Best CRM for Healthcare (2026): 10 Tools Compared

The best CRM for healthcare helps a clinic capture enquiries, follow up with patients and referrers, and keep communication organised without losing track of anyone. Some are general CRMs with healthcare pages, others sit inside clinic software or focus on referrals. Here are ten options in no particular order, followed by how to choose and what to check first.

In most practices, patient enquiries arrive from five directions at once: the website form, the phone, social messages, referrers and walk-ins. When follow-up depends on whoever answered first remembering to call back, good leads and referrals slip away. A CRM gives every one of them an owner and a next step, so nobody's left waiting.

Below are ten CRMs and patient relationship tools in no particular order, sorted alphabetically, from free general CRMs to clinic platforms and referral management software. Each description comes from the vendor's own website, re-checked today, and I've described each product only as its own site does. If you're weighing up whether a CRM is worth it at all, my explainer on what a CRM does for a business covers the basics.

HHS on marketing to patients

Here's the rule that should shape how you use any healthcare CRM. HHS guidance on marketing under the HIPAA Privacy Rule says that, with limited exceptions, an individual's written authorisation is needed before protected health information is used or disclosed for marketing. The exceptions it lists are a face-to-face communication with the individual and a promotional gift of nominal value.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

So before a CRM sends a promotional campaign to a list built from patient records, check whether the message counts as marketing under HIPAA, and if it does, whether you hold written authorisation from each person. Ask your privacy adviser to help you sort your planned messages into the right categories, and ask each vendor what agreements they sign with healthcare customers. This page makes no compliance claim for any product.

Patient CRM, referral CRM or clinic platform

  • General CRM: flexible pipelines and email, useful for enquiries and new patient follow-up.
  • Clinic platform with CRM: booking, records and follow-up in one system, simpler for small clinics.
  • Referral CRM: tracks referrers and referrals, useful when other providers send you patients.
  • Enterprise healthcare CRM: connects many systems for large organisations.

Setting up a clinic CRM in five steps

  1. Map every way enquiries reach you today, and who handles each one.
  2. Decide what counts as a new enquiry, a booked patient and a referrer in the CRM.
  3. Agree with your privacy adviser which messages need written authorisation before you build any campaign.
  4. Connect your website forms and booking system so nothing is typed in twice.
  5. Give each enquiry an owner and a follow-up date, and review the open list weekly.

Where clinic CRMs go wrong

  • Importing every patient into a marketing list. That's exactly where the authorisation question bites.
  • No owner for new enquiries. Leads sit untouched when everyone assumes someone else called.
  • Duplicate records. Two entries for one patient confuse follow-up and reporting.
  • Too many fields. Front desk staff won't fill in twenty boxes during a busy morning.

Questions to ask a healthcare CRM vendor

Ask how the CRM connects to your booking and records systems, who at the vendor can see the data you've stored, and what agreements they sign with healthcare customers. Ask to see a referral or enquiry travel from first contact to booked appointment, and how you'd export everything if you left.

Once the CRM is running, duplicates creep in fast. My short guide to cleaning up CRM data walks through a tidy-up you can repeat every quarter.

Do you make CRM software for healthcare? Tool makers can ask to be considered for a featured place on this list.

My plain advice on healthcare CRMs

If you're a small clinic, start with clinic software that includes a CRM, or a free general CRM, and use it first for enquiries and referrers rather than marketing. Aesthetic practices should look at the tools built for their kind of clinic. Larger organisations with many systems should book demos with the enterprise options and focus on integrations.

Before any campaign goes out, check the HHS marketing rule with your privacy adviser and confirm what each vendor will sign. It's the step that'll save you the most trouble, more than any automation feature.

Frequently asked questions

What is a healthcare CRM?

Software that tracks enquiries, patients and referrers so a practice can follow up on time and keep communication organised.

Is there a free CRM for healthcare practices?

Yes. Several tools here describe a free plan or free edition, from general CRMs to clinic platforms and referral software.

Can a clinic send marketing emails to patients from a CRM?

HHS says that, with limited exceptions, using patient health information for marketing needs written authorisation, so check with your privacy adviser first.

How does a CRM differ from an EHR?

An EHR holds clinical records. A CRM manages enquiries, follow-up and relationships, though some clinic platforms include both.

Do aesthetic clinics need a special CRM?

Not always, but CRMs built for aesthetic practices often include lead, campaign and loyalty features those clinics use.

How do I track referrals from other providers?

Use a CRM or referral tool that records each referrer, each referral and its outcome, so you can thank and follow up.
