Best Call Tracking Software (2026): 10 Tools Compared

Good call tracking software shows which marketing brings in your phone calls, forwards them to your normal line and is clear about call recording. Check the number types and reports you need, and whether there is a trial. This page lists ten options in no particular order, then covers how to choose and what to ask first.

If your customers ring you, you've probably wondered which of your marketing efforts made the phone go. Was it the advert, the Google listing or the leaflet? A website tells you who clicked, but it can't see who picked up the phone. Call tracking fills that gap by showing different numbers to different visitors, so each call can be matched to its source.

Here's a list of ten call tracking tools, in no particular order, sorted alphabetically. Two are familiar names and the rest are smaller or more specialised. Several are sold through a demo rather than a sign-up page. I've taken every description from each tool's own website, so check the current details on each site before you commit. If phone enquiries are one part of a bigger plan, my tips on boosting your leads might help you set priorities.

Call tracking tools at a glance

In the free plan column, Yes means the tool's own site describes a permanent free plan. Trial only means a free trial but no ongoing free plan. No means I found neither on the tool's own pages, which is common here because many call tracking suppliers work through a demo. Details change, so confirm with each supplier.

How call tracking works in plain English

The basics are the same across most tools, even if the details differ.

  • Number pools. The tool gives your website a set of phone numbers. Each visitor sees one, so a call can be matched to the visit.
  • Fixed numbers. A dedicated number on an advert, van or leaflet shows you which printed item brought the call.
  • Forwarding. The tracking number passes the call to your real phone, so customers still ring a normal line.
  • Reports. You see the source, the length of the call and sometimes a recording or a transcript.
  • Integrations. Many tools pass results to analytics, ad platforms and your customer database.

Call data is most useful when it sits next to your other leads. My article on using content marketing for lead generation covers how to bring the sources together.

Calls contain personal information, and recording them has rules. In the UK, UK GDPR and the Privacy and Electronic Communications Regulations (PECR) apply to how you handle call data, and US states and other countries have their own laws on recording and on marketing contact. Tell callers when a call may be recorded, keep recordings only as long as you need them and check what each tool does with its data. Check the official guidance for your own situation. This isn't legal advice.

Choosing call tracking software for your business

  • Call volume. A handful of calls a week needs a lighter tool than a busy sales line.
  • Sources to track. Decide whether you need website visitors, printed material, adverts or all three.
  • Numbers. Check which countries and number types are available, such as local, freephone or mobile.
  • Reporting. Look for a clear report you'd really open, not a wall of charts.
  • Integrations. If you run ads or use a CRM, check that results flow into them.
  • Support. A short setup call can save weeks of confusion.

Questions to ask before you choose call tracking software

  • Which numbers will customers see, and will they look local?
  • Does it record calls, and how do I tell callers?
  • Can it match calls to online adverts and web visits?
  • Where is the data stored, and for how long?
  • How do I move my numbers if I switch tools?
  • Is there a trial or demo before I commit?

Tracking tells you where calls come from, but it doesn't answer the phone. If missed calls are your problem, my look at AI phone receptionists for small businesses explains what they can and can't do.

Why a smaller call tracking tool can be a smart pick

Smaller suppliers often make setup quicker and talk to you directly during onboarding. The trade-off is fewer integrations in some cases, so check that the ones you need are on the list. Make sure you can port or keep your numbers if you move on, and read the terms on recordings before you start.

Do you make a call tracking or call analytics tool? Tool makers can ask to be considered for a featured place on this list.

Trying out your shortlist of call tracking tools

Choose two or three and ask for a trial or demo with your own website in mind. Compare how long setup takes, how clearly the reports link a call to a source and how well the supplier explains its recording and data rules. Keep the one that fits your call volume and note anything you'd like to ask the maker.

Frequently asked questions

What is call tracking software?

It gives your website, adverts or printed material different phone numbers so you can see which one brought each call. Calls are forwarded to your normal line.

Does call tracking work with printed adverts?

Yes. A dedicated number on a leaflet, van or advert shows how many calls that item produced. Online tracking uses a pool of numbers for website visitors.

Should callers be told when calls are recorded?

In most places you should, and the rules differ by country and state. Check the official guidance for your own situation, and tell callers clearly at the start of a call.

Will call tracking slow my website?

Most tools add a small script that swaps the number on the page. Ask the supplier about page speed and test your site after installing it.

Can I keep my existing phone number?

Usually your real number stays as the destination, and callers see the tracking number instead. Ask each supplier how numbers are handled if you cancel.
