How to Edit a Google Form (Even After People Respond)

To edit a Google Form, open it in Google Forms (or from Google Drive) and click any question, title or description to change it. Use the toolbar to add questions, images, videos or sections, and Settings to change how responses work. Edits save automatically, and if the form is published, people see the changes the next time they open it.

Forms rarely come out perfect first time. A question needs rewording, a new option has to go in, or you want to add a section after a few responses arrive. Editing a Google Form is easy and safe, but there are limits worth knowing and a couple of settings changes that affect people who've already answered. Here's how to edit everything, plus what happens to existing responses.

Open your form to edit it

  1. Go to forms.google.com, or find the form in Google Drive.
  2. Click the form to open the editor.
  3. Click any part of the form to change it.

If you don't see editing options, you've opened the respondent view or you don't have edit access. Ask the owner to add you as a collaborator.

Edit questions and text

Google says to edit a question, header or description, you just click the text you want to change. Change a question type with the dropdown to the right of the question title, add or remove answer options, and switch on Required for answers people mustn't skip.

Add new content

  • Questions: click Add and choose a question type.
  • Images: add one to a question, or to individual answers in multiple choice and checkbox questions.
  • Videos: add a YouTube video before or after a question. Google notes you can't add videos inside a question.
  • Sections: click Add Section to split a long form into pages.

Save time with duplicates and imports

Two features save a lot of typing. Click a question or image and choose Duplicate to copy it, which is perfect for a run of similar questions. And Google lets you reuse questions from other forms: choose Import questions, pick the form, tick the questions you want, then import. I keep a master form of standard client questions for exactly this reason.

Know the limits

ItemLimit per form
Questions, descriptions, images and videosUp to 300 pieces of content
SectionsUp to 75

Those limits come from Google's help page. Most forms never get close, but long application forms or surveys built from many imported questions can.

Change settings after people have responded

Some edits affect respondents more than others. Under Settings, Google lets you limit people to one response, allow people to edit responses they've already submitted, show a summary of results after they submit, and change the confirmation message under Presentation. Allowing response editing is especially handy if people need to update details later.

Editing a live form: what to watch

  • Changes save automatically, so test them in Preview before you share the link again.
  • Changing a question's wording after people have answered can make old and new answers hard to compare.
  • Deleting a question removes it from the form, so think twice on a form that's already collecting responses.
  • If you make a big change, consider closing the form briefly while you edit.

Here's a tip from experience: if you need to change a question substantially halfway through a survey, add a new question instead of rewriting the old one. That way your earlier answers still make sense.

Edit on your phone

You can open and edit Google Forms in a mobile browser, but it's fiddly on a small screen. For quick fixes, such as correcting a typo, it's fine. For anything bigger, like adding sections or reordering questions, wait until you're at a computer, where you can see the whole form and preview it carefully before people respond.

Reorder questions and sections

Drag a question by the handle at the top of its card to move it up or down. If your form has more than one section, Google lets you change their order too. Put the easiest questions first; people are far more likely to finish a form that starts gently.

Edit the look of your form

Click the palette icon to change the theme, header image, colours and font so the form matches your brand. A form that looks like it comes from your business gets more trust, and more completed responses, than a plain default.

Editing with other people

You can add collaborators from the three-dot menu with Add collaborators. Everyone with edit access can change questions and settings, and Google says collaborators can also see and manage responses, so only add people you trust with the data.

Publishing after edits

Google explains that when a form is published, responders can access it, and if it's unpublished, people with the link can't. If you unpublished your form to make changes, remember to publish it again afterwards, or your link will stop working for respondents. Then check the Responses tab to see answers coming in. My guide on how to see responses on Google Forms helps you read them, and my guide to running a raffle online shows a fun way to use a form for giveaways.

My verdict

Open the form and click anything to edit it. Use Duplicate and Import questions to save time, keep within the limits of 300 pieces of content and 75 sections, and preview before resharing. On a live form, add new questions rather than rewriting old ones, and republish if you unpublished to make changes.
