Best AI Receptionist for Small Business (2026): 10 Compared

An AI receptionist answers your business phone with a trained voice agent, handles common questions, books appointments and passes the details on to you, around the clock. Some are built for trades, some for clinics and offices, and some sit inside a phone system you may already use. Ten options follow in no particular order.

Every missed call is a customer who rings the next name on the list. For a plumber up a ladder or a solo consultant in a meeting, that's most calls.

That's the gap these ten tools fill. They're listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. Before you switch one on, run the AI receptionist test I'd do before launch so you hear what your callers will hear.

AI receptionists at a glance

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free account, a free edition or an open source release. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

Frontdesk AI

Best for: Property managers, retailers and local firms who want one receptionist that calls, texts, emails and chats, and remembers every customer it has spoken to.

Goodcall

Best for: Owners who'd rather describe their business in plain words and let a setup assistant build the phone agent that captures leads and books estimates.

Newo

Best for: Dental practices, restaurants and clinics who want inbound calls, callbacks and SMS handled by a voice AI that books appointments and tables.

RingCentral AI Receptionist

Best for: Businesses that want an AI receptionist bolted onto an established cloud phone system, so calls, texts and appointments sit in one account.

Rosie

Best for: Small businesses that want calls answered, questions handled and appointments booked, with the details of every call texted straight to the owner.

Sameday

Best for: Trade businesses such as plumbing, roofing and cleaning firms that want AI customer service reps answering calls and filling the schedule.

When an AI receptionist rings people back

The Federal Communications Commission adopted a Declaratory Ruling recognising that calls made with AI-generated voices are 'artificial' under the Telephone Consumer Protection Act.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

For a receptionist that only picks up inbound calls, that's background. It matters the moment you switch on callbacks, appointment reminders or outbound campaigns, because those calls now follow the rules for artificial voices. Check what consent you hold before you let the agent dial out.

Answering service, receptionist or full voice agent?

An answering service takes a message. That's the simplest job and the easiest to get right.

A receptionist goes further: it answers questions from your own information, books into your calendar and routes urgent calls to a person.

A full voice agent can run whole conversations, qualify leads and make outbound calls. More power means more set-up, and more things to test before customers hear it.

Questions to ask before an AI answers your phone

  1. Can it book straight into the calendar you already use?
  2. How does it hand an urgent call to a real person?
  3. Can you hear recordings and read transcripts of every call?
  4. Does it tell callers they're speaking to AI?
  5. How fast can you change what it says when your hours or services change?
  6. What happens when it doesn't know the answer?

Signs your phone needs an AI receptionist

  • Voicemails pile up overnight. Answer them live instead.
  • You miss calls on the job. Let the agent pick up.
  • The same five questions repeat. Train the answers once.
  • Bookings arrive as messages. Book them on the call.

Do you make AI receptionists? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing an AI receptionist

Write down the ten questions your callers ask most, then ring each shortlisted receptionist and ask them yourself, badly, with background noise. The one that copes with a mumbled postcode and a half-finished question is the one to trial.

And keep a person in the loop for anything that can't wait. My piece on what AI phone receptionists fix for small businesses covers where they still need a human behind them.

Frequently asked questions

What is an AI receptionist?

It's a voice agent that answers your business phone, handles common questions from your own information, books appointments and passes messages or urgent calls on to you.

Is an AI receptionist the same as an answering service?

Not quite. A traditional answering service takes messages, often with human operators. An AI receptionist can also answer questions, book into your calendar and work on several calls at once.

Is there a free AI receptionist?

Some tools offer a free plan for low call volumes and others a free trial. Check the free plan column above and confirm on the vendor's site.

Will callers know they're talking to AI?

Good set-ups say so at the start of the call. It's fairer to callers and it saves awkward moments when a question goes beyond what the agent knows.

Can an AI receptionist book appointments?

Most of the tools above can book into a connected calendar. Test it with your own booking rules, such as buffer times and job lengths, before going live.

Does an AI receptionist work outside office hours?

Yes. That's one of the main reasons owners use one: calls at night, at weekends and during busy spells still get answered.
