Practice management software runs the jobs, deadlines, time, billing and client chasing inside an accountancy firm, separate from the accounting software your clients use. UK firms usually choose between suites built for UK practices, tools from the big accounting platforms, and global workflow apps that sit on top of whichever platforms your clients prefer.
Every growing practice hits the same wall. The deadlines live in the tax software, the chasing lives in someone's inbox, and nobody can see who's working on what until a client rings to ask where their accounts are.
The ten tools below are listed alphabetically and in no particular order, and every description comes from each vendor's own website, read as of Oct 2026. If you're still choosing what your clients will keep their books in, my guide to accounting software tools covers that side.
UK accountancy practice tools compared
I checked the free plan column on each vendor's own website, as of Oct 2026. Yes means the page names a free plan, a free version or an open source edition. Trial only means it names a time-limited free trial. Not stated means the page I read named neither, so check the vendor's own site before you sign up.

UK-built suite, accounting-platform tool or workflow app?
- UK-built suites. Practice management sits next to accounts production and tax returns, so the whole job runs in one family of software. TaxCalc's page is titled accounting software for UK accountants and practices, and Capium says it's an approved HMRC and Companies House supplier.
- Accounting-platform tools. Built by the company your clients keep their books with. They work best when most of your clients use that one platform.
- Workflow-first apps. Neutral about which accounting software your clients use, and strongest on jobs, deadlines, email and team capacity. Most are built for firms worldwide rather than for UK practices alone.
Two practice tools that come bundled with an accounting platform
Here's the detail most roundups miss. Xero's practice tool is now sold as Xero Partner Hub plus Practice Management, on a page that invites you to join its partner programme, and that page says you can run your firm's own accounts on Xero for free.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Sage takes a similar route. Its page says Sage for Accountants itself is free, excluding VAT, overage and add-ons, and describes an MTD agent that segments eligible clients, simplifies HMRC client authorisations and tracks submission requirements.
So if most of your clients sit on one platform, start with that platform's own tool. If they're spread across several, a neutral workflow app is usually easier to live with.
Questions to ask on a practice management demo
- Does it create jobs from deadlines? The biggest time-saver is work that appears automatically as a filing date approaches.
- How does client chasing work? Look for automated reminders by email or SMS, so nobody spends Monday morning chasing records.
- Is there a client portal with e-signing? It keeps engagement letters and approvals out of long email threads.
- Does it pull live data from your clients' software? If it doesn't, you'll end up rekeying, and that's where errors creep in.
- How is time recorded and billed? If you bill for time, check recorded hours turn into invoices without a trip through a spreadsheet.
If your team tracks hours in a separate app today, my guide to time tracking software is worth a look before you switch.

My plain advice on picking software to run an accountancy practice
Count where your clients keep their books before you look at a single demo. Then shortlist three: one UK-built suite, the tool from the platform most of your clients use, and one workflow-first app. Run the same real client job through all three, from engagement letter to final invoice, and keep the one your team didn't need help with. Most tools here name a free trial, so this won't take long.
And if you send your own invoices from yet another tool, my comparison of invoicing software for small businesses might help you tidy that up too.

Frequently asked questions
What is practice management software for accountants?
It's the system that runs your firm rather than your clients' books: jobs, deadlines, time, billing, client communication and onboarding, usually with a client portal on top.
Is practice management software the same as accounting software?
No. Accounting software keeps a business's books. Practice management software tracks the work your firm does for each client, such as year-end accounts, VAT returns and payroll.
Does Xero have practice management software?
Yes. Xero offers Xero Partner Hub plus Practice Management to partner firms, bringing jobs, time and billing into the same platform as client management and Xero Tax, as of Oct 2026.
Which practice management tools offer a free trial?
Several do, as of Oct 2026. One UK tool states a free 30-day trial with no credit card needed, and the free plan column shows which others name a trial.
Can practice management software help with Making Tax Digital?
Some can. One accounting platform describes an MTD agent that segments eligible clients, simplifies HMRC client authorisations and helps you submit quarterly updates, as of Oct 2026.
