When2meet Alternatives (2026): 10 Group Scheduling Tools

The best When2meet alternative depends on how your group likes to vote. Some tools copy the drag-to-paint availability grid, some let people vote on a short list of times, some live inside a chat app, and some add booking pages for clients. Ten options follow, in no particular order.

When2meet is loved because it's quick: paint your free hours on a grid and see where everyone overlaps. But it's plain, it can be fiddly on a phone, and some groups want a poll of set options, a shared calendar or something inside the app they already chat in.

The ten tools below are listed alphabetically and in no particular order. Each description comes from the tool's own website or App Store listing, read this week. If you also take bookings from clients, my guide to booking page tools covers the one-to-one side of scheduling.

When2meet alternatives at a glance

I checked the free plan column on each tool's own website or App Store listing, as of Oct 2026. Yes means the page names a free app, a free version, a free plan, free posting or open source. Trial only means a time-limited trial. Not stated means the page I read named neither, even where there's a download button, so check the tool's own page before you sign up.

Ten group scheduling tools worth a look

Cal.com

Best for: Individuals who also take bookings from clients, since the scheduling app is unlimited and free for individuals, with collective events for groups.

Crab Fit

Best for: Anyone who likes the drag-to-paint grid, with a live heat map of when everyone is free and the code published as open source.

Doodle

Best for: Organisers who need more than a poll, with group polls, sign-up sheets for workshops and booking pages in one place.

Framadate

Best for: Volunteer groups and associations, offered free of charge since 2011, for picking a date among several proposals or running a simple poll.

Howbout

Best for: Friend groups and couples who'd rather share calendars and see the gaps than send a poll every time someone suggests meeting up.

Rallly

Best for: Groups who'd rather pick from a few proposed times, where everyone votes yes, if need be or no from one shared link.

sesh

Best for: Discord communities that want availability polls and event reminders inside the server, so nobody has to leave the chat to vote.

WhenIsGood

Best for: People who want the simplest possible grid, where invitees click when they're free and nobody has to register or choose a password.

Xoyondo

Best for: Quick event planning with date polls, anonymous polls, message boards and sign-up sheets, free and with no registration required.

The time zone trap in late October

Group scheduling tools convert times for each voter, but only if everyone's time zone is right. The week when the clocks change is where polls quietly go wrong.

GOV.UK says UK clocks go back on the last Sunday in October, which is 25 October in 2026. NIST says US daylight saving time ends at 2:00 a.m. on the first Sunday of November. So for about a week, London and New York are four hours apart instead of five, and a poll made the week before can show an overlap that isn't there.

If your group spans countries, set the poll's time zone on purpose, ask people to check theirs when they vote, and avoid booking anything important that week from memory.

Questions to ask before you pick a tool

  1. Do you want a free-form grid, or a vote on a short list of times?
  2. Does anyone need an account to vote?
  3. Does it show each voter times in their own time zone?
  4. Does it work well on a phone, where most people will vote?
  5. Can it send a reminder or calendar invite once the time is fixed?
  6. Is the code open source, if that matters to your group?

How to get a group to answer a poll

Keep the options short. Five to eight slots get more answers than a fortnight of half-hours. Say when the poll closes, send the link where the group already talks, and post the winning time with a calendar invite the same day.

For a team that meets every week, a shared calendar or a booking link beats a fresh poll each time. My guide on choosing a scheduling tool for a team goes through that decision.

Do you make group scheduling, meeting poll or availability tools? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing a When2meet alternative

Match the tool to the laziest voter in your group. If people won't sign up, use a link-only grid or poll. If they live in a chat app, use a bot that works there. If you're scheduling clients as well as friends, pick a tool that does polls and booking pages together, so you only learn one.

And if your group crosses time zones, double check the week the clocks change.

Frequently asked questions

What is the best alternative to When2meet?

It depends on your group. Grid tools suit people who like painting their free hours, poll tools suit a short list of options, and chat bots suit groups on Discord.

Is there a free When2meet alternative?

Yes. Several tools here name a free plan, free use or open source code on their own site, so check the free plan column.

Can people vote without making an account?

Some tools need no sign-up or password from voters at all, which makes a big difference to how many people answer.

How do group scheduling tools handle time zones?

Most convert times for each voter, but only if each person's time zone is set correctly, which matters most in the week the clocks change.

What is the difference between a poll and a booking page?

A poll finds one time that suits a group. A booking page lets one person at a time pick a free slot in your calendar.

How many time options should a poll have?

Fewer is better. A short list of five to eight slots usually gets more answers than a long grid.
