Square Invoices is Square's invoicing tool: you create an invoice in the Square POS app or any web browser, send it by email, text or a shareable link, and your customer pays by card, Apple Pay, Google Pay, Cash App Pay, ACH bank transfer or Afterpay. Invoicing is included on Square's Free plan, and you pay a processing fee on each payment you collect.
The catch that rules it out for some freelancers: Square says it doesn't support multi-currency acceptance today. If you bill clients abroad in their own currency, this isn't the tool. And while the next-day transfer of what you've been paid is free, instant access to it costs a fee. This guide covers Square's US invoicing as of October 2026; UK, Australian and Canadian readers will see their own terms on their local Square site.
Stage one: creating and sending the invoice
You can build an invoice on your phone in the Square POS app or on a desktop in any browser. Square's page lists these tools at the sending stage:
- Three ways to send: email, SMS or a shareable link.
- Your branding: add your logo and a colour scheme to match your brand, and save several layouts as templates.
- Custom fields for terms, policies and messages, so the context travels with the bill.
- Automatic taxes and discounts that apply when you add an item or service.
- Packages of items and services that customers can choose between.
- Estimates that turn into invoices. When a customer accepts an estimate, Square can convert it to an invoice automatically.
- Contracts with e-signature, built from editable templates, AI or prebuilt clauses, with custom fields or questions to capture client details.
Every invoice recipient sits in Square's Customer Directory, which stores their business name, email address and phone number, so repeat clients take seconds. You can also keep a customer's payment card on file in that directory, which is what makes the auto-billing in stage three possible.
Stage two: how customers pay and when you get it
Customers can pay online from a computer or phone, or in person. Square lists credit card, Apple Pay, Google Pay, Cash App Pay, ACH bank transfer and Afterpay, and it also lets you record cash, checks and gift cards. Customers can add a tip to a digital invoice, and you can send a text or email receipt for every payment, including each payment on a recurring invoice.
Once the payment lands, you've got three options. Square will transfer funds to your external bank account the next day for free, instantly for a fee, or you can keep them in a free Square Checking account, where Square says the funds are available straight away with no transfer needed. With Square Checking you can reach your revenue 24/7 and spend it with the Square Debit Card or through account and routing numbers. If a client pays in person, you can take the card there and then, and refunds can be issued from your online Dashboard or the Square POS app.
Stage three: automating the chasing
This is where Square Invoices saves the most time for a service business. Square lists:
| Automation | What it does |
|---|---|
| Recurring invoices | Bill on a schedule that suits you and the customer |
| Cards on file | Save a customer's card and auto-bill any invoice |
| Automatic reminders | Sent before, on or after the due date |
| Deposit requests | Take a deposit now with a separate due date for the balance |
| Payment schedules | Several payments on one invoice, tied to milestones or phases |
| Batch invoices | One invoice sent to many customers at once |
Square's project view tracks each invoice from delivery and review to payment in real time, so you can see what's paid, unpaid or overdue at a glance. Customers can also review and sign invoices, estimates and contracts from the same place.
Accounting and reporting
Square says it integrates with popular accounting software, including QuickBooks Online and Xero, and imports payments processed with Square into them for your records. Inside Square, insights across locations, employees, items, services, estimates, invoices and payments help you see where your cash flow stands.
What Square Invoices costs
Square's pricing page lists invoicing, including estimates and contracts, among the features of the Free plan, and the Appointments page lists invoicing on Free too. You pay a processing fee per payment rather than a fee to send. Square says there are no locked-in contracts and you can upgrade or cancel anytime. If you process over $250,000 a year, Square says you can ask its team about custom pricing and processing fees, as well as hardware discounts, onboarding support and account management. For the full rate details, read this guide to Square's fees before you quote a project price that has to absorb them.

Sending your first Square invoice

- Switch on automatic reminders or recurring billing.
My verdict
If you already take card payments through Square, Square Invoices is a handy way to bill for services without adding another tool, and the deposits, milestones and automatic reminders do the chasing for you. It's limited if you invoice clients abroad in other currencies, because Square doesn't accept multiple currencies today. If you'd rather bill through PayPal, here's how to send an invoice through PayPal.
