To request a read receipt in Outlook, open the Options tab while writing your email and select Request a Read Receipt in the Tracking group, then send. The catch: Microsoft says recipients can decline, and receipts don't work at all on IMAP or POP accounts like Gmail.
You've sent the contract, the quote or the deadline reminder, and silence follows. Did it land? Did they open it? Outlook's read receipt is designed for exactly that moment, and when it works it tells you the email was opened. The thing nobody mentions is how often it doesn't work, because the other person gets to decide.
Here's how to ask for one in each version of Outlook, where to find the reply, and the limits Microsoft lists so you know how much weight to put on it.
Read receipt or delivery receipt: which one you need
| Receipt | What it tells you | Who controls it |
|---|---|---|
| Delivery receipt | The email reached the recipient's mailbox | The mail system |
| Read receipt | The email was opened | The recipient, who can decline to send it |
Microsoft says a delivery receipt only shows that the message arrived, not that anyone saw it. If you need proof it didn't bounce, that's the one. If you want to know it was opened, ask for a read receipt and accept it's a polite request rather than a guarantee.
Requesting a read receipt in new Outlook
- Start writing your email.
- Select the Options tab at the top of the message.
- In the Tracking group, select Request a Read Receipt. Add Request a Delivery Receipt too if you want both.
- If you can't see the Tracking options, select More Options at the right end of the ribbon.
- Finish your email and send it.
Outlook on the web uses the same Options tab and Tracking group, according to Microsoft.
Requesting a read receipt in classic Outlook
Classic Outlook gives you two choices: one email at a time, or every email you send.
For a single email
- Open a new message.
- Select the Options tab.
- In the Tracking group, tick Request a Read Receipt and, if you like, Request a Delivery Receipt.
- Send the email.
For every email you send
- Select File, then Options, then Mail.
- Scroll to Tracking.
- Tick the read receipt box, the delivery receipt box, or both.
- Select OK.
Microsoft itself suggests tracking only single messages of importance. It says people who get read receipt prompts only now and then are more likely to respond, so switching it on for everything tends to backfire.
Seeing who opened your Outlook email
In classic Outlook, open the email you sent, usually from Sent Items. On the Message tab, in the Show group, select Tracking. Microsoft notes that the Tracking button only appears after at least one receipt has arrived, and it can take several minutes. Each read receipt also arrives as a short message in your inbox.
Why your Outlook read receipt might never come back
- The recipient chose not to send one. Microsoft says recipients can decline, and there's no way to force a receipt.
- Your account is IMAP or POP. Microsoft says receipts aren't available for accounts such as Gmail, Yahoo! or iCloud added to Outlook.
- You're sending from Outlook.com in a browser. Microsoft says you can't request read receipts from Outlook.com itself, though you can for Outlook.com messages sent from Outlook for Windows.
- The recipient's email app doesn't support them.
So a missing receipt doesn't mean your email wasn't read. It just means you don't know.
Deciding how you answer read receipt requests
Other people will ask you for receipts too. In new Outlook, Outlook on the web or Outlook.com, go to Settings, then Mail, then Message handling, and under Read receipts choose how you want to respond. Many people prefer to be asked each time so they can decide email by email.
Outlook emails where a read receipt makes sense
- A signed agreement or terms you need someone to have seen before a start date.
- A deadline reminder where missing it would cause real trouble.
- Important notices to staff, such as a change to shift times or a safety update.
- A one-off formal email, such as notice of a change to how you work with a client.
For anything really critical, follow up with a phone call or a quick message as well. A receipt is a nice extra, never the whole plan.

Read receipts and client emails: a word on etiquette
Used sparingly, a read receipt on a signed agreement or an urgent deadline is reasonable. Attached to every friendly follow-up, it can feel a bit like being watched. For sales and outreach emails, I'd skip it entirely: it adds a pop-up that interrupts the reader and tells you very little. If you're trying to work out whether people engage with your emails generally, my piece on why email open tracking is less reliable than it looks explains why opens are a shaky signal anyway.
A friendly, specific follow-up beats any receipt. If you write a lot of outreach, my guide to setting up cold email with AI covers follow-ups that get replies without nagging.
Read receipts in Outlook for Mac and on phones
Microsoft's Outlook for Mac guidance on receipts is older and not consistent, so menus vary by version. If you need a receipt on a particular email, sending it from Outlook for Windows or Outlook on the web with a work or school account is the more reliable route.
