Best AI Document Generators (2026): 10 Compared

An AI document generator creates documents for you, either by writing them from a prompt or by filling templates with your data to produce quotes, contracts, reports and letters. Some are writing apps with AI built in, some are automation tools that turn data into PDFs, and some are developer engines. Ten options follow in no particular order.

Most business documents are the same document with different names and numbers in it. Writing each one from scratch is a slow way to make mistakes.

A generator fixes that, whether you start from a prompt or a template. The ten tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you need somewhere to keep the finished files, see my round-up of document management software.

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free account, a free edition or an open source release. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

Matching a generator to the document

  • Quotes and contracts from Google Docs or Word: DocsAutomator.
  • Microsoft 365 and SharePoint users: Plumsail Documents.
  • Forms, documents and signatures together: Formstack Documents.
  • Polished docs or decks from a prompt: Gamma.
  • Notes shaped into finished documents: Craft or Zoho Writer.
  • Team hubs with AI built in: Coda AI.
  • Paperwork from vetted templates: Revv.
  • Approved content at a larger firm: Templafy.
  • Developers producing files from data: Carbone.

Why a generated document still needs a reader test

Digital.gov, from the US General Services Administration, notes that the Plain Writing Act of 2010 established the requirement that content for the public is written for its specific audience.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

That's a good standard for any business document. A generator makes it fast to produce a contract or report, but speed doesn't make it readable. Write the template, or the prompt, for the person who's got to read and act on it, then test it on one of them. If they can't tell you what it asks them to do, it isn't finished.

Prompt-based writing or template-based generation?

Prompt-based tools write the words. They're good for first drafts, summaries and documents that'll change every time.

Template-based tools keep your approved wording and drop in the details, such as names, line items and dates. They're the right shape for quotes, contracts and anything a lawyer's already checked.

Many teams use both: AI to draft the template once, automation to fill it hundreds of times. That way you aren't rewriting the wording each time, and you aren't trusting a fresh draft with a contract.

Questions to ask before you pick a document generator

  1. Can it pull data from your CRM, spreadsheet or forms?
  2. Does it output PDF, Word or both?
  3. Can documents go out for e-signature from the same tool?
  4. Who can edit the approved template?
  5. Does it file the finished document back into your records?
  6. Can it handle your brand fonts and layout?

Signs you need a document generator

  • You copy the previous file every time. Use a template.
  • Names and totals get mistyped. Pull them from data.
  • Quotes wait days for approval. Automate the routing.
  • Every document looks different. Lock the layout.

My plain advice on document generators

Pick the one document you produce most often, a quote, an onboarding pack or a monthly report, and automate only that first. Once it runs cleanly for a month, add the next. Teams that automate everything at once end up checking everything twice.

If proposals are your biggest document job, my round-up of proposal software covers tools built for that one task.

Frequently asked questions

What is an AI document generator?

It's software that creates documents for you, either by writing them from a prompt or by filling a template with data to produce quotes, contracts, reports and letters.

Can AI write a contract?

It can draft one, but have a qualified person check any contract before you rely on it, and prefer templates whose wording has already been reviewed.

Is there a free AI document generator?

Some tools are open source and others offer free use with limits. Check the free plan column above and confirm on each vendor's site.

What's the difference between document generation and document management?

Generation creates the documents. Management stores, organises and controls access to them afterwards.

Can a document generator send files for signature?

Several of the tools above include e-signatures, so a quote or contract can be generated, sent and signed in one flow.

Do I need to code to use one?

No for most of them. A few are APIs aimed at developers who want to build document creation into their own software.
