Etsy Shipping Labels: How to Buy, Refund Windows and Insurance

Here's the catch. If you cancel the order first, you make the refund harder. Ask for the label refund before you cancel, and never refund a label that's part of a USPS SCAN form you've already used. Refund windows are short too: just 15 days for UPS, FedEx, Canada Post, Royal Mail and Evri.

Why buy labels through Etsy at all

Etsy lists four reasons: less time at the post office, access to some postage discounts, easy refund requests for labels you don't use, and, where it's available, a positive effect on your Star Seller shipping score. The last one matters if you're chasing the Star Seller badge.

Buying a label, step by step

1. In Shop Manager, open Orders and click the van icon on the order.
2. Check the delivery and return addresses.
3. Enter the package details: weight, package type, length, width and height. Save them as a preset if you ship the same box often.
4. For international orders, add customs details: weight, value and an accurate customs description for each item. A tariff number is optional.
5. Pick the delivery service.
6. Click Review, then Purchase, then print the label.

Refund windows by carrier

You request refunds for unused labels from Orders, inside a window that depends on the carrier.

Once you've asked, refunds generally take 15 to 30 days. Etsy can't change how fast the carrier processes them or what it decides.

The SCAN form and cancellation trap

Two rules catch sellers out. First, request the label refund before you cancel the order. Second, if the label sits inside a USPS SCAN form, refunding it invalidates the form, and if you've already used that SCAN form, a refund request for the label is denied. So pull a label out before you build the form, not after.

When USPS adjusts your label price

If USPS finds a different weight, different dimensions, a different drop-off zip code or a different package type from what you entered, it adjusts the label price. The difference is charged or credited to your Payment account. You have 60 days to dispute an adjustment with USPS, so check your account regularly rather than once a quarter.

Two more USPS points, as of October 2026. A temporary eight percent USPS rate increase for select services applies from April 26 and is expected to last through January 17, 2027. And cubic pricing for qualifying Priority Mail and Ground Advantage packages is based on size and distance, not weight, which can help if you ship small, heavy items.

• Both addresses are right, because a wrong one means a wasted label and a refund request.
• The weight, dimensions and package type match the parcel, so USPS has nothing to adjust.
• International parcels have an accurate customs description and value for every item.
• You've saved a preset for the box sizes you use most.
• You know the refund window for the carrier you picked, in case the order changes.

EU and tariff notices to know

• As of July 1, 2026, Canada Post and USPS labels are temporarily unavailable for certain EU destinations because of a new EU handling fee. US sellers can still use Global Postal Shipping.
• Since the US de minimis exemption ended on August 29, 2025, US-bound labels through Evri and Canada Post are suspended.
