Softr Review: What Each Plan Lets Outside Users Do

Softr is a no-code builder for client portals, internal tools and simple database apps, and it suits small teams who want to start free and grow from there. The catch, as of Oct 2026, is how Softr counts logins: anyone on a Gmail-type address is a Client user, capped at 5 on Basic, 50 on Pro and 100 on Business.

People look up a Softr review when they've built something on the free plan and want to know what the next step will cost them. I read Softr's own pricing page line by line, and the thing that decides most bills isn't the headline figure. It's who logs in to your app, and which email address they log in with.

Softr plans and limits, as listed

These are the figures as listed on Softr's pricing page as of Oct 2026, in dollars. The page has a monthly/yearly toggle where yearly is labelled 2 months off, and the view I read doesn't say which one was showing, so check the vendor's pricing page before you buy. Softr also says it offers a 50% discount for non-profits and education.

Who counts as a user in Softr, and why Gmail matters

Softr has two kinds of people. Builders are members or guests of your workspace who can open Softr Studio and build apps, databases and workflows. App users are the people who log in to the apps you've built. If the same person sits in several of your Softr apps, they're only counted once, and builders can be added as app users without counting toward your app user limits.

Then it splits app users in two. Team users share the same business email domain as a builder in your workspace. Client users are everyone else, and every free email domain, Gmail included, lands in the Client group. Each plan caps the two separately: Basic is Team 5 + Client 5, Pro is Team 10 + Client 50, and Business is Team 30 + Client 100.

Here's why that matters. If you're building a client portal, nearly everyone logging in is a Client user, because your clients don't share your company domain. Basic only holds five of them. That's fine for a pilot with a handful of clients, and it's the wall you'll hit first. If you expect more than 50 outside people, Pro won't hold them and you're on Business, where the Client cap is 100. Past that, you're into Enterprise and custom limits.

So the question to ask before you build isn't how many people will log in. It's how many of them won't be on your company email. Internal tools for staff on a shared business domain stretch much further, because Team users are a separate allowance.

The other numbers that push you up a plan are database records and workflow actions. Free holds 5K records and 500 workflow actions a month, Basic 50K and 2.5K, Pro 500K and 10K, and Business 1M and 25K. AI credits climb more gently: 5, 10, 50 and 100 a month across the four plans. If you want the workflow side to do more of the heavy lifting, this roundup of workflow automation tools is a good companion read.

What you get at each Softr step

Every plan, Free included, gives you unlimited apps, databases, workflows, agents and forms, plus the Softr API and MCP. The jumps between plans are about polish, control and security rather than whether you can build at all:

  • Basic is where you get a custom domain, conditional form logic, automated database backup and extra built-in workflow actions.
  • Pro is the first plan that lists removing Softr branding. It also adds OTP and Google sign-in for app users, granular permissions and visibility, advanced user actions, comments, and custom code and API connectors. Integrations go from +38 to +40.
  • Business adds filtered user sync, two-factor authentication, domain-restricted signup, global data restrictions, an installable mobile app (PWA), push notifications, and priority support with onboarding. Integrations go to +47.
  • Enterprise adds SSO (SAML, OpenID), SCIM, advanced security and governance, audit logs, custom agreements and SLAs, and custom integrations on request.

Two of those lines catch people out. Branding removal isn't on Basic, so a white-label client portal starts at Pro. And 2FA and the installable app both wait until Business. If you're mapping out small business workflows that save time with AI, it's worth deciding early whether clients need to see your brand only, because that one line sets your floor.

Who Softr suits, and who should look elsewhere

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

  • Small teams that want a client portal, internal tool or simple database app without writing code.
  • Anyone who'd rather start on the free plan and move up as clients and customers start logging in.
  • Internal tools where most users share your business email domain, since Team users have their own allowance.

It's a poor fit for:

  • Anyone who wants to give lots of outside users with Gmail-type addresses access on a small plan. They all count as Client users, capped at 5 on Basic, 50 on Pro and 100 on Business.
  • Anyone who needs the Softr branding removed without paying for Pro at 99 dollars a month as listed.
  • Teams that need 2FA or SSO on day one but don't want Business or Enterprise.

If Softr ends up as one piece of a bigger toolkit, these productivity apps for small businesses cover the jobs around it.

Softr verdict: start free, then count your outside logins

I'd start on the free plan if you're building a client portal or internal tool and want to see it working before you pay anything. Before you upgrade, count how many people will log in from outside your company domain, because that number picks your plan faster than any feature does. I'd skip Softr if you need lots of Gmail-type users on a small plan, or if the Softr branding has to go and the Pro plan isn't on the cards yet.
