Best Volunteer Management Software (2026): 9 Tools Compared

Volunteer management software helps you recruit volunteers, put them on shifts, send reminders and record the hours they give. The right choice depends on whether you need simple sign-up sheets, hour tracking or a full database with onboarding and checks. Nine tools follow in no particular order.

Volunteers keep thousands of charities, schools, clubs and events running, and most coordinators still juggle them with spreadsheets, group chats and paper sign-in sheets. It works until someone doesn't turn up, a shift is double-booked or a funder asks for total hours and nobody can find them.

The nine tools below are listed alphabetically and in no particular order, from free sign-up sheets to platforms with background checks and AI fundraising features. Each description comes from the tool's own site, re-checked this week. If you're setting up an organisation from scratch, my tips for starting a nonprofit cover the groundwork.

Volunteer management tools compared

In the free plan column, Yes means the tool's own site describes free use or a free plan, Trial only means a time-limited trial and No means neither is stated on the pages we read.

Nine volunteer management tools

Better Impact

Best for: Hospitals, food banks and shelters with many roles who want one database for applications, scheduling and hours.

Bloomerang Volunteer

Best for: Charities already raising funds who want volunteer records sitting next to donor records so nobody is counted twice.

Galaxy Digital

Best for: Volunteer centres and United Way style groups that run a public hub where people browse and sign up for opportunities.

Golden

Best for: Small nonprofits that want sign-ups, scheduling and messaging on a free plan, with tools to turn volunteers into donors later.

Rosterfy

Best for: Sports events, festivals and councils that need online induction, compliance checks and large rosters filled fast.

SignUpGenius

Best for: Schools, churches and clubs that need people to pick a slot or bring an item without a full volunteer database.

Track It Forward

Best for: Student service programmes and small groups whose main job is recording and approving the hours volunteers put in.

VolunteerHub

Best for: Organisations running recurring events that want branded sign-up pages, automatic reminders and check-in on the day.

VolunteerMatters

Best for: Youth sports, schools and camps that must collect agreements, training and criminal background checks before volunteers start.

The volunteer expenses rule that catches charities out

GOV.UK says volunteers don't get a wage for their time but may get money to cover expenses, and you might be classed as an employee or worker rather than a volunteer if you get any other payment, reward or benefit in kind.

What that means for you: keep expenses and thank-you gestures clearly separate in your records. A reward that looks like pay can change someone's status, so use your software to log real expenses, receipts included, rather than flat amounts handed out to everyone.

Sign-up sheet, hours tracker or full volunteer platform?

Sign-up sheets suit one-off events and school rotas where people just pick a slot. Hours trackers suit student service programmes and groups that report hours to funders. Full platforms add applications, training, background checks, messaging and reports, which you need once you have regular roles and safeguarding duties.

If you run a mix, start with the platform that handles your hardest job, usually onboarding and checks, and make sure it can still give people a quick way to grab a shift.

Moving your volunteers into new software

  1. Clean your spreadsheet: one row per person, with consent to contact them.
  2. List your roles and the checks or training each one needs.
  3. Set up one recurring shift and test sign-up on a phone.
  4. Turn on reminders before you invite everyone.
  5. Invite a small group first and fix what confuses them.
  6. Agree who approves hours and when reports are pulled.

Signs you've outgrown spreadsheets for volunteers

  • You chase the same people every week. Automated reminders would save those messages.
  • Nobody knows the total hours. Funders and reports need numbers you can trust.
  • Training records live in inboxes. You can't see who is cleared for which role.
  • Only one person can run the rota. If they're off sick, everything stops.

Keeping volunteers coming back

Software helps, but people return because they feel useful and noticed. Use the messaging tools to say thank you after each shift, share what their hours achieved and ask for feedback. The data in your system tells you who has gone quiet, so you can check in before they drift away for good.

Reporting volunteer impact to funders

Boards and funders love clear numbers: hours given, shifts filled and people reached. Set up your reports early so they're ready when you need them, and add a short story or quote from a volunteer alongside the totals. It's the mix of data and real people that makes a report land.

My plain advice on volunteer management software

Start with the thing that causes you the most stress. If it's no-shows, choose a tool with strong reminders and easy shift swaps. If it's safeguarding, choose one with onboarding and checks built in. If it's reporting hours to funders, an hours tracker might be all you need.

And keep it easy for volunteers. Your people are giving their time for free, so a sign-up that needs a password, an app download and five screens will lose them. Test every step on a phone before launch. If you also track donors, see my comparison of CRMs for nonprofits so the two systems talk to each other.

Frequently asked questions

What is volunteer management software?

It's software that helps you recruit volunteers, schedule shifts, send reminders, collect documents and record hours in one place.

Is there free volunteer management software?

Yes. Some tools on this list describe a free plan or free hour tracking, and simple sign-up sheet tools are free to start.

Can volunteers be given expenses?

GOV.UK says volunteers may get money to cover expenses, but other payments, rewards or benefits in kind can change their status.

Do I need background checks in my volunteer software?

If volunteers work with children or vulnerable adults, choose software that records checks and training before people can sign up.

How do I track volunteer hours?

Use check-in on the day or let volunteers log hours, then have a coordinator approve them so totals are reliable.

What's the difference between volunteer software and a CRM?

Volunteer software runs shifts and hours; a CRM tracks donors and gifts. Some platforms do both or connect the two.
