How to Use Gmail AI Inbox: Setup, To-Dos and What It Skips

Gmail AI Inbox is a Gemini view in Gmail that pulls suggested to-dos and topics to catch up on out of your Primary emails. To use it, switch on Gmail's smart features, tick Show AI Inbox in Settings, then click AI Inbox in the left panel. It's US English only and needs a Google AI plan or an eligible Workspace edition.

If your inbox is where your to-do list goes to hide, this is the Gmail feature worth ten minutes of your morning. AI Inbox reads your recent mail and hands you two short lists: what needs doing, and what's been happening across your threads. You don't search for anything. You open it and it's waiting.

Google started rolling it out to Workspace business editions on 15 October, after launching it for some personal Google AI plans earlier. Here's how to switch it on, what it does and doesn't read, and how I'd use it in a small business.

Who can use Gmail AI Inbox

Account typeWhat you needNotes
Personal Google accountGoogle AI Plus, Pro or UltraUS and English only
Workspace for small teamsBusiness Starter, Standard or PlusRapid Release from 12 October, Scheduled Release from 26 October
Workspace for larger firmsEnterprise Starter, Standard or PlusSame rollout as above
Frontline and educationFrontline Plus, AI Pro for EducationStarter and Education editions come later

Two things decide whether you'll see it at all. You need to be in the US with Gmail set to English, and you need both smart features settings switched on. There's no admin switch for AI Inbox in Workspace, so if your edition qualifies, it'll turn up as the rollout reaches your domain. Google says each rollout can take up to 15 days to show.

How to turn on AI Inbox in Gmail

  1. Open Gmail on a computer and go to Settings, then See all settings.
  2. On the General tab, switch on Smart features in Google Workspace and Smart features in other Google products.
  3. Click the Inbox tab and tick Show AI Inbox. Save your changes.
  4. Click AI Inbox in the left panel.
  5. Click Refresh at the top whenever you want the latest to-dos and topics.

Don't panic if it's empty on day one. Google says it can take a few hours after you turn smart features on, and up to 7 days before your first set of to-dos and topics appears. It also looks empty if you haven't sent or received much mail recently.

What AI Inbox reads, and what it skips

This is the bit people miss, and it explains most of the 'why didn't it catch that?' moments.

AI Inbox includesAI Inbox ignores
Messages in your Primary tabSocial and Promotions tabs
Recent incoming email threadsSpam, and anything you've archived, deleted, muted or snoozed
Updates spread across several threadsAttachments, delegated inboxes and encrypted email

So if a supplier's reminder only sits inside a PDF, or your assistant manages a shared inbox on your behalf, AI Inbox won't see it. And if you've trained yourself to snooze emails you'll 'deal with later', those drop out of the to-do list too. Keep the important stuff in Primary and unsnoozed, and it does a much better job.

The 2 sections, explained

Suggested to-dos

These are high-priority items pulled from incoming emails, with the action spelt out in bold: a reply someone's waiting on, a form to sign, a deadline. Each one links back to the email it came from, so you can check the detail before acting.

Topics to catch up on

This is a short summary of what's moved across a project or subject, even when the conversation is scattered across several threads. Google's own examples are travel plans, bookings and order confirmations. For a business, think of a client project where five people have been replying in different chains.

One small catch: clicking Mark all as read in AI Inbox also marks those emails as read in your main inbox. If you use unread as your own reminder system, leave that button alone.

Questions to ask Gemini once AI Inbox has done the sorting

AI Inbox gives you the list. When you want to go deeper on one item, open the email and use Gemini in Gmail with a prompt like these.

Copy this prompt

Summarise this thread in five bullet points. Then list every action someone has asked me to take, who asked, and any deadline mentioned.

Copy this prompt

Draft a short, friendly reply that confirms I'll do the first action on the list, asks one clarifying question about the deadline, and keeps my usual British tone.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Look at the emails from this client over the last two weeks and tell me what's still open, what's been agreed, and anything that sounds like a change to the original brief.

From this thread, pull out every date, booking reference and contact name into a simple table I can paste into my notes.

How I'd use it in a small business

I'd treat AI Inbox as a morning triage screen, not a replacement for reading your mail. Open it with your first coffee, tick off what's obvious, then go to the full inbox for anything that needs judgement. It's at its best for the stuff that slips: the quick 'can you confirm?' buried in a long thread, or the client who mentioned a change three replies down.

  • Keep clients in Primary. If you filter client mail into labels that skip the inbox, AI Inbox may miss it.
  • Check the source. It's a beta feature, so click through to the email before you act on anything important.
  • Give feedback. Each item has a More options menu where you can rate it, which is the only way it learns what matters to you.
  • Use View all. At the bottom of AI Inbox in a browser, View all shows to-dos and topics that weren't surfaced on the main screen.

If you're still deciding how far to lean on Gemini for email, my guide to Gemini prompts for business owners has more ready-made prompts, and this explainer on what Gemini 3 is covers the model family sitting behind features like this.

Tools that work with Gmail AI Inbox

AI Inbox lives inside Gmail, but it sits happily alongside the rest of your setup. These are worth knowing about, named here, not linked:

  • Gemini in Gmail for summaries and drafted replies inside a single thread.
  • Google Tasks for moving a to-do out of email and onto a real list.
  • Google Calendar for turning a deadline into a time block.
  • Gmail Live on your phone, for asking questions of your inbox out loud.
  • Google Keep for quick notes pulled from a topic summary.
  • Gemini app for longer jobs that need more than one email as context.

And if you'd like help setting up Gemini across your team's inboxes from day one, that's the kind of thing I help businesses with.

My verdict

It's a handy view if you're in the US, on an eligible plan and keep your important mail in Primary. It won't read attachments or shared inboxes, and it's still beta, so don't hand it your whole day. Switch it on, give it a week to learn your mail, and judge it on whether it catches the things you'd have missed.

Frequently asked questions

Why is my Gmail AI Inbox empty?

Google says it can take a few hours after you turn on smart features, and up to 7 days for your first to-dos and topics to appear. It also looks empty if you haven't sent or received emails recently.

Does AI Inbox read my Promotions and Social tabs?

No. It only surfaces information from your Primary tab, and it filters out spam plus anything you archive, delete, mute or snooze.

Can I use AI Inbox outside the US?

Not yet. Google's help page says the feature is only available in the US and in English.

Can my Workspace admin turn AI Inbox off?

Google's Workspace announcement says there's no admin control for this feature. You can hide it yourself by unticking Show AI Inbox in Gmail settings.

Does AI Inbox read attachments?

No. It doesn't support attachments, delegated inboxes or encrypted emails, so anything that only exists in a PDF won't show up.
