To make a template in Canva, design it with placeholder text and images, then select Share, choose Template link (under See all if it's hidden), select Create template link and copy the link. Anyone with that link can then view it and use it as a template for their own design.
A Canva template is just a design that other people copy instead of edit. That's the difference that matters: when you share a normal design, people can change your original; when you share it as a template, everyone gets their own copy. It's how coaches hand out workbooks, how agencies give clients a social post they can update, and how teams keep every presentation looking the same.
Build a design that works as a template
Before you share anything, set the design up so someone else can fill it in without guessing. Canva's own best practice for Brand Templates is a good checklist for any template:
- Use placeholder text that says what goes where, such as Headline goes here.
- Use placeholder images rather than empty frames, so people can see the intended look.
- Keep layouts simple and structured so they cope with longer or shorter text.
- Stick to clear layout boundaries and consistent spacing.
- Set up colours, fonts and logos in your brand kit first if you're on a team plan.
Share your design as a template link
- Open the finished design.
- Select Share on the menu bar above the editor.
- Select Template link. If you can't see it, select See all first.
- Select Create template link.
- Select Copy and paste the link wherever you need it: an email, a course page or a client folder.
Canva says anyone with the link can view the design and use it as a template. They start their own design from it rather than editing yours, which is the whole point.
Template link or Brand Template?
| Type | Who it's for | Who can create it |
|---|---|---|
| Template link | Anyone you give the link to | Canva Pro, Teams, Enterprise, Education and Nonprofits users |
| Brand Template | People inside your Canva team | Brand Designers and Admins |
| Plain share link | Collaborators editing the same design | Any Canva user |
Brand Templates are the team version. Canva says Brand Designers and Admins can publish them from the Share menu, the homepage, the File menu or the Make a Copy flow. They're owned by the brand rather than one person, which helps when someone leaves. If you can't find one, go to Brand, then All Brand Templates.
The work email catch with template links
Here's the detail most guides skip. Canva says that if the person creating the template link uses a work email domain, such as an address at company.com, anyone receiving the link with the same work domain must be on a premium Canva plan to open it. People using general email addresses, like Gmail, and anyone outside your organisation aren't affected.
In practice, that means a template you share with colleagues at your own company might not open for them, even though clients can use it fine. If your team's on mixed plans, a Brand Template inside a shared team is usually the smoother route.
Changing or withdrawing a template
Because each person gets a copy, editing your original won't update copies people have already made. They keep the version they opened. To stop new people using the template, go to Share, then Template link, and select Delete template link. Canva says this makes the URL inactive, and creating a new template link gives you a new URL, so you'll need to send the new one round.
A quick test before you send it
Template links fail quietly, so I always run a two-minute check. Open the link in a private browser window, or ask a friend on a personal email address to open it. Make sure the design opens as a template, the fonts look right, and any images you used appear. Then try changing the placeholder text yourself, as a stranger would, and see whether anything shifts or overlaps. If a headline breaks the layout when it's a few words longer, widen the text box or set a smaller font size before you share the link with anyone who matters.

Ways small businesses use Canva templates
- Course and workshop handouts, so each attendee fills in their own copy.
- Client social posts they can update with new offers without breaking your design.
- Team presentations and proposals that always start from the same layout.
- Lead magnets, where the download is the template link itself.
If you're selling or giving away templates, give each one a clear name inside Canva and a short note on the first page explaining what to change. People open a template, feel lost and close it again far more often than you'd think.
My take on Canva templates
I'd use template links for anything going outside the business, and Brand Templates for my own team. Put the effort into placeholders: that's what makes a template feel helpful rather than a blank page with fonts. And test the link from a different email address before you send it to a whole list. Frequently asked questions
How do I turn a Canva design into a template?
Select Share, choose Template link (under See all if needed), select Create template link and copy the link.
Can anyone use a Canva template link?
Anyone with the link can view and use it, with one exception: recipients on the same work email domain as the creator need a premium plan.
Who can create Canva template links?
Canva says template links are available to Canva Pro, Teams, Enterprise, Education and Nonprofits users.
Does editing my template update other people's copies?
No. Each person works on their own copy, so changes to your original don't reach copies already made.
How do I stop sharing a Canva template?
Go to Share, then Template link, and select Delete template link. The URL stops working.
