HubSpot Meetings: Scheduling Pages, Link Types and Limits

HubSpot meetings lets you create a scheduling page and share its meeting link so contacts can book time on your calendar, with bookings syncing to a connected Gmail or Office 365 calendar. Free tools users and Core seats get a single One-on-One scheduling page with HubSpot branding, while a Sales or Service seat gives you multiple pages and team pages.

Here's the catch. The scheduling page URL is the link people use to book you, and it can't be edited after it's created. It can only contain letters, numbers, hyphens and underscores. Choose it carefully the first time, because the only fix later is a new page and a new link.

What your seat lets you create

Seat or plan, as of October 2026Scheduling pages
HubSpot free tools or a Core seatOne One-on-One page, with default HubSpot branding
Sales or Service seatMultiple pages, plus team scheduling pages
View-Only seatCan't create scheduling pages
Sales Hub or Service Hub Starter, Professional or EnterpriseNeeded for Group and Round robin pages

You also need Sales Access or Service Access permissions to reach the meetings scheduler. If Meetings Scheduler doesn't show under Sales in your menu, that's the first thing to check. Connect your calendar before you build anything, so contacts see your real availability.

The three meeting types

TypeHow it books
One-on-OneThe contact books time with just you, or the user you're creating it for
GroupShows only slots where every selected team member is free, for one meeting with all of them
Round robinShows each member's availability so the contact books whoever suits them best

To add someone to a Group or Round robin page, they must have activated the meetings tool, have an assigned Sales or Service seat and have their calendar connected. The person who created a Group meeting can't be removed from it. If every team member is deactivated or loses their seat, the meeting link is deactivated. With a rotation on a Round robin page, only the availability of the next person due to be booked is shown.

How to create a scheduling page

  1. Go to Sales > Meetings Scheduler (under More if you see it) and click Create scheduling page.
  2. Choose One-on-One, Group or Round robin.
  3. On the Overview page, set the internal name, organiser, event title, location, video link, description and whether contacts can cancel or reschedule.
  4. For team pages, add team members on the Team members page.
  5. On the Scheduling page, set the URL, then the availability, booking form and confirmation actions.
  6. On the Automation page, set your confirmation and reminder emails, then click Create scheduling page.
  7. Share it as a pop-up, embed code or a share link.

Availability settings that shape your diary

Available slots come from the meeting owner's connected calendar and don't change by viewer, but visitors can switch the time zone on the booking page and see your times in theirs. Turn on Consider working hours if people should only be booked during their working hours.

Buffer time and start time increments are easy to confuse, and HubSpot's examples make them clear. With a meeting from 1:00 to 1:30 PM and a 30-minute buffer, the next slot offered is 2:00 PM. With availability from 10:00 AM to 12:00 PM for a 60-minute meeting and a 15-minute increment, people can book at 10:00, 10:15, 10:30 and so on. Minimum notice time stops last-minute bookings.

For an event or conference, a Custom date range limits booking to set dates, but it can't be longer than 10 weeks, and it's only for users with a Sales or Service seat. Everyone else uses a rolling window of days or weeks from now.

The booking form

By default, contacts give their first name, last name and email. Adding your own questions needs a Sales or Service seat, and you can't add a File field. You can turn on CAPTCHA, block free email domains or block specific domains.

One behaviour worth knowing: if a form is submitted through a meetings link, a unique email address always creates a new contact, even if an existing contact has a matching user token, and the existing contact's email isn't overwritten. Turning on Allow guests also switches off Auto-submit form when all fields are pre-populated.

Confirmation and reminder emails

A confirmation email goes out by default when someone books, and you can switch it off. You can add up to three reminder emails, set in weeks, days, hours or minutes before the meeting, but they only send if your calendar's connected. Customising the subject and body of reminders needs a Sales or Service seat, as does redirecting people to a page after they book.

Reminders only go to contacts who were on the invite when it was booked. Add someone later and they won't get reminders. Remove someone and they still will. Reminders are sent as transactional emails, even if you don't have the transactional email add-on, and they don't count towards your email sending limit.

My verdict on HubSpot meetings

If you're on the free tools, your one page with HubSpot branding is enough to stop the back-and-forth emails. Pick the URL with care, connect your calendar first and set a buffer so you're not booked back to back. If you're comparing it with dedicated booking tools, here are some booking tool alternatives, and here's what the HubSpot free plan covers.
