How to Schedule Staff Shifts Without Spreadsheets

Move the rota out of the spreadsheet and into a shift scheduling app. Collect roles and availability in the app, build the week from a template, publish it to staff phones, and let people swap or pick up open shifts with your approval. Then check the finished schedule against the rest-break rules where you operate before it goes out.

Why the spreadsheet rota keeps going wrong

Most rotas start life in a spreadsheet because it's there, it's familiar and it copes with a team of four. Then the team grows, two people go part-time, someone books a holiday by text, and the sheet you emailed on Friday is out of date by Saturday lunchtime.

The grid isn't the problem. The problem is that availability, time off, swaps and the published schedule all live in different places: a column here, a WhatsApp message there, a note stuck by the till. Every change means you retype something, and every retype is a chance to put someone on a shift they told you they couldn't do.

A shift scheduling app fixes that by keeping all of it in one place your staff can see on their phones. You still decide who works when. You just stop being the human switchboard for every change. Here's how to make the move without losing a week to setup.

Five steps to a rota that lives on staff phones

  1. Get roles and availability into the app. List every role and shift pattern you run, then collect each person's availability and time off inside the app rather than in a sheet. When I Work and Sling by Toast both handle availability and time off. The schedule can only be conflict-free if availability sits in the same place as the shifts.
  2. Build the week from a template or a draft. Drag shifts onto the calendar, starting from a saved template or an auto-generated draft. Homebase can build a draft from team history and availability, and 7shifts shows availability and time off as you place each shift. Reusing last week's pattern removes most of the retyping, and the app warns you about conflicts or overlaps as you go.
  3. Publish it so everyone gets a notification. Once the week looks right, publish it so every person sees it on their phone. When I Work notifies the team instantly. Staff stop asking what the sheet says, and changes reach everyone at once.
  4. Switch on swaps and open shifts, with your approval. Let people swap shifts or pick up open ones, with a manager approving each change before it takes effect. Deputy offers swaps between suitable team members, and Sling handles shift trade requests. Sickness and swaps then get handled in the app, not by texts that never reach the schedule.
  5. Check the draft against rest-break rules before it goes out. Read the rota against the rest-break and daily-rest rules that apply to you, then use the app's warnings as a second check. Deputy flags missed breaks, and 7shifts shows infraction warnings while you schedule. The legal minimums vary by country and state, and a tool warning is a backstop, not the rule itself.

Five scheduling apps worth a look

These all replace the spreadsheet. They differ in what they lean on: some lead with the time clock, some with compliance warnings, some with messaging.

Homebase

A drag-and-drop schedule builder with reusable templates and an auto-scheduler that works from team history, availability and time off. It handles time-off requests, swaps and open shift posting, and flags conflicts automatically. Its page offers free employee scheduling software, as of Nov 2026.

7shifts

Built for restaurants. The drag-and-drop builder shows who's available while you work, shares the schedule to a mobile app and manages shift changes. The standout is automatic infraction warnings, based on local labour rules, while you're still building the week.

Deputy

AI-assisted schedule building, swaps between suitable team members, and scheduling of required meal and rest breaks. It flags breaks that are missed, so you can deal with a compliance risk while there's still time to fix the rota.

When I Work

A mobile-first app aimed squarely at teams still running on spreadsheets or group texts. It builds schedules, offers OpenShifts to fill gaps, approves time-off requests and tracks attendance, with team messaging in the same app.

Sling by Toast

Schedules, time off, availability and trade requests in one place, with notices about overlapping shifts and overtime as you build. There's a time clock, breaks and messaging too. Its page says the scheduling is free, as of Nov 2026.

Closing then opening: where a tidy rota breaks the rest rules

Here's the part an app won't settle for you. A schedule can look full and fair and still break working-time rules. The UK government's GOV.UK page on rest breaks at work says workers over 18 are usually entitled to an uninterrupted 20 minute break if they work more than 6 hours, 11 hours of rest between working days, and either 24 hours without work each week or 48 hours each fortnight.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

That 11 hour rule is the one rotas break most often. GOV.UK's own example: if someone finishes at 8pm, they shouldn't start again before 7am. Put the same person on a late close and the next morning's open, and you've broken it, even though each shift looks fine on its own.

Those are UK rules. Working-time rules vary by country, and in some places by state, so check the regulator or government guidance where your staff work. Vendors describe their compliance alerts as based on local rules, so confirm the rule set an app is using matches your country or state before you trust a quiet screen.

My advice before you delete the spreadsheet

Don't try to move everything in one go. Pick one app, load your roles and availability, and run it alongside the old sheet for a couple of weeks so you can see it catches what the sheet missed. Once your staff are swapping shifts in the app instead of texting you, switch the spreadsheet off. Which app fits depends on your trade and how you clock people in, and there's no single winner here. Whatever the screen says, the rest-break check is still yours.

Not ready to switch yet? A free employee schedule template will tide you over, and you'll know it's time to move when you're spending more time fixing the sheet than running the shifts.

Frequently asked questions

Can I schedule staff shifts for free?

Some apps say so on their own pages. Homebase offers free employee scheduling software and Sling describes its scheduling as free, as of Nov 2026. Check which features sit on higher plans before you rely on them.

What's the best way to let staff swap shifts?

Use an app that supports swaps with manager approval, so the schedule updates itself. Homebase, Deputy and Sling all list shift swapping or shift trades.

How do I avoid scheduling someone when they're unavailable?

Collect availability and time-off requests inside the app. 7shifts shows availability and time off while you build, and Homebase flags conflicts automatically.

Do scheduling apps handle break rules?

Some warn you. Deputy schedules required meal and rest breaks and flags missed ones, and 7shifts shows infraction warnings as you schedule. You still need to know the rule that applies where your staff work.

How do I fill an open shift quickly?

Post it as an open shift and notify the team. When I Work offers OpenShifts to fill gaps, and Homebase supports open shift posting.
