How to Sync Outlook Calendar With Google Calendar (Both Ways)

To see Google Calendar in Outlook, copy the Secret address in iCal format from your Google Calendar settings, then in Outlook choose Add calendar, Subscribe from web and paste it. To go the other way, publish your Outlook calendar and copy its ICS link. Both are view-only; for two-way editing, add your Google account directly to an app that supports it.

Running a work calendar in Outlook and a personal one in Google is a classic recipe for double bookings. The fix is to make one calendar show the other. There's no single sync button, and the direction you choose matters, but once it's set up it ticks along in the background. Here's how to get Google into Outlook, Outlook into Google, and what each method can and can't do.

Pick the right method

Show your Google Calendar in Outlook

Step 1: Copy the secret address from Google

  1. Open Google Calendar on a computer.
  2. Click Settings, then choose the calendar under Settings for my calendars.
  3. Click Integrate calendar.
  4. Copy the link under Secret address in iCal format.

Step 2: Subscribe in Outlook

  1. Open your Outlook calendar.
  2. Below the calendar grid on the left, select Add calendar.
  3. Choose Subscribe from web.
  4. Paste the link and select Import.

Your Google events now appear alongside your Outlook calendar. Because it's linked rather than imported, it keeps updating, though not instantly.

Keep that secret address secret

Google is firm on this: only you should know your calendar's Secret Address, so don't share it with other people. Anyone with the link can see your calendar. If you accidentally share it, go back to Integrate calendar and click Reset to create a new one. Then update the calendar link in Outlook with the new one.

Show your Outlook calendar in Google

  1. In new Outlook, open the calendar and go to the View tab, then Calendar settings.
  2. Choose Calendar, then Shared calendars.
  3. Under Publish a calendar, pick the calendar and the level of detail to share.
  4. Select Publish and copy the ICS link.
  5. Add that link as a calendar in Google Calendar from a computer browser.

One caveat: Google says it can only add a calendar from a link when that calendar is public, and you must use a web browser to subscribe, not the app. If the link won't add, check the publishing settings in Outlook. And when you no longer want it shared, select Unpublish in the same Outlook settings.

The one-off import (and why I rarely use it)

Classic Outlook can import a Google Calendar export. In Google Calendar, use Export calendar to download an .ics file in a zip, extract it, then in Outlook go to File, Open & Export, Import/Export and import the iCalendar file. Microsoft's warning is the important bit: the imported calendar is a static snapshot that doesn't update itself. It's fine for moving old events across once, but useless for day-to-day syncing.

Full two-way sync

Google says some calendar apps let you sync using your Google account directly, so you can add and edit events from either side. Look in the app's settings for an option to add another account, then use Sign in with Google. If your Outlook setup supports adding a Google account, this gives the closest thing to true sync.

Why updates aren't instant

Subscribed calendars refresh on a schedule set by the app doing the subscribing, so a new event can take a while to appear on the other side. Don't rely on a subscribed calendar for something booked five minutes ago. For important bookings, check the source calendar too.

Work accounts

If your Google account belongs to an employer or school, Google says your admin might have changed the sharing settings, and you may not see the Secret Address at all. In that case, ask your admin for help rather than trying workarounds. The same goes for a work Outlook account: some organisations stop people publishing calendars outside the company.

Avoiding double bookings

  • Choose one calendar as the master where you book everything.
  • Show the other calendar inside it, view-only.
  • Share free/busy, not full details, if colleagues can see the combined view.
  • Colour-code the subscribed calendar so you know where each event came from.

If meetings are piling up across both calendars, my thoughts on the AI meeting notetaker problem might help you claw some time back, and a community content calendar template is a good way to keep recurring commitments visible.

My verdict

To get Google into Outlook, copy the Secret address in iCal format and use Subscribe from web in Outlook. To get Outlook into Google, publish your Outlook calendar and add its ICS link. Both are view-only and update with a delay. Keep the secret address private, and pick one calendar as your master.

Frequently asked questions

Can I sync Google Calendar with Outlook?

Yes. Subscribe to Google's Secret address in iCal format in Outlook, or publish your Outlook calendar and add its ICS link in Google.

Is Google Calendar in Outlook editable?

A subscribed calendar is view-only. For editing, add your Google account to an app that supports Sign in with Google.

Why doesn't my imported Google Calendar update in Outlook?

Microsoft says an imported calendar is a static snapshot. Subscribe instead so it keeps updating.

What should I do if I shared my Google Calendar secret address?

Go to Integrate calendar and click Reset to create a new secret address.

Can I add an Outlook calendar in the Google Calendar app?

No. Google says you must use a computer web browser to subscribe to a calendar.
