The best intelligent document processing software depends on your documents: a simple extraction tool suits emails and invoices, a developer API suits teams building their own apps, and an enterprise platform suits high volumes of complex files. Ten options follow in no particular order.
Intelligent document processing, or IDP, reads documents the way a person would: it finds the supplier on an invoice, the total on a receipt and the account number on a statement, then sends that data where it needs to go. It's OCR with judgement added.
The ten IDP tools below are listed alphabetically and in no particular order, from tools a small team can set up in an afternoon to platforms built for large organisations. Every description comes from the vendor's own site, read this week. If paperwork's eating your week, my piece on AI automation for invoicing and admin shows what's possible.
Intelligent document processing software at a glance
In the free plan column, Yes means the tool's own site names a free plan, a free tier, a free portal or an open source edition. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it.

Ten intelligent document processing tools to consider
ABBYY Vantage
Best for: Enterprises that want purpose-built AI document processing, from a vendor named a leader in Gartner's first Magic Quadrant for the category.
Amazon Textract
Best for: Developers on AWS who want to extract text and data from documents inside their own apps, with an AWS free tier.
Docsumo
Best for: Lenders and finance teams that want to classify, extract, check and route documents such as bank statements.
Doxis
Best for: Operations teams that want to automate data entry from documents, from the company that used to be called Klippa.
Google Document AI
Best for: Developers on Google Cloud who want to parse and process documents at scale, including with custom extractors.
Hyperscience
Best for: Large organisations that want an enterprise AI platform for document-heavy work, with its own vision language model.
Instabase
Best for: Enterprises with complex workflows across emails, scans, spreadsheets and chat logs that want AI agents to handle them.
Nanonets
Best for: Operations teams that want to turn document-heavy business processes into AI agents, with free credits to start.
Parseur
Best for: Small teams that copy data from emails, invoices and documents by hand and want it sent straight to their apps.
Rossum
Best for: Accounts payable teams that want to process e-invoices and PDFs side by side in one platform.
Simple extraction, API or full platform?
Simple extraction tools pull data from emails, PDFs and invoices into your apps with little setup. Developer APIs from cloud providers give engineers building blocks to add document reading to their own software. Full IDP platforms add classification, validation, human review and workflow for high volumes.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
If you handle a few hundred similar documents a month, start simple. Complex, varied documents and strict accuracy needs are where platforms earn their keep.
Check your record keeping rules
HMRC's VAT record keeping notice says all VAT registered businesses must keep and preserve certain records digitally and keep their accounts within functional compatible software.
That's relevant when you automate invoices. Before you switch on an IDP tool, check which records you must keep, in what form and for how long, and make sure the extracted data and the original documents both end up somewhere that meets those rules.
Questions to ask IDP vendors
- Which document types does it handle well out of the box?
- How does it show confidence, and what happens to low-confidence fields?
- Can a person review and correct results inside the tool?
- Which accounting, ERP or CRM systems does it send data to?
- How does it handle handwriting, poor scans and multi-page files?
- Where are our documents stored, and for how long?
Documents that automate well
- Supplier invoices. Similar layouts, clear fields.
- Receipts. Short, repetitive and high in number.
- Order forms. Structured fields with known values.
- Statements. Tables that follow a pattern.
Where IDP still struggles
Very poor scans, unusual layouts, handwriting and documents that need judgement about meaning are still hard. Plan for a review step on those, and measure how often it's needed so you can see the tool improving. If it isn't getting better, that's useful to know before you roll it out to every team.
Do you make intelligent document processing software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on choosing IDP software
Collect a sample of your real documents, including the messy ones, and run the same set through two or three tools. Count how many fields come out right without correction, and how long it takes a person to fix the rest.
Keep a human check on anything that moves money or affects customers, at least until you trust the results. Once extraction works, the next step is joining it to the rest of your process, which my guide to AI workflow automation walks through.
Frequently asked questions
What is intelligent document processing?
It's technology that reads documents with AI, identifies what they are, extracts the data you need and sends it to other systems.
How is IDP different from OCR?
OCR turns images of text into text. IDP adds understanding, such as knowing which number is the invoice total and checking it makes sense.
Is there free document processing software?
Some tools offer a free tier or a free start. Check the free plan column in the table for each one.
Can IDP read handwriting?
Some tools handle handwriting better than others. Test with your own samples, as quality varies with scan quality and writing style.
Do I still need people to check documents?
Usually, for low-confidence fields and anything that moves money. Good tools route only the uncertain items to a person.
What documents is IDP good for?
Invoices, receipts, purchase orders, bank statements, forms, contracts and identity documents are common starting points.
