Gym Management Software (2026): 10 Tools for Small Gyms

Gym management software handles memberships, recurring billing, check-ins, class bookings and member communication in one system. For a small gym, look for simple member sign-up, reliable direct debits or card billing, a member app and clear reporting on cancellations. This page lists ten options in no particular order, then covers how to choose and switch.

Running an independent gym means juggling a lot more than training. There are sign-ups, failed payments, freezes, door access, class lists and the member who swears they cancelled in March. Good software takes most of that off your plate so you can spend more time on the gym floor.

Below are ten gym management software options in no particular order, sorted alphabetically, from tools built for single-site gyms to platforms used by larger clubs. Every description comes from each company's own website, re-checked today. If follow-up with new members is where you lose people, my piece on fixing gym membership follow-up pairs well with this list.

In the free plan column, Yes means the tool's own site describes a free plan or free version, Trial only means a time-limited free trial, and No means neither is stated on the page I read. Plans change often, so check each site before you rely on one.

A card rule your gym billing setup should respect

Recurring membership billing means storing payment details, so it's worth knowing one rule that catches people out. The PCI Security Standards Council says it's not permitted to keep card verification codes once the transaction they were collected for has been authorised, and that includes card-on-file and recurring payments.

In plain terms, nobody at your front desk should ever write down or store a member's security code to save time on the next payment. Let your software and its payment processor handle stored cards, and keep paper sign-up forms free of card details.

What a small gym needs from management software

  • Member sign-up: can people join and pay online without visiting reception?
  • Recurring billing: how are failed payments retried and flagged?
  • Freezes and cancellations: can staff handle them quickly and fairly?
  • Check-in and access: does it link to your door system or a QR check-in?
  • Classes: booking, waitlists and capacity limits?
  • Member app: branded or shared, and what can members do in it?
  • Reports: new joiners, cancellations and attendance trends?

Switching gym software without upsetting members

  1. Ask your current provider how you'll export member and billing data before you give notice.
  2. Check how stored payment details will move, because this is the step that most often goes wrong.
  3. Tell members what's changing, when, and whether they'll need to download a new app.
  4. Move over at the start of a billing cycle rather than halfway through.
  5. Keep both systems readable for a month in case of questions.
  6. Watch failed payments closely in the first two cycles.

A member app works best when you keep it busy with useful content, and my guide on content ideas for gyms and fitness studios has plenty to fill it with.

Gym software mistakes that lose you members

  • Making cancellation hard. Members remember it, and it doesn't keep them for long anyway.
  • Ignoring failed payments. They're often members who want to stay but whose card expired.
  • Choosing a member app nobody opens. Test it with a few regulars before you commit.
  • Not tracking attendance drops. A member who stops visiting is likely to cancel, so the software should flag them.

If you're running a small independent gym, you don't need enterprise features on day one. What you need is reliable billing, quick check-in and a way to spot members who've gone quiet, so you can reach out before they leave.

Do you make gym management software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing gym software

Start with billing, because it's where the money and the complaints are. Ask every provider to show you a failed payment, a freeze and a cancellation from start to finish. If any of those takes more than a minute or two, it'll eat hours of staff time every billing cycle.

Then think about your members. Even well-built software won't help if members find the app confusing, so ask for a test login and try booking a class yourself.

Frequently asked questions

What is gym management software?

It's software that manages memberships, billing, check-ins, class bookings and member messages for a gym in one place.

Is there free gym management software?

A few tools offer a free tier for small gyms with a limited number of members. Most offer a free trial or demo instead.

Do I need a branded member app?

Not always. A shared app is fine for many gyms. A branded app helps if your brand and community are central to how you sell memberships.

Can gym software control door access?

Many tools link to access control systems or offer QR or app check-ins. Check which door hardware each one supports.

How should a gym handle failed payments?

Good software retries failed payments, alerts staff and sends members a friendly prompt to update their details.

How long does it take to switch gym software?

Plan for several weeks, mostly to move member and payment data safely and to tell members what's changing.

Is gym software different from class booking software?

Class booking tools focus on timetables and bookings. Gym management software usually adds memberships, billing, access and reporting.

What reports should a gym owner watch?

New joiners, cancellations, attendance and failed payments give a quick picture of whether membership is growing or slipping.
