To insert a page break in Excel, select the row that should start the new page, go to the Page Layout tab, select Breaks and choose Insert Page Break. If nothing changes when you print, Microsoft says to switch the Page Setup scaling option from Fit to over to Adjust to.
Excel is brilliant on screen and stubborn on paper. Hit print on a long sheet and it decides for itself where each page ends, which usually means a client's name on one page and their details on the next, or one lonely column sitting on its own sheet.
Page breaks let you tell Excel exactly where a new page should start. Whether you're printing a product list, a stock sheet or a report to hand out at a workshop, it's a few clicks once you know where to look. Here's how to add them, move them, and get rid of the ones you don't want.
Switching to Page Break Preview before adding breaks
You can add page breaks from the normal view, but Microsoft recommends Page Break Preview, and I agree. It shows how your sheet divides into printed pages, so you can see where Excel plans to split things before you change anything.
Go to the View tab and select Page Break Preview in the Workbook Views group, or click the Page Break Preview button on the status bar at the bottom right.
Microsoft explains the lines you'll see. Dashed lines are automatic page breaks that Excel has added itself. Solid lines are manual breaks that you've added. That difference matters later, when you come to remove them.
Inserting a horizontal page break in Excel
A horizontal break starts a new page partway down your sheet. It's the one you'll use most.
- Click the row number of the row that should start the new page. The break goes above the row you select.
- Go to the Page Layout tab.
- In the Page Setup group, select Breaks, then Insert Page Break.
Or right-click the selected row and choose Insert Page Break. A solid line appears above that row.
Inserting a vertical page break in Excel
A vertical break splits the sheet side to side, which helps with wide sheets that spill onto extra pages.
- Click the column letter of the column that should start the new page. The break goes to its left.
- On the Page Layout tab, select Breaks, then Insert Page Break.
I'd always select the whole column by its letter rather than a single cell, so you know exactly which edge the break will follow. Then glance at Page Break Preview to check the solid line sits where you expected.
When Excel ignores your page breaks
This one catches lots of people. You add a break, print, and nothing changes. Microsoft's fix is in the scaling setting:
- On the Page Layout tab, select the small launcher arrow in the corner of the Page Setup group.
- On the Page tab, look under Scaling.
- If Fit to is selected, change it to Adjust to, then select OK.
Fit to squeezes everything onto a set number of pages, which overrides your manual breaks. Switching to Adjust to lets your breaks take charge again.
Moving a page break in Page Break Preview
In Page Break Preview, you can drag any break line to a new spot. If dragging doesn't work, Microsoft says to check that dragging is switched on: go to File, Options, Advanced, and under Editing options tick Enable fill handle and cell drag-and-drop.

Microsoft also notes that moving an automatic break turns it into a manual one. That's useful: if Excel's own break is only a couple of rows off, just drag it into place.
Removing page breaks you don't want in Excel
| What you want | How Microsoft says to do it |
|---|---|
| Remove one horizontal break | Select the row below it, then Breaks, Remove Page Break |
| Remove one vertical break | Select the column to its right, then Breaks, Remove Page Break |
| Remove a break by dragging | Drag it outside the preview area |
| Remove every manual break | Breaks, then Reset All Page Breaks |
One thing you can't do is delete an automatic break. Microsoft says those dashed lines can't be removed. You can move them, which makes them manual, or change the margins, orientation or scaling so Excel places them differently.
Hiding page break lines in the normal Excel view
When you go back to Normal on the View tab, you might find the dotted break lines are still showing over your work. To stop them appearing on that sheet, go to File, Options, Advanced, scroll to Display options for this worksheet and clear Show page breaks.
Page breaks in Excel for the web
Microsoft says you can't add page breaks in Excel for the web. If you need them, open the file in the desktop app, add the breaks there, and save. The browser is fine for editing the content afterwards.
Printing tidy sheets for your business
A few habits make printed sheets look far more polished:
- Put a break before each new client, month or section, so each starts on its own page.
- Turn wide sheets sideways with Orientation on the Page Layout tab before adding vertical breaks, since it changes where the automatic ones fall.
- Check Page Break Preview one last time before printing a big batch.

Frequently asked questions
How do I insert a page break in Excel?
Select the row that should start the new page, go to the Page Layout tab, select Breaks, then Insert Page Break. Or right-click the row and choose Insert Page Break.
Why isn't my Excel page break working?

What's the difference between dashed and solid page break lines?

How do I remove all page breaks in Excel?
On the Page Layout tab, select Breaks, then Reset All Page Breaks. That removes every manual break. Automatic breaks can't be deleted.
Can I add page breaks in Excel for the web?
