and surfacing them later.
The best fit is usually the place where your work already lives. Moving everything to a new app just for AI rarely pays off. If your notes are scattered, though, an AI-first note app can be a good reason to finally bring them together.
Getting good results from workspace AI
- Clean up sharing permissions before you turn AI on.
- Give documents clear titles so AI can find the right one.
- Keep one source of truth for each topic instead of copies.
- Ask AI to cite the documents it used in its answer.
- Check facts and numbers before you share anything it writes.
- Agree as a team what AI can and can't be used for.
Questions to ask before you choose
- What can it see? Check which apps and files the AI can access.
- Where does data go? Read how each vendor handles your content.
- Can it cite sources? Answers that link to documents are easier to trust.
- Who can switch it off? Admin controls matter for teams.
Where AI saves the most time
The biggest wins usually come from repetitive writing: meeting summaries, status updates, first drafts of SOPs and replies to common questions. Start with one of those, measure the time saved for a fortnight and then expand. It's a far better approach than switching on every feature at once.
Trying two tools side by side
The fairest test is to give two tools the same job for a week. Ask both to summarise the same meeting, draft the same update and find the same old document. You'll quickly see which one understands your work and which one guesses. Don't judge on the first answer alone, though; you'll often get better results once you've learned how each tool likes to be asked.
Do you make an AI workspace or note-taking tool? Tool makers can ask to be considered for a featured place on this list.
My plain advice on Notion AI alternatives
Put your AI where your information is. A brilliant assistant in an app nobody uses will lose to a good one inside the tool your team opens every morning. Start there, then look elsewhere only if it can't do the job.
And keep a human in the loop. AI drafts and summaries save hours, but they still need someone who knows the work to check them. If you're setting up databases to feed your AI, my guide on creating a database in Notion covers the basics.
Frequently asked questions
What is the best alternative to Notion AI?
It depends on where your work lives. Office suite AI suits teams on one platform, project tool AI suits teams managing work and note app AI suits individuals.
Is there a free alternative to Notion AI?
A few tools on this list describe free or open-source options, and several offer trials. Check the table.
Can workspace AI see private documents?
Microsoft says its Copilot only surfaces data users already have permission to view, so tidy sharing settings first.
Is AI writing accurate?
It's useful for drafts and summaries, but always check facts, names and numbers before sharing.
Should I move my notes to a new app for AI?
Only if your notes are scattered. Otherwise, use AI inside the tool you already rely on.
Can these tools summarise meetings?
Several can, either through built-in meeting notes or by summarising transcripts you add.
