To redact a PDF in Acrobat Pro, choose All tools, then Redact a PDF, then Redact text and images, drag over what you want gone and select Apply. Tick the sanitize option to remove hidden data too, then save a new file. A black box drawn on top is not redaction.
Redaction goes wrong in a very particular way. Someone draws a black rectangle over a name, sends the file and the name turns out to be sitting underneath, still copyable. Real redaction removes the content from the file. Here's how to do it in Acrobat Pro, how to find and redact every instance of a word or a pattern, and the step most people forget: removing the hidden data.
Redact text and images in Acrobat Pro
- Open the PDF and select All tools, then Redact a PDF.
- In the left pane select Redact text and images.
- Select and drag the cursor over the text or the image you want to remove.
- Select Apply in the left pane.
- In the dialog box that opens, choose whether you want to sanitize and remove hidden information by switching on the toggle.
- Select Continue, enter a filename and location, and select Save.
Notice that the last step has you save under a new name. That's good practice: keep the original untouched and send only the redacted copy.
Find and redact every instance of a word
Marking things by hand is slow on a long document and easy to get wrong. Acrobat can search and mark for you.
- Select All tools, then Redact a PDF, then Find text and redact, and select OK.
- Under Search for, choose a single word or phrase, multiple words or phrases, or patterns.
- Choose where to search, then select Search & Remove Text.
- Select Check All to pick every result, or tick the ones you want.
- Under Redaction Mark Options choose whole words or partial words.
- Select Mark Checked Results for Redaction, then Apply.
The pattern option is the clever part. If you need to remove every phone number or reference code from a document, a pattern search finds them all rather than relying on your eyes at the end of a long day. Still, read the marked results before you press Apply, because the tool marks what matches, not what you meant.
Remove the hidden data as well
A PDF carries more than you can see. Adobe's sanitize tool removes hidden information such as metadata, comments and hidden layers. In Acrobat Pro:
- Select All tools then Redact a PDF, then Sanitize document.
- Choose Remove all to strip everything, or Selectively remove and tick items in the Hidden Information panel.
- Select Remove and save. Adobe says the file must be saved to permanently remove the selected content.
That is the difference between a redaction that looks right and one that is right. Your author name, an old comment saying who should be told, or a hidden layer can all give the game away even when the visible page is clean.
Redaction, sanitizing and passwords: what each does
| Tool | What it does | Use it for |
|---|---|---|
| Redaction | Permanently removes selected text and images | Names, numbers and images you shouldn't share |
| Sanitizing | Removes metadata, comments and hidden layers | Hidden details behind a clean-looking page |
| Password protection | Controls who can open, print or edit | Limiting who sees the whole file |
Adobe's list of security options puts redaction and sanitization together as the ways to permanently remove sensitive information and hidden data. A password doesn't remove anything. It only limits access.
Redaction can't be undone, so check first
- Save redacted work as a new file. Never overwrite the only copy.
- Open the saved file and try to select the area where the redaction is. If anything highlights, something remains.
- Use the search box on the redacted file and look for the words you removed. Nothing should come back.
- Check scanned pages carefully. A scan is a picture, so text in it can't be found by a text search and has to be marked by eye.
A few cases where I'd redact without thinking twice
- Sharing a case study where the client's name or contact details shouldn't appear.
- Sending a screenshot-turned-PDF that shows account numbers or email addresses.
- Passing on a supplier document where one section is confidential and the rest isn't.
- Publishing a report on your site when a draft contained internal comments.
If the details you're removing are personal data, it's worth reading my explainer on what sales teams need to know about GDPR. You don't want to find out after sending that a name was still recoverable.

Who needs a real redaction?
Anyone sharing documents that contain other people's details: tenancy agreements, letters with account details, CVs, legal letters, anything with an address. Handing over a file that's meant to be clean is a trust issue as much as a privacy one. If you share documents with clients regularly, my guide to making PDFs from your own content shows a cleaner workflow, and it's the same care for anything that has a name on it.
My verdict
Use Redact a PDF, mark with the search tool when the document is long, switch on sanitizing before you save and always check the saved copy by trying to select and search the removed text. A black rectangle on its own is decoration, not protection.
Frequently asked questions
How do I redact a PDF?
In Acrobat Pro choose All tools, Redact a PDF, Redact text and images, drag over the content, select Apply, choose whether to sanitize and save a new file.
Is drawing a black box over text the same as redacting?
No. A shape on top hides the text visually, but redaction removes the text and images from the file itself.
Can I redact every instance of a word at once?
Yes. Use Find text and redact, search for a word, phrase or pattern, check the results and mark them for redaction.
What does sanitizing a PDF do?
It removes hidden information such as metadata, comments and hidden layers. Save the file to remove the content permanently.
Can I undo a redaction?
Once you save the redacted file, treat it as permanent. Keep the original separately and always save the redacted version under a new name.
