How to Make a Resume on Canva and Download It Right

To make a resume on Canva, select Templates on the homepage, search for resume, preview a layout and choose Customize this template. Replace the text with your own experience, keep the design simple, then select Share, then Download, and save it as a PDF Standard file to send.

Canva's template library includes plenty of resume layouts, and they're a quick way to look polished when you're applying for a role, pitching for freelance work or adding a one-page profile to a proposal. In the UK we'd usually call it a CV, but Canva's templates are labelled resume, so that's the word to search for. The design is the easy part. The decisions that matter are how much design to use and which file to send.

Make your resume from a Canva template

  1. On the Canva homepage, select Templates from the side bar.
  2. Search for resume, adding a word like simple, modern or your job title to narrow the results.
  3. Preview a few and choose one with a clear single column or a tidy two-column layout.
  4. Select Customize this template to open it in the editor.
  5. Replace every placeholder with your own details, starting with your name, contact details and a two-line summary.
  6. Delete any sections you don't need, such as hobbies, instead of leaving them half-filled.
  7. Turn on File, then Settings, then Show margins, and keep everything inside the lines.
  8. Select Share, then Download, and choose PDF Standard.

If you'd rather start blank, open the Create tab on the homepage, search for resume and pick the design type. A blank page at the right size opens in the editor.

The Word file catch with Canva resumes

Here's what catches people out. Some employers and recruiters ask for a Word document so they can edit it or load it into their systems. Canva's help centre says downloading as DOCX is only supported for Canva Docs, not for other design types. So if you build your resume from a standard resume template, you can't export it as a Word file from that design.

If you know an employer wants Word, either write a plain version in a Canva Doc, which can be downloaded as DOCX, or keep a simple text version in Word or Google Docs alongside your designed one. Canva also warns that files downloaded as DOCX or PPTX may look different once opened in Microsoft Word or PowerPoint, and you may need to install the fonts you used, so check the file before sending.

Choosing the right PDF settings

For a resume, PDF Standard is the right choice. Canva describes it as suited to text and graphics, and it keeps the file small enough for email and upload forms. You only need PDF Print if you're getting copies professionally printed.

Two other settings are worth knowing. Canva says password protection is available only for PDF Standard, which can be useful if you're sending a resume with personal details to a large group. And Flatten PDF, under Advanced Settings, merges everything into one layer so fonts display accurately and the file can't be edited in software like Adobe Acrobat. I'd avoid flattening a resume for job applications, though: a flattened file turns your text into an image, which makes it harder for anyone to copy your details.

Check your profile photo crop

If you've added a headshot and cropped it into a circle frame, know this: Canva says a PDF of a design with cropped images still contains the original, uncropped image, and someone with a PDF editor could extract it. If your original photo shows anything you'd rather not share, crop the photo itself first, upload that version, and use it in the resume.

Keeping one master and several versions

If you apply for different kinds of work, don't keep rewriting one file. Make your master resume in Canva, then use File, then Make a copy for each version, tailoring the summary and the order of your experience to each role. Name each copy clearly in Canva so you can find the one you sent when an interviewer asks about it. It's a small habit, but it saves you from sending the wrong version to the wrong company.

Writing tips that matter more than the design

  • Lead with a short summary that says what you do and who for.
  • Use bullet points with results: what changed because of your work.
  • Keep it to one or two pages. Canva templates make it tempting to add sections; resist.
  • Use a font size you can read when printed. Small grey text on a pastel background looks lovely on screen and vanishes on paper.
  • Name the file clearly, such as your full name and the word resume.

My take

Canva's brilliant for a good-looking resume in an evening, but I'd keep the design restrained: one accent colour, clear headings, no skill-level bars. Download a PDF Standard version, and keep a plain Word version for anyone who asks for it. My Canva review covers what else it's good for. To get your headshot framed nicely first, here's how cropping in Canva works.

Frequently asked questions

Does Canva have resume templates?

Yes. Select Templates on the homepage and search for resume, then choose Customize this template.

Can I download a Canva resume as a Word document?

Only if it's a Canva Doc. Canva says DOCX downloads are supported for Canva Docs, not other design types.

What's the best file type for a Canva resume?

PDF Standard for emailing and online applications. Use PDF Print only for professional printing.

Can I password protect my Canva resume?

Yes, Canva offers password protection for the PDF Standard file type, provided the reader's PDF viewer supports it.

Should I flatten my resume PDF?

Usually not. Flattening merges everything into one layer and stops editing, which can also make the text harder to copy.
