To forward a Teams meeting, open Calendar in Teams, select the meeting, choose View event, then Forward and Forward this event (or All events in the series), add the person's email in the To field and select Send. The organiser is told you forwarded it, and it won't work if they've turned off Allow forwarding.
Forwarding is how you invite someone to a Teams meeting you didn't set up: a colleague who should be in the room, a supplier who has the answer, a stand-in while you're on leave. It's quick, but it isn't invisible, and organisers can block it. Here's how to forward a single meeting or a whole series, and what the person you invite sees.
Forward a single meeting
- Select Calendar in Teams.
- Select the meeting you want to forward.
- Select View event.
- Select Forward, then Forward this event.
- Enter the person's name or email in the To field.
- Add a message if you want to explain why, then select Send.
Forward a recurring series
For a weekly catch-up or a monthly review, forward the whole series in one go. Open the meeting, select View event, then View series, then Forward and All events in the series. Add the person in the To field and send. They'll get every occurrence, not just the next one.
What happens when you forward
| Who | What they see |
|---|---|
| The person you invited | A meeting request that appears to come from the organiser |
| The organiser | A notification that you forwarded the meeting |
| Everyone else | Nothing changes for them |
Because the organiser is notified, it's polite to give them a heads-up, especially for client meetings or anything with limited places. A quick 'I've invited Priya from finance, she has the numbers you asked about' avoids awkward surprises, and it means the organiser can plan the agenda around the extra person.
Why you can't forward a meeting
If there's no Forward option, or it doesn't work, the organiser has probably turned off Allow forwarding in the meeting's Response options. Microsoft says that stops anyone forwarding the meeting or series. In that case, ask the organiser to add the person themselves. Organisers often switch forwarding off for confidential meetings or ones with an external audience, so respect it.
If you're the organiser: add people directly
- Select Calendar and open the meeting.
- Select More options, then Edit.
- Add names in Invite required attendees, or choose Response options, Add optional attendees.
- Select Send.
Microsoft says people you add this way automatically receive an invitation and see the meeting in their Teams calendar. As the organiser, this is cleaner than forwarding your own meeting, and you keep full control of the guest list.
Stop people forwarding your meetings
If you organise meetings that shouldn't spread, turn off Allow forwarding in Response options when you set them up. Microsoft also has an Outlook guide to preventing meeting forwarding, since many Teams meetings are booked from Outlook. It's worth doing for board meetings, HR conversations and sales calls with a fixed attendee list.
Inviting people from outside your organisation
You can forward meetings to people outside your company, but Microsoft notes that how someone's invited and their relationship to your organisation can affect what they can access, such as the meeting chat. External guests may wait in the lobby until someone lets them in, depending on the meeting's settings, so tell the organiser to expect them.
How big can a meeting get?
Microsoft says up to 1,000 invitees can join and take part in a Teams meeting, and up to 10,000 can join as view-only attendees in meetings that already have 1,000 participants. For most business meetings, that's no limit at all; for big events, a webinar setup suits better. My webinar resources help if that's where you're heading.
Forwarding from Outlook instead
Many people manage meetings from Outlook rather than Teams, and that's fine: the Teams meeting link lives inside the calendar invitation. The same principles apply. The organiser's settings decide whether forwarding is allowed, and if they've stopped it in Outlook, you won't be able to send it on. If you're unsure which tool the organiser used, forwarding from Teams Calendar is the simplest route, because it uses the steps Microsoft describes above and tells the organiser automatically.

Forwarding etiquette
- Tell the organiser when you forward, even though Teams notifies them.
- Add a line explaining who the new person is and why they're joining.
- Don't forward confidential meetings without checking first.
- Forward the series only if the person needs every session.
- If the meeting has a shared agenda or document, send the new person the link too, so they arrive prepared.
Good meeting habits make everyone's week easier. My office productivity hacks include a few more, and if you need to share files with the people you've invited, sharing a Google Sheet is one quick way to do it.
My verdict
Calendar, the meeting, View event, Forward, then add the person and send. Forward the series for recurring meetings, tell the organiser as a courtesy, and if Forward is missing, the organiser has switched it off, so ask them to add the person.
