How to Subtract in Excel: Formulas, Cells and Columns (2026)

To subtract in Excel, type an equals sign, then the first cell, a minus sign and the second cell, such as =A2-A3, and press Enter. Microsoft's help says there's no SUBTRACT function, so SUM with negative numbers handles longer lists.

Stock in minus stock out. Target minus actual. Hours planned minus hours used. Subtraction is one of the first sums a small business owner needs in a spreadsheet, and it's also where Excel throws people a curveball, because it has no subtract button and no SUBTRACT function.

The good news is that it's simpler than it sounds. Everything below follows Microsoft's own help pages for Excel, and the whole thing comes down to one little symbol.

Subtracting two numbers in an Excel cell

Every Excel formula starts with an equals sign. For subtraction you add the minus sign, which Microsoft's help calls the minus arithmetic operator. Click an empty cell and type:

=10-5

Press Enter and the cell shows 5. That's the whole mechanism. It works, but typing raw numbers into a formula is rarely what you want, because you'd have to retype it every time a number changes. The better habit is to subtract cell references instead.

Subtracting one cell from another in Excel

Suppose the amount you started with is in A2 and the amount used is in A3. In another cell, type this formula:

=A2-A3

Microsoft's example does exactly this: the formula takes the value in A3 away from the value in A2. The advantage is that the answer updates by itself. Microsoft's help explains that a formula built from cell references recalculates when the values in those cells change, so you never edit the formula again.

  1. Click the cell where you want the answer.
  2. Type an equals sign.
  3. Click the first cell, the one you're subtracting from, or type its reference.
  4. Type a minus sign.
  5. Click the second cell, the one you're taking away.
  6. Press Enter.

Clicking the cells instead of typing their references saves typos, and Excel fills in the reference for you.

Why Excel has no SUBTRACT function

Microsoft's help states it directly: there is no SUBTRACT function in Excel. If you want to subtract a run of numbers, you use SUM and enter the numbers you want to take away as negatives. Microsoft's own example is:

=SUM(100,-32,15,-6)

That returns 77. The positive numbers are added and the negative ones are taken away. It's useful when your sheet already holds the amounts to deduct as negative numbers, because a single SUM over the range does the whole job.

JobFormula pattern
Take one cell from another=A2-A3
Take a typed number from a cell=A2-5
Deduct several amounts held as negatives=SUM(A2:A4)
Mix of added and taken-away values=SUM(A2,-B2,-C2)

Subtracting a column of numbers in Excel row by row

A common small business job is a column of starting amounts, a column of amounts used and a third column for what's left. Put the formula in the first row of the third column, for example =A2-B2, then copy it down. Excel adjusts the references for each row, so row three becomes =A3-B3 and so on.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Once the column is filled, change a number in column A or B and the matching answer moves with it. If you work with a team, that's the point of using references: nobody has to remember where a number came from.

Getting the order right when you mix subtraction with other sums

Excel follows the usual order of operations. Microsoft's help on simple formulas says multiplication and division are worked out before addition and subtraction. So =A2-B2*C2 multiplies B2 by C2 first and then subtracts the result from A2.

If you mean something else, put brackets around the part that should go first, like =(A2-B2)*C2. When an answer looks odd, brackets are the first thing I'd check.

Checking your subtraction formula in Excel

Microsoft's page for this suggests a handy way to see what's going on: press Ctrl + ` (the grave accent key) to switch between showing results and showing formulas, or use Show Formulas on the Formulas tab. It's a quick way to spot a formula that's been overtyped with a plain number.

  • If the cell shows the formula text instead of an answer, check there's an equals sign at the start and that the cell isn't formatted as text.
  • If your result shows up as a date, Microsoft's help says to select the cell and change its format to General.
  • If the answer doesn't update, check you subtracted cell references rather than typed numbers.
  • If you see a hash symbol filling the cell, widen the column.

Subtracting in Excel when the numbers live in Google Sheets

Plenty of teams keep one spreadsheet in Excel and another in Google Sheets. The minus sign works the same way in both, so your =A2-B2 habit travels. If you want to sort the results as well, my guide to sorting data in Google Sheets covers that side, and if you'd like an assistant to write formulas with you, here's how Claude for Excel works and what to ask it.

If your Excel subtraction isn't working

  1. Check the formula starts with an equals sign.
  2. Check the cells hold real numbers. Numbers stored as text won't behave, and a small green triangle in the corner of a cell often hints at it.
  3. Look for a stray space or letter in the formula.
  4. Check which cells you referenced. A row can be off by one.
  5. Press Ctrl + ` to see all the formulas at once and spot the odd one out.

Microsoft's page also notes that calculated results may differ slightly between some kinds of Windows computers. If you notice a tiny difference after the decimal point, that's the reason, and it's worth rounding the answer if it matters for your report.

Frequently asked questions

What is the formula to subtract in Excel?

Use the minus sign. Type an equals sign, then the first cell, a minus sign and the second cell, for example =A2-A3, and press Enter. Microsoft's example =10-5 shows 5.

Is there a SUBTRACT function in Excel?

No. Microsoft's help says there's no SUBTRACT function. Use the minus sign, or use SUM with the numbers you want to take away entered as negatives.

How do I subtract a whole column in Excel?

Put the formula in the first row of a new column, such as =A2-B2, then copy it down. Excel adjusts the references for each row.

Why does my Excel subtraction show a date?

Excel has probably formatted the cell as a date. Microsoft's help says to select the cell and change its format to General.

How do I see the formulas instead of the results?

Press Ctrl + ` (the grave accent key) to toggle between results and formulas, or use Show Formulas on the Formulas tab.
