To convert Word to PDF, open the document, go to File, then Save a Copy (or Save As), choose PDF as the file type and select Save. On a Mac, pick PDF in the File Format box and select Export. Give the PDF a different name so your original stays intact.
A PDF is what I send whenever the layout has to look exactly the same on someone else's screen: proposals, media kits, CVs, workbooks and anything a client might print. You don't need a converter website for it, because Word already does the job on every device.
Below you'll find the steps for Windows, Mac, the browser and the mobile app, plus the options most people never open, such as exporting only some pages or keeping tracked changes visible.
Converting Word to PDF on Windows with Save a Copy
Microsoft's help for the Windows desktop app goes like this:
- Open the document and go to File.
- Choose Save a Copy if the file's already been saved, or Save As if it hasn't.
- Select Browse and pick the folder you want.
- In the file type drop-down list, choose PDF.
- Select Save.
Your original Word file stays exactly as it was, and you get a separate PDF beside it. That's useful, because you'll want the editable version again next time.
Word's PDF options that are worth knowing
Before you hit Save, select More Options, then Options. This is where Word's PDF export gets clever:
| Option | What it does |
|---|---|
| Page range | Exports only the pages you choose, handy for sending one section |
| Publish what: Document showing markup | Keeps tracked changes visible in the PDF |
| Create bookmarks using Headings | Turns your headings into clickable bookmarks in a PDF reader |
| Document structure tags for accessibility | Makes the PDF easier for screen-reading software to follow |
| Bitmap text when fonts may not be embedded | Uses images of the text so unusual fonts still look right |
| Encrypt the document with a password | Asks for a password before anyone can open the PDF |
For long guides or lead magnets, the headings bookmarks option is my favourite. Readers get a clickable outline down the side, which makes a chunky PDF far easier to navigate.
Saving a Word document as a PDF on a Mac
- On the File menu, select Save As.
- Type a name for the file. Microsoft advises giving the PDF a different name from the original document.
- In the File Format box, choose PDF.
- Select Export.
That naming tip matters. Microsoft says keeping the original name converts the document itself, and reversing that needs specialised software or an add-in. A different name keeps both versions safe.
On a Mac there's also a shortcut for emailing. Go to File, then Share, then Send PDF, and Word creates the PDF and attaches it to a new email for you.
Downloading a PDF from Word for the web
If you work in the browser, Microsoft's steps are short:
- Select File.
- Choose Export.
- Pick Download as PDF, or Download as PDF with comments if you want comments included.
- Select Download, then find the file in your downloads folder.
The with-comments option is great for sharing feedback with someone who doesn't use Word, because they can read every note without opening the original.
Turning a Word file into a PDF on iPhone, iPad and Android
The mobile route differs by platform. On iPhone and iPad, Microsoft says to open the file, tap the three-dot icon, tap Export, pick PDF and save it where you want.
On Android it runs through printing instead:
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
- Open the file, tap the three-dot icon and choose File.
- Tap Print.
- Tap Select a printer and pick Save as PDF.
- Tap the PDF icon, choose a location, rename the file if you like, and tap Save.
Is a PDF from Word safe from editing?
Not on its own. Microsoft says plainly that simply sharing something as a PDF isn't enough to guarantee the recipient can't edit it. If you're sending something confidential, use the Encrypt the document with a password option in the PDF Options box on Windows. Word opens an Encrypt PDF Document box where you type and confirm the password.
Send the password separately from the file, ideally by a different channel such as a text message, so one intercepted email doesn't give away both.
Making your Word PDFs friendly for screen readers
Accessibility is easy to overlook. Microsoft says tagged PDFs help screen readers work out the reading order and navigation, and on a Mac this tagging can happen automatically when you save as PDF. On Windows, keep Document structure tags for accessibility ticked in the options. Using Word's built-in heading styles rather than bold text helps the tags make sense.
Why small businesses should send Word files as PDFs
For anything client-facing, a PDF protects your formatting, fonts and spacing, and Microsoft notes on its Mac page that the PDF is often smaller than the original. That's a nice bonus for email attachments.
Job seekers benefit too. A PDF CV keeps its layout when a recruiter opens it, so if you're refreshing yours, start with my list of free resume templates worth downloading. And before you export, it's worth checking how to add your LinkedIn profile to your resume so the link sits neatly in the header.
