How to Create a Template in Word You Can Reuse Every Time

To create a template in Word, set up the document as you want every copy to start, then choose File, Save As and pick Word Template as the file type (on a Mac, File, Save as Template). Start new work from File, New, Personal, or you'll edit the master by mistake.

If you keep opening an old proposal, deleting the old client's name and saving it as something new, a template will save you a lot of time and at least one awkward mistake. A Word template is a starting file that opens as a fresh copy every time, so the original never gets overwritten.

For small business owners, this is where Word earns its keep. Proposals, quote sheets, client onboarding letters, meeting notes, reports: build each once, with your logo, fonts and standard wording, and every new one starts looking right. Here's how Microsoft says to do it.

Why a Word template beats copying an old file

Microsoft explains that a template creates a copy of itself when you open it. That's the whole point. You can't accidentally type over the master, and you won't send a client a document that still has another client's details buried on page three.

Getting your Word template file ready first

Before you save anything as a template, set the document up exactly as you want every copy to start.

  • Add your logo and business details to the header or footer.
  • Set the fonts, colours and spacing you use for client work.
  • Type the wording that never changes, such as your standard terms or sign-off.
  • Leave clear placeholders for what does change, like the client name and date.

Microsoft also suggests adding content controls, such as drop-down lists and date pickers, to make a template flexible. A date picker at the top of a letter is a small touch that saves typing every time.

If your templates carry written content, it's worth getting the tone consistent too. My guide to building a brand voice document pairs well with this, so your standard wording sounds like you.

Saving a Word template on Windows

  1. Select File, then Save As.
  2. Double-click This PC.
  3. Type a clear name, such as Client proposal template.
  4. In the save-type list, choose Word Template.
  5. Select Save.

Microsoft says Office puts it in the Custom Office Templates folder automatically, so you don't need to choose a location. If your document uses macros, choose the macro-enabled template type instead.

Saving a Word template on a Mac

  1. Open the document you've prepared.
  2. Select File, then Save as Template.
  3. Give it a name.
  4. In the File Format menu, choose .dotx, or .dotm if it contains macros.
  5. Select Save.

To change where Word for Mac keeps your templates, Microsoft's route is Word, Preferences, File Locations, then User templates and Modify.

Starting a new document from your Word template

This is the step people forget, and then they open the template file directly and edit it by mistake.

  • Windows: select File, New, then Personal and choose your template. Microsoft notes the button may say Custom instead of Personal.
  • Mac: select File, then New from Template, and pick yours.

Word opens a fresh copy. When you save it, Microsoft says to save it as a normal .docx (or .docm) so it's separate from the template.

Editing or removing a Word template later

Business details change, and so should your templates. On Windows, go to File, Open, double-click This PC, and browse to the Custom Office Templates folder under Documents. Open the template, make your changes, then save and close it. Every new document from then on uses the updated version.

On a Mac, open the template, make your edits and save it again as a template. To delete one you no longer need, Microsoft says to find it in the Templates folder in Finder and move it to the Trash.

Template ideas for small businesses in Word

  • A proposal with your cover page, sections and standard terms already in place.
  • A welcome letter for new clients with a date picker and a name placeholder.
  • A meeting notes sheet with headings for actions and owners.
  • A one-page CV or bio, and if you need inspiration there, my round-up of free resume templates worth downloading is a good starting point.

If you send the same letter to lots of people, combine a template with a mail merge in Word, so names and details fill in automatically from a list.

Keeping Word templates organised as you grow

Once you've made a few, name them so anyone can tell them apart at a glance: the document type first, then the version, such as Proposal template v2. Keep one master per job and delete old versions, or someone in your team will pick the wrong one. I'd review them every so often too, because a template with an old address or a retired service in it spreads that mistake into every new document.

When your Word template doesn't show up

  • It's missing from File, New. Look for Custom instead of Personal, which Microsoft says can appear instead.
  • You saved it as a normal document. Save it again and pick Word Template as the type.
  • Your changes overwrote the template. You opened the template file instead of starting from File, New. Fix the master, then always start new work from File, New.
  • Macros stopped working. The template needs the macro-enabled type, .dotm.

Microsoft also notes you can protect content in a template or set a password, which is worth doing if several people in your team use the same one.

Frequently asked questions

How do I save a Word document as a template?

On Windows, choose File, Save As, This PC, then Word Template in the save-type list. On a Mac, choose File, Save as Template and pick .dotx.

Where does Word save my templates?

On Windows, Microsoft says Office saves them in the Custom Office Templates folder automatically. On a Mac, you can change the location under Word, Preferences, File Locations.

How do I use a template I've made in Word?

On Windows, go to File, New, Personal (or Custom). On a Mac, go to File, New from Template. Word opens a fresh copy.

What's the difference between .dotx and .dotm?

Both are templates, but .dotm lets you enable macros. Use .dotx unless your template relies on macros.

Why does editing my document change the template?

You've probably opened the template file itself. Always start new documents from File, New so Word makes a copy.
