How to Add an Email Account to Outlook (Including Gmail)

To add an email account to new Outlook, go to View, View settings (or File, Account info), then Accounts, Your accounts, and select Add Account. Enter your email address, select Continue and sign in, or in classic Outlook choose File, Add Account. Gmail, Yahoo and iCloud may need a setting changed or an app password first.

Juggling a work address, a personal Gmail and an old Hotmail account across different apps is a recipe for missed emails. Outlook can pull them all into one place, so you see everything in one inbox view and reply from the right address. Adding an account usually takes a minute, though some providers need a small extra step first. Here's how to do it in each version and what to do when it won't connect.

Which accounts can you add?

Microsoft says you can add many types, including Outlook.com and Hotmail accounts, the work or school account you use with Microsoft 365, Gmail, Yahoo, iCloud and Exchange accounts. In practice, almost any email address works, including your own business domain.

Add an account in new Outlook

  1. On the View tab, select View settings, or from the File tab choose Account info.
  2. Select Accounts, then Your accounts.
  3. Under Email accounts, select Add Account.
  4. Choose a suggested account from the list or type a different email address, then select Continue.
  5. Sign in or enter your password when asked, then select Done.

Add an account in classic Outlook

  1. Select File, then Add Account.
  2. Type your email address and select Connect.
  3. Sign in when prompted and follow the steps to finish.

Adding Gmail, Yahoo or iCloud

Here's the step that trips people up. Microsoft says some non-Microsoft providers, like Gmail, Yahoo and iCloud, need you to change settings on their websites before you can add them to Outlook. For Gmail, you'll usually sign in through a Google window and approve Outlook's access. If your provider uses two-step verification, you may need an app password instead of your usual one.

What an app password is

Microsoft describes app passwords as randomly generated passwords that give an app access to your account without sharing your main password. If Outlook says something like "Please create an app password for Outlook on your email provider's site", go to your provider's security settings, create one, then paste it into Outlook when it asks for your password. Depending on your provider, Microsoft says this may be needed for account types such as IMAP or iCloud.

Choose your main account

When you have several accounts, one is the primary account. In new Outlook, go to Your accounts, select Manage next to the account you want, and choose Set as primary account. This matters because some features depend on your primary account. Microsoft says, for example, that the Resend option in new Outlook only appears when the primary account is a Microsoft 365 work account.

Keep accounts from getting mixed up

  • Give each account a clear display name so you know which inbox you're in.
  • Check the From line before sending, especially to clients.
  • Use a different signature for each account.
  • Consider separate folders or colours so business and personal mail don't blur together.

I learned that one the hard way after replying to a client from a personal address. Now I always glance at the From line before I hit Send.

Your own domain email

If your business email uses your own domain, such as [email protected], Outlook usually finds the right settings automatically when you type the address. If it can't, your email host can give you the server details to enter manually. It's worth asking them for an app password at the same time if they support two-step verification, which I'd recommend for any business account.

Adding accounts on your phone

In the Outlook mobile app, open Settings, tap to add a mail account, enter the address and sign in, following any provider steps just as on the desktop. It's worth adding the same accounts on your phone and computer so your inbox looks the same wherever you check it.

When to use a dedicated business address

If you're still running your business from a free personal address, adding it to Outlook is fine for now, but a domain-based address looks more professional and is easier to manage as you grow. And if you're sending to a list of customers, use a marketing platform rather than your personal inbox; my roundup of AI email marketing tools covers the options, and my welcome sequence swipe file gives you words for those first emails.

My verdict

New Outlook: View settings, Accounts, Your accounts, Add Account. Classic Outlook: File, Add Account. For Gmail, Yahoo and iCloud, expect a sign-in approval or an app password. Set your main business account as primary, and check the From line before you send so clients always hear from the right address.
