The right email marketing for consultants comes down to one choice: do you want contacts and follow-ups in the same tool as your newsletter? If yes, pick a platform with a CRM built in. If you already run a CRM, a newsletter-first tool is simpler and quicker to learn. Either way, you'll want automation for proposal follow-ups.
Consultants don't need what an online shop needs from email. You're not sending daily offers to thousands of buyers. You're following up a proposal, staying in touch with past clients and sending a newsletter that reminds people what you know.
So the ten platforms below are listed alphabetically and in no particular order, and each description comes from the vendor's own website, read as of Oct 2026. If you'd like the wider view for any small business, my guide to email marketing software for small businesses covers it.
Email platforms for consultants compared
I checked the free plan column on each vendor's own website, as of Oct 2026. Yes means the page names a free plan, a free version or an open source edition. Trial only means it names a time-limited free trial. Not stated means the page I read named neither, so check the vendor's own site before you sign up.

Email with a CRM, or a newsletter tool?
This is the decision that sorts the list in two. Get it right and the rest is detail.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
- CRM-first platforms. Contacts, deals and follow-ups live in the same place as your emails. Keap's page title calls it small business CRM and automation, with no mention of email in the title at all. HubSpot's email page offers a free CRM alongside its campaign tools.
- Automation-first platforms. Built around journeys that send the next email when someone acts. ActiveCampaign leads with marketing automation and customer journeys.
- Newsletter-first and design-first tools. Quicker to learn, built for a regular update to your list. AWeber's page says it has a free plan, and Flodesk leads with design freedom and on-brand emails.
If you already keep clients in a separate CRM, you don't need a second one inside your email tool. If you don't have a CRM yet, a platform with one built in saves you joining two systems later.
The feature consultants overlook
Here's a detail you might not expect. MailerLite, a tool most people think of for newsletters, now lists appointment booking on its homepage, so you can schedule 1:1 or group calls from the same place you send your emails. For a consultant whose newsletter exists to book discovery calls, that removes a step between reading and booking.
It's worth checking the booking, course and landing page features on any platform you shortlist, because they decide whether your email tool can turn a reader into a client without sending them somewhere else first.
Five emails every consulting practice should set up
- A proposal follow-up: two or three short emails that go out if a prospect hasn't replied, written once and sent automatically.
- A welcome email for new subscribers that explains who you help and what they'll get from you.
- A regular client newsletter with one useful idea, one example from your work and one clear next step.
- A check-in for past clients a few months after a project ends, which is where repeat work usually starts.
- An invitation sequence for any talk, workshop or webinar you run, with a reminder the day before.
If you're wondering how often to send that newsletter, my guide on how many newsletters you should send answers it.

My plain advice on email marketing for consultants
Pick the tool you'll still use in six months. If you're a solo consultant with no CRM, a platform with contacts built in will keep your follow-ups tidy. If you already have a CRM you like, choose the newsletter tool you find quickest to write in, because the email you don't send is the one that loses you work. Set up the proposal follow-up first, then the newsletter.
And remember the newsletter is part of your reputation. Write it in your own voice, keep it short and make every issue useful. If you want to build that reputation beyond the inbox, my guide on building a personal brand as a consultant shows how.

Frequently asked questions
What's the best email marketing setup for a solo consultant?
Start with a tool you'll use every week, a short welcome email, a proposal follow-up sequence and a monthly newsletter. Add a CRM only when you're tracking more prospects than you can remember.
Do consultants need a CRM as well as email marketing?
Not always. If you've got a handful of active prospects, an email platform with tags and automations is enough. Once you're juggling proposals and repeat clients, a CRM keeps follow-ups from slipping.
How often should a consultant send a newsletter?
Monthly is a sensible start. It's often enough to stay remembered and rare enough that each issue can be useful.
Can I book client calls through my email tool?
Some platforms now include appointment booking, so readers can book a call from an email or landing page. Check whether the tools on your shortlist do.
Is there free email marketing software for consultants?
Some platforms name a free plan or a free CRM on their own sites, and others offer a free trial. The table above shows what each vendor's page said, as of Oct 2026.
