HubSpot Calling: Call Settings, Recording, Minutes and the Power Dialer

HubSpot calling lets your team place, record and log calls from inside HubSpot, and its settings live under the settings icon, then Calling, then Call Setup. The call settings come with Sales Hub and Service Hub on Starter, Professional and Enterprise as of October 2026, while the sales power dialer is Sales Hub Enterprise only.

Here's the catch. Every HubSpot account has one pooled limit of calling minutes, shared between all your users and based on your subscription. On Starter you can't add to that pool: buying more minutes needs Sales Hub or Service Hub Professional or Enterprise. If one rep spends the afternoon on the phone, everyone else is drawing from what's left.

Checking and adding calling minutes

Go to settings, then Calling, then Call Setup. Under Usage, limits, and subscriptions you'll see the minutes left in your account. Click Manage minute subscription to go to Account & Billing, where a Super Admin can upgrade, or talk to your Customer Success Manager.

Call recording, transcription and analysis

With recording on, HubSpot records, transcribes, analyses and reviews calls automatically, stores them on the Call Index page and associates related records with them. Recording is on by default in new HubSpot accounts, which is worth knowing before your team's first call. Turn it off and the Record button disappears during calls.

  1. Go to settings, then Calling, then Call Setup, and click the Call Configurations tab.
  2. Toggle the Call recording switch on.
  3. Under Recording direction, choose Record inbound calls only, Record outbound calls only, or custom settings.
  4. For custom settings, click Edit inbound exemptions or Edit outbound exemptions and pick the numbers, users or regions you don't want recorded. Everything else is recorded.
  5. Toggle the Transcription and analysis switch on.

The exemptions are the useful bit. You can record your whole sales line but leave out a particular user, number or region, without switching recording off for everybody.

For inbound calls you can set the consent message that plays before the caller is put through to a rep. In Call Setup, click Actions next to a HubSpot-provided number, then Edit. Edit an existing message, or open the Recording consent message dropdown and click Add/Edit audio messages. Name it, then choose Text-to-speech and type the words, or Upload Audio and add your own file. Click Save.

Making call outcomes required

If your reports depend on reps logging what happened on each call, switch on Make call outcome required in the Call Configurations tab. There are limits, though. It only applies to outbound calls placed from the HubSpot browser, or calls that are already logged. It doesn't force outcomes on inbound calls, mobile calls or imported calls, so those can still go unlogged.

Blocking numbers and turning calling off

To block high-risk or non-compliant numbers, inbound or outbound, go to Calling, then Blocked Numbers List, click Add number, choose the country, type the number and click Add. Hover over a number and click Remove to unblock it.

If your team moves to another calling tool, a Super Admin can switch HubSpot calling off for everyone. In Call Configurations, toggle Place calls using HubSpot calling off, type turn off in the box and confirm. Think about this one first: every registered number is disconnected. Your existing call records stay on the Calls Index page, and you can still make calls through Twilio Connect or another third-party provider.

Using the sales power dialer

The power dialer queues calls from your Contacts list so reps can work through them one after another. You can skip, pause or resume calls, and log notes, outcomes and follow-up tasks between them. Before you start, you need a HubSpot-provided number, calls routed to the HubSpot browser, and the calling remote turned on.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

  1. Go to CRM, then Contacts, and tick the contacts you want to call.
  2. Click the More dropdown and select Add to Power Dialer. Click View Call List to check the queue.
  3. Choose the number to call from, set the wrap time between calls and set your voicemail preference.
  4. Click Start Session, work through the call, then complete the call log.
  5. On the wrap up screen, pause for a break, click Resume Session, or click End Wrap Up Time to go straight to the next call.

When the session's done, review the calls on the Calls index page. If your reps follow up by email after each call, HubSpot sequences handle the next touches, and a HubSpot meetings link makes it easy for prospects to book the next conversation.

My verdict on HubSpot calling

I'd use HubSpot calling if your team already lives in the CRM, because every call, recording and outcome lands on the right record without copying anything across. Check your pooled minutes before you roll it out to a big team, set recording exemptions on day one, and make call outcomes required. Skip the power dialer question unless you're on Sales Hub Enterprise, since it isn't available below that. If your reps' day is mostly pipeline work, my guide to HubSpot Sales Hub covers the wider toolkit.

Logging calls is a classic job that eats a rep's day. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.

Frequently asked questions

Can I add calling minutes on HubSpot Starter?

No. Adding more minutes to your pooled amount needs a Sales Hub or Service Hub Professional or Enterprise subscription.

Is HubSpot call recording on by default?

Yes. Call recording is turned on by default in new HubSpot accounts, and a Super Admin or a user with Account access permissions can turn it off.

Which plan includes the HubSpot power dialer?

The sales power dialer is available with Sales Hub Enterprise.

Does a required call outcome apply to inbound calls?

No. Required call outcomes only apply to outbound calls placed from the HubSpot browser or calls already logged, not inbound, mobile or imported calls.

What happens when I turn off HubSpot calling?

Users lose access to the calling tool and all registered numbers are disconnected. Existing calls stay on the Calls Index page.
