OOO means out of office. People use it in calendars, chat statuses and automatic email replies to show they're away from work. In casual texts, a lowercase ooo is often just an expressive sound, like oooh. In a work setting, OOO nearly always means someone is away.
A colleague's name has a little OOO next to it in your chat app, or an automatic email lands in your inbox saying the person is away. It's a quick bit of shorthand, but it carries a lot of weight, because it tells everyone whether to wait for an answer or find someone else. I run a small business, and a clear away message has saved me many awkward follow-ups. Here's what OOO means, where it appears, how to set one up and how to reply.
The OOO meaning at work
OOO stands for "out of office". Wiktionary lists it as an abbreviation used to show that someone is away from work, and gives a 2024 Cosmopolitan example of it in a sentence. It's the shorthand for the automatic reply many of us set before a holiday, but people also type it into chats and calendars on its own.
Wiktionary also lists a philosophical meaning, object-oriented ontology, which belongs in a seminar, not your inbox.
OOO in texts and chats: the other "ooo"
In casual messages, a lowercase "ooo" with extra letters is just an expressive sound, like "oooh". Someone might write "oooh, that looks nice" or "ooo, I like that". Capital OOO in a work setting means out of office. Context almost always tells you which one you're reading. If a friend texts "ooo tell me more", they're curious. If a manager posts "OOO until Monday", they're away.
Where OOO appears: calendars, Slack, Teams and email
- Calendars: an all-day event named "OOO" blocks the day so nobody books a meeting.
- Chat apps: a status such as "OOO, back Monday" appears beside your name.
- Email auto-replies: an automatic message sent when someone emails you while you're away.
- Team rotas: a shared sheet where people mark who is OOO and who is covering.
- Subject lines: a note like "OOO reply" on an automatic response.
Sample OOO lines to borrow
A good away message does three jobs: it tells people you are away, it says when you will be back and it points them to someone who can help. Anything else is a bonus. Here are a few shapes to adapt, from a one-line status to a full auto-reply.
These are invented examples. Change the names and dates to suit you:
- Example (status): "OOO until Monday. For urgent issues, message Priya."
- Example (calendar): "OOO, no meetings please."
- Example (auto-reply): "Thanks for your email. I'm out of the office until Thursday and will reply when I'm back. For anything urgent, contact the team at the shared inbox."
- Example (chat): "Heads-up, I'm OOO tomorrow for an appointment."
- Example (handover): "OOO next week. Sam has my client notes and can help."
How to set an OOO message in common tools
Menus change between app versions, so treat these as a guide and check your tool's own help page if a setting has moved.
- Outlook: look for Automatic Replies in the settings or the File menu, switch them on, set start and end dates and write one message for people inside your organisation and one for outsiders.
- Gmail: open Settings, scroll to Vacation responder, turn it on, add dates, a subject and your message.
- Calendars: create an all-day event, label it OOO and mark yourself as busy or away if your calendar offers it.
- Slack and Teams: set a status with a short message and an end date, so it clears itself.
Whichever you choose, include a return date and a named person to contact. An away message without either is only half useful.

When to write out of office in full instead of OOO
Use the full words in anything a customer will read, such as an auto-reply, and in messages to people outside your business or those who don't know the abbreviation. Staff chat can stay short. It's also kinder to avoid oversharing: "I'm out of the office" is enough, and you don't need to explain why.
How to reply to someone who is OOO
Think of the person on the other end. They have set an OOO so they can rest, and a pile of messages marked urgent that are not really urgent makes their return harder. A little patience is a kindness, and it makes it more likely they will answer you quickly later.
If you receive an auto-reply, there's no need to respond. Check whether it names a contact and, if the matter is urgent, send it to them. If it isn't urgent, wait for the return date and keep your message short, as a flood of emails on someone's first morning back doesn't help. In a chat, a thumbs up and "Enjoy your time off" is a friendly reply. Don't chase someone who is OOO unless there's an emergency and they've said you can.
