Wix Forms: Fields, Rules, Multi-Step Forms, Spam and Limits

Wix Forms is Wix's built-in form builder for contact, registration, job application, price quote and other forms, and every submission lands in your Forms & Submissions dashboard. As of October 2026 you can create 4 forms and add up to 3 rules per form for free, and upgrading your site removes the form limit and gets you more rules.

The thing to check first is which version you're on. There's old Wix Forms and new Wix Forms, and they behave differently. You can't switch an existing old form to the new version: Wix says to delete it and recreate it with the new features. New forms also have no CAPTCHA field to add, because spam filters are built in.

If you're working out what else Wix's free plan covers, here's what Wix free includes.

Adding a form

  1. Click Add Elements on the left of the editor.
  2. Click Create New Form and drag the form onto the page, or pick a premade form such as Contact, Subscribe or Order.
  3. Click the form, then Edit Form to open the form builder.
  4. Add, edit, duplicate or delete fields, and give the form a name.
  5. Set the required field style, the submit button text and what happens after submission: a message or a redirect to an external URL.
  6. Choose your spam filter level, then click Save and publish your site.

To show one form on every page, right-click it and select Show on All Pages. On new forms you can make columns by resizing a field and dragging another next to it, which isn't possible on old forms. Turn on Autofill contact info and signed-in members see their details filled in automatically.

Field types

Field groupWhat it's for
Contact fieldsNames, emails and other details saved straight to your Contact List
General fieldsText, numbers, links, multi choice, checkboxes and drop-downs
Date fieldsA date and or time, for scheduling or time-sensitive enquiries
Booking fieldLets clients book with you. Needs Wix Bookings installed
Payments fieldsProducts, fixed or custom prices and donations
Layout elementsHeaders and text to organise or explain a form

Custom contact fields you create in Contacts, like Date of birth, appear automatically in the new form builder. One warning: if you delete a field from a form that already has submissions, it moves aside so you can restore it, but deleting it permanently also removes all submissions linked to it.

Conditional rules

Rules let one answer decide whether another field is shown, hidden, required or optional. Wix's example is a fitness instructor whose form shows a weekly or monthly drop-down only when someone ticks the newsletter box. A form needs at least 2 fields before you can add a rule.

  1. Click the form in the editor and click the Rules icon.
  2. Click + Add Rule and choose the field the rule is based on.
  3. Pick a condition, such as is empty, is filled or is equal to. Add more conditions with And or Or.
  4. Choose the field that reacts and how: shown, hidden, optional or required.
  5. Click Save and publish, so the next visitor sees the rule.

If two rules conflict, the last one added wins. A rule breaks if the field it relies on is deleted, and it stops applying if you delete the choice it refers to. Re-add the choice with exactly the same name and it reconnects. You can include payment fields in rules on new forms too.

Multi-step forms

Long forms are easier to finish in steps, which Wix recommends for job applications, event registration and lead capture. In the form builder, use Pages to add steps and drag fields onto each one. Make sure every page has a Submit field so visitors can click Next. You can also right-click a field to move it to the following page.

Notifications

Every submission sends an email to the site owner by default, built with Wix Automations, and a notification to the Wix app. You can change who gets it, including collaborator roles, add a PDF of the submission through the form's settings and switch on Dynamic reply-to so replying goes straight to the person who filled in the form. Someone doesn't need to be a collaborator to get notifications. Add them as a contact, then pick them as a recipient.

Not receiving emails? Check spam for messages from [email protected] and [email protected], and don't use the same address as sender and recipient, because some email providers treat that as spam.

Spam filters and submission limits

Spam filter settingProtection level
Only reCAPTCHALowest. Invisible reCAPTCHA checks behaviour and shows a challenge to suspected bots
Basic and reCAPTCHAMiddle. Adds a filter based on network identifiers and contact details
Advanced and reCAPTCHAHighest. Adds an advanced filter if the first two don't flag the entry

Entries marked as spam stay in the Spam tab for 30 days and are then permanently deleted, so check it now and then. To cap entries, turn on Limit Submissions and set a number or a deadline. Once it's reached, the form is replaced with a message saying you're no longer accepting submissions. The option only appears after the form is published.

My verdict on Wix Forms

I'd use Wix Forms for any contact, quote or sign-up form on a Wix site, because submissions go straight into your contacts and dashboard. Upgrade if you need more than 4 forms, more than 3 rules, file uploads or signatures. Skip building anything new on old forms, since you can't convert them later. And check the Spam tab weekly, because real leads can land there and vanish after 30 days. For the wider platform, here's Wix reviewed.

A form only works if the right people find your site in the first place, and that now includes AI search. I run AI training and workshops for teams, and help businesses with AI enablement, workflow automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.

Frequently asked questions

You can add up to 3 rules when using Wix Forms for free. To get more, upgrade your site.

Why can't I add a CAPTCHA to new Wix Forms?

New Wix Forms don't have a CAPTCHA field because every form is already integrated with spam filters, including invisible reCAPTCHA.

Can I convert an old Wix form to the new version?

No. It isn't currently possible to switch an existing old form to new Wix Forms. You have to recreate it.

What happens to Wix form submissions marked as spam?
